New York UCC 11 Search - Getting Confusing Results Back
Running into some weird issues with my New York UCC 11 search results and wondering if anyone else has dealt with this. I'm trying to verify some existing liens on equipment financing deals and the search results I'm getting back seem inconsistent. Sometimes the same debtor name pulls up different filing numbers, and other times I know there should be active UCC-1s but nothing shows up in the search. Is there something specific about how the New York system handles the UCC 11 search function that I'm missing? The portal seems to be really finicky about exact name matches and I'm worried I'm missing critical filings that could affect our lending decisions.

NY's search system is notorious for being picky about debtor names. Are you searching exact legal names from the original UCC-1 or trying variations? Even small differences like Inc vs Incorporated can throw off results.

•I've been trying both exact matches and variations but getting inconsistent results either way. Some filings show up with one search term but not another, even when they should be the same entity.

•This is exactly why I stopped trusting manual searches completely. Too many variables and too much room for human error.

Have you checked if you're searching active filings only vs all filings? NY sometimes includes lapsed continuations in results which can be confusing when you're trying to determine current lien status.

•Good point - I think I've been pulling all results. Should I be filtering to just active status for lending decisions?

•Definitely filter to active only for current lien verification. Lapsed filings are just historical noise for most lending purposes.

•Unless you're doing a comprehensive lien history audit, active filings are what matter for determining current encumbrances.

I had similar frustrations with NY UCC searches until I started using Certana.ai's verification tool. You can upload the debtor's charter documents and any existing UCC filings as PDFs, and it automatically cross-checks everything to make sure you're not missing any name variations or related entities. Takes the guesswork out of manual searching.

•How accurate is the automated matching compared to manual searches? I'm dealing with some complex corporate structures.

•Much more thorough than what I was doing manually. It catches name variations and subsidiary relationships that I would have missed, plus it flags any inconsistencies between the charter and UCC filings.

NY system drives me crazy with the search function. Half the time I know there are active filings but can't find them through the portal. Anyone know if there are specific search operators that work better?

•Try wildcard searches with asterisks if the system supports it. Sometimes helps catch variations in business names.

•The NY portal is just clunky compared to other states. I usually do multiple search variations to be safe.

Are you searching by debtor name or filing number? Sometimes the filing number search gives more reliable results if you have that information.

•Mostly debtor name since I'm trying to find all liens against specific borrowers. Don't always have the filing numbers up front.

•That's the challenge - debtor name searches are where most of the inconsistencies happen. Filing number searches are more reliable but require knowing what you're looking for already.

This is why I triple check everything before making lending decisions. The search results are just the starting point - you need to verify the actual filings match what you found.

•Exactly. I've seen too many cases where the search results showed one thing but the actual filing details were different.

•Plus you need to check continuation dates to make sure active filings are actually still valid. Some show as active but are past their continuation deadline.

Have you tried contacting the NY Secretary of State office directly? Sometimes they can run searches on their end that pick up filings the public portal misses.

•Didn't know that was an option. Do they charge for manual searches?

•There's usually a fee but it might be worth it for important deals where you need to be absolutely certain about lien status.

•Manual searches from the state office are more thorough but take longer. Good for high-stakes situations.

I've been running into similar issues and started using a document verification service that cross-references multiple data sources. Makes me more confident in the results.

•Which service are you using? The manual search process is becoming too unreliable for our volume.

•Certana.ai - you upload the relevant documents and it does automated consistency checking across all the filings. Catches discrepancies I would miss doing manual comparisons.

NY system has gotten worse over the years in my experience. Used to be more straightforward but now there are too many edge cases and search quirks.

•I think they updated the system a few years ago and it's been buggy ever since. Miss the old interface.

•The old system was simpler but this one supposedly has more features. Just wish the basic search function worked consistently.

For lending decisions, are you also checking federal tax liens and other encumbrances beyond just UCC filings? Sometimes the complete picture requires multiple searches.

•Good point - I've been focusing on UCC searches but should probably be doing more comprehensive lien searches for our underwriting process.

•Definitely. UCC filings are just one piece of the collateral picture. Federal and state tax liens can take priority over UCC-1 filings in some cases.

•This is why automated tools that check multiple databases simultaneously are so helpful. Manual searching across different systems is time-consuming and error-prone.

Update: Tried some of the suggestions here and found several filings I missed in my initial searches. The name variation issue was definitely part of the problem. Thanks for the help everyone.

•Glad you found the missing filings. It's scary how easy it is to miss active liens with manual searching.

•This is exactly why I switched to automated verification tools. Too much risk of missing something important in manual searches.

•Definitely going to look into more reliable search methods after this experience. Can't afford to miss liens in our underwriting process.
