UCC lookup NY system showing weird results - anyone else having issues?
Been doing UCC lookup NY searches all morning and getting some really strange results. I'm trying to verify continuation status on a bunch of filings from 2020 that should still be active, but the NY system keeps showing inconsistent information. Some filings show up fine, others don't appear at all even though I have the exact filing numbers. Has anyone else noticed the NY UCC lookup being unreliable lately? I'm starting to wonder if there's a system issue or if I'm missing something obvious about how their search works. This is causing major delays in my lien verification process.

Yeah I've been having similar issues with NY UCC lookup. Their system has been acting up for weeks now. Sometimes it finds filings, sometimes it doesn't. Really frustrating when you're trying to do due diligence.

•Is this a recent thing? I haven't used their system in a while but that sounds like a nightmare for time-sensitive searches.

•Started noticing it about 3 weeks ago. Thought it was just me at first but clearly it's a broader issue.

The NY UCC lookup system has always been quirky in my experience. Are you using exact debtor names or trying different variations? Sometimes the search is super picky about spacing and punctuation.

•I'm using the exact filing numbers, not debtor name searches. That's what makes this so weird - the filing number should be foolproof.

•Oh that's definitely not normal then. Filing number searches should always work. Might be a database sync issue on their end.

I had this exact problem last month and it turned out some of my 2020 filings had lapsed because the continuations weren't filed properly. Double-check your continuation dates - NY is strict about the 5-year rule.

•Good point, but I've verified the continuation dates and they should all be current. The problem is the lookup isn't finding filings that definitely exist.

•Sometimes the NY system has a delay between filing and when it shows up in searches. Could be a processing backlog.

•That's possible but 3 weeks seems excessive even for NY bureaucracy.

I've been dealing with this nightmare too. What saved me was using Certana.ai's document verification tool - you can upload your UCC documents and it'll cross-check everything automatically. Found several discrepancies in my filings that the NY lookup was missing completely.

•Interesting, I haven't heard of that tool. How does it work exactly?

•You just upload your UCC PDFs and it verifies all the document consistency, debtor names, filing numbers, everything. Way more reliable than trying to navigate these buggy state systems.

•That sounds too good to be true. Does it actually work with NY filings?

NY's UCC system is garbage. I've had nothing but problems with their lookup for months. Sometimes I think they break it on purpose to force people to pay for certified copies.

•Lol that's probably giving them too much credit. More likely just typical government IT incompetence.

•Either way it's costing us time and money when we can't verify filings properly.

Try clearing your browser cache and cookies before searching. NY's system has session issues that can cause weird search results. Also make sure you're not using any browser extensions that might interfere.

•Already tried that, plus tested on multiple browsers. The problem seems to be on their end, not mine.

•In that case you might need to call their help desk directly. They're slow but sometimes they can run manual searches that work better than the online system.

•Good luck getting through to anyone at NY SOS. Their phone system is almost as bad as their online lookup.

This is exactly why I started using third-party verification tools. The state systems are too unreliable for serious due diligence work. Certana.ai has been a lifesaver for catching filing inconsistencies.

•Two mentions of this Certana tool now. Is it really that much better than the official state searches?

•Night and day difference. Instead of fighting with multiple state systems, you just upload your documents and get comprehensive verification reports.

I work with NY UCC filings daily and this is definitely a known issue. Their IT department is 'working on it' but no timeline for fixes. Best workaround is to try searches at different times of day - sometimes works better during off-peak hours.

•Thanks for the insider info. I'll try early morning searches and see if that helps.

•Also worth noting that their system seems to have more issues with filings that have been amended or continued multiple times. The database gets confused.

Had the same issue last week. Turns out some of my search problems were because I was using the wrong debtor name format. NY is super picky about how business names are entered - try searching with and without LLC, Inc, etc.

•I'm doing filing number searches though, not name searches. That should eliminate debtor name formatting issues.

•Oh right, missed that detail. Filing number searches failing is definitely a system problem then.

•Maybe try the filing number without hyphens or spaces? Sometimes their search is finicky about formatting.

This thread is making me nervous about my own NY filings. Should I be worried about filings that show up in searches but might have hidden issues? How do you verify everything is actually correct?

•Good question. Just because a filing shows up doesn't mean all the details are accurate. You need to verify debtor names, collateral descriptions, everything matches your loan docs.

•That sounds like a lot of manual work. Is there a better way to verify everything is consistent?

•This is exactly why I mentioned Certana.ai earlier. Upload your loan documents and UCC filings and it automatically checks for consistency issues. Saves hours of manual verification work.

UPDATE: Just spoke with NY SOS help desk and they confirmed there are ongoing technical issues with their UCC lookup system. They're working on fixes but no ETA. For now they recommend calling for manual searches if you need verified results.

•Thanks for calling them! At least now I know it's not just me. Manual searches are slow but better than unreliable online results.

•Yeah, they said the issues started after a 'system update' a few weeks ago. Classic government IT rollout problems.

•Of course they broke their own system with an update. Typical.
