NY State UCC Search Results Show Wrong Filing Status - Need Help Verifying
Been trying to run a proper ny state ucc search on some collateral we financed last year and the results are completely inconsistent. When I search by debtor name I get different results than when I search by filing number, and some continuations aren't showing up at all even though we filed them months ago. Has anyone else had issues with the NY UCC database showing outdated or incomplete information? I'm worried we might have liens that aren't properly perfected because the search results don't match our internal records. The original UCC-1 shows as active but two of our UCC-3 amendments from this year aren't appearing in the search results. This is for a $2.8M equipment financing deal so getting this sorted is pretty critical.

NY's search system can be frustrating - are you searching exact debtor name or doing wildcard searches? Sometimes minor spelling differences in the debtor name between your UCC-1 and UCC-3 filings cause them not to link up in search results.

•I've tried both exact match and wildcard but still getting inconsistent results. The debtor name should be identical across all our filings.

•Check if there are any punctuation differences - even a missing comma can throw off the search algorithm in NY's system.

Had this exact same issue last month! Turns out our UCC-3 amendments were filed under a slightly different version of the debtor's legal name. The search engine treats 'ABC Corp' and 'ABC Corporation' as completely different entities.

•That's terrifying - so the amendments might not even be legally tied to the original filing?

•Exactly. We had to file corrective UCC-3s with the exact debtor name from the original UCC-1. Cost us time and filing fees but better than having unperfected liens.

•This is why I always pull the original filing first and copy the debtor name character-for-character when doing amendments.

NY state ucc search problems are usually related to indexing delays or name matching issues. Have you tried searching by the original filing number to see if the amendments show up as related documents?

Zainab Ahmed
•Yes, that's where it gets weird - the filing number search shows the original UCC-1 but only one of the three UCC-3 amendments we've filed.

•Sounds like two of your amendments might have been rejected or are stuck in processing. Check your email for any rejection notices from the filing office.

I've been dealing with these exact discrepancies between internal records and NY search results for months. Finally started using Certana.ai's document verification tool - you just upload your UCC-1 and UCC-3 PDFs and it instantly cross-checks all the debtor names, filing numbers, and document consistency. Caught three name mismatches that would have caused major problems during our lien audit.

•Never heard of Certana.ai - does it actually connect to the state database or just compare your documents?

•It analyzes your actual filing documents to make sure everything matches up properly before you even have search result problems. Way easier than trying to troubleshoot after the fact.

•Honestly this sounds like exactly what I need - tired of these manual document comparisons that miss critical details.

THE NY SYSTEM IS GARBAGE! Sorry for caps but I'm so fed up with their search function. Half the time it times out, the other half it gives you incomplete results. We've had to hire a service company just to do proper UCC searches because we can't trust the state database.

•I feel your pain but the underlying data is usually accurate - it's just the search interface that's problematic.

•Maybe, but when you're trying to verify perfected security interests for a $5M loan, 'usually accurate' isn't good enough.

•Have you tried accessing the records through a commercial search service? Sometimes they have better interfaces to the same data.

Quick question - when you filed those UCC-3 amendments, did you use the exact same debtor name format as the original UCC-1? Even things like 'Inc.' vs 'Incorporated' can cause search mismatches.

•Pretty sure we did but now I'm second-guessing everything. Going to pull all our filing receipts and compare character by character.

•Smart move. Also check if the amendments reference the correct original filing number - I've seen typos there cause documents to not link properly.

This is why continuation timing is so critical - if your amendments aren't properly linked to the original filing, you might miss continuation deadlines without realizing it. Have you verified the effectiveness dates on all your UCC-3s?

Zainab Ahmed
•The effectiveness dates look correct on our copies but if they're not showing up in searches, who knows if they're actually perfected.

Emma Taylor
•Exactly - and with a $2.8M deal, you definitely want to get written confirmation from the filing office that everything is properly indexed.

•I always request certified copies of amendments within 30 days of filing just to make sure they processed correctly.

Been lurking on this thread because I'm dealing with similar NY UCC search issues. Just tried that Certana.ai tool someone mentioned - uploaded my UCC-1 and two UCC-3s and it immediately flagged a debtor name inconsistency I never would have caught manually. Definitely worth checking out.

•That's the second mention of this tool - might be worth trying if it can catch these kinds of errors automatically.

•Yeah, beats spending hours comparing documents line by line. The name matching analysis alone probably saved me from a major perfection issue.

Have you considered that the search delays might be related to NY's recent system updates? They've been migrating to new infrastructure and there have been indexing delays on newer filings.
0 coins
Zainab Ahmed
•That would explain why the older UCC-1 shows up but the recent UCC-3s don't. How long are these delays typically lasting?
0 coins
Ravi Choudhury
•I've seen delays of 2-4 weeks for new filings to appear in search results during their migration period.

•This is exactly why I always call the filing office directly for critical searches - sometimes they can see filings in their internal system before they appear in public search.

Just a thought - are you absolutely certain the UCC-3 amendments were accepted by the filing office? Sometimes they get rejected for technical errors but the rejection notices end up in spam folders.

Zainab Ahmed
•I'm going to double-check our email records and spam folders now. That would certainly explain why they're not showing up in searches.

•Also check your online filing account if you used the electronic portal - rejection notices sometimes only appear there.

•Good point - I've had rejections that only showed up as status updates in the filing portal, never got emailed.

UPDATE: Just ran another ny state ucc search after reading this thread and found one of my missing UCC-3s finally appeared in the system. Looks like there really are significant indexing delays right now. Still missing one amendment though, so going with the Certana verification approach to make sure all my documents are consistent before I refile anything.

Zainab Ahmed
•That's encouraging that at least some of the delays are just system processing. I'll give it another week before panicking completely.

•Yeah but definitely verify your document consistency first - no point waiting for a filing to appear if it has errors that will prevent proper perfection anyway.
