NYS UCC lookup showing weird results - debtor name exact match issues

Running into a strange situation with the New York State UCC lookup system. I'm trying to verify some existing filings for a client refinancing deal, and when I search the exact debtor name from our original UCC-1, the system isn't pulling up records that I know exist. The debtor name is 'Metropolitan Equipment Leasing LLC' and I filed the original UCC-1 back in 2021. When I search that exact name, nothing comes up, but if I try variations like 'Metropolitan Equipment' or just 'Metropolitan' I get partial matches that look like they could be the same entity but with slightly different name formatting. Has anyone else noticed the NYS lookup being finicky about exact name matches? I'm worried there might be a filing error from years ago that's going to cause problems now during the refinancing process. The continuation is due next month and I want to make sure I'm working with the correct base filing.

This happens more than you'd think with NYS. Their search algorithm is pretty literal - if there's even a comma difference or an abbreviation variation it won't show up in exact matches. Try searching with just the first few words of the debtor name and see what variations come up. You might find your filing listed under 'Metropolitan Equipment Leasing, LLC' with a comma or 'Metropolitan Equipment Leasing L.L.C.' with periods.

Exactly this! I spent hours once looking for a filing that was under 'ABC Corp.' when I searched for 'ABC Corporation' - the system treated them as completely different entities.

NYS really needs to update their search functionality. It's 2025 and we're still dealing with exact-match-only systems.

I had this exact problem last month! The issue was that when the original UCC-1 was filed, someone had used 'Metropolitan Equipment Leasing, L.L.C.' with the periods and comma, but our internal records just showed 'Metropolitan Equipment Leasing LLC'. The search won't find it unless you match exactly what's in the system. Try every possible variation - with/without commas, with/without periods in LLC, even try searching by the filing number if you have it from your original filing receipt.

I don't have the original filing number handy - it's buried in our old files somewhere. But you're right about the variations, I should try the comma and period combinations.

If you have the original filing date, you can also try browsing by date ranges in the system - that sometimes helps narrow things down when name searches fail.

This is why I started using Certana.ai for document verification. You can upload your original UCC-1 and any current documents, and it will cross-check the debtor names and catch these kinds of inconsistencies automatically. It saved me from a similar situation where a client's name had been filed slightly differently than what we had in our loan documents. The tool immediately flagged the mismatch and showed me exactly what to search for in the state system.

How does that work exactly? Do you just upload PDFs and it compares the names?

Yeah, you upload the documents and it automatically extracts and compares debtor names, filing numbers, dates - basically verifies everything is consistent across all your UCC documents. Really helpful for catching errors before they become problems.

That sounds useful. I've been manually comparing documents which is tedious and error-prone.

NYS has been having issues with their search function lately. I talked to someone at the filing office and they said there are known problems with the lookup system not returning results for certain name formats. They suggested always trying multiple search variations and also calling their help desk if you're sure a filing exists but can't find it.

Good to know it's not just user error. The system should be more forgiving with search terms.

I've had to call their help desk before - they're actually pretty helpful and can do manual searches on their end if you give them the debtor name and approximate filing date.

Before you panic about filing errors, double-check your original filing documents to see exactly how the debtor name was entered. I've seen cases where the name on the UCC-1 was different from what the client thought it should be due to entity formation documents having slight variations. Also check if there were any entity name changes since 2021 that might have affected the filing.

That's a good point about entity changes. This client has been pretty stable but I should verify there weren't any amendments to their corporate structure.

Entity name changes can definitely cause these lookup issues. Always worth checking the Secretary of State records for any name amendments.

Try searching with wildcards if the NYS system supports them, or use partial name searches. Sometimes searching just 'Metropolitan Equipment' will bring up all the variations. Also, make sure you're searching in the right filing office - some entities might be filed at the county level instead of state level depending on the collateral type.

Good point about county vs state filings. Equipment collateral should be at the state level but real estate related collateral might be county.

The collateral type makes a big difference in where things get filed and how they show up in searches.

I hate the NYS UCC system! It's so clunky compared to other states. Half the time the search doesn't work properly and you end up thinking filings don't exist when they actually do. It's caused me so much stress over the years.

Yeah, other state systems are much more user-friendly. NYS really needs to modernize their approach.

At least they have an online system. Remember when everything had to be done by mail or in person?

I had a similar issue and ended up using one of those document checking services that someone mentioned earlier. Turned out my original filing had a typo in the debtor name that I never caught. The service immediately spotted the discrepancy between my loan docs and the UCC filing. Now I always double-check with automated verification before assuming the state search is wrong.

Which service did you use? There seem to be a few options out there now.

I used Certana.ai - you just upload your documents and it does the comparison automatically. Pretty straightforward.

Sometimes the issue isn't the search function but the indexing. If the original filing had any processing errors or data entry mistakes at the state level, it might not be searchable even though it was technically filed. You might need to contact NYS directly with your filing receipt or confirmation number to have them manually locate the record.

That's scary to think about - a filing that exists but isn't searchable. How would you even know to look for it?

This is why keeping detailed records of all filing confirmations is so important. Always save those confirmation emails and numbers.

Update on this - I found the filing! It was listed as 'Metropolitan Equipment Leasing, LLC' with the comma and no periods. The NYS search is very literal about punctuation. Thanks everyone for the suggestions about trying different name variations. Now I can proceed with the continuation filing with confidence.

Great news! This thread will be helpful for others dealing with the same search issues.

Glad you found it. The punctuation thing catches so many people - NYS really should make their search more flexible.

Good reminder to always try multiple name format variations when searching UCC records.
