How to pay unemployment tax - Washington ESD quarterly filing confusion
I'm totally lost on how to handle my quarterly unemployment tax payments to Washington ESD. My small business has 3 employees and I just got a notice about filing Form 5206 but I can't figure out the online system. The SecureAccess Washington portal is confusing and I'm worried I'll mess up the calculation. Do I pay based on total wages or just taxable wages? And what's the deadline for Q4 2024 payments? I've been trying to call Washington ESD for two weeks but can never get through.

The quarterly unemployment tax is due by the last day of the month following the end of each quarter. So Q4 2024 would be due January 31st, 2025. You'll need to log into your employer account on the Washington ESD website and file Form 5206. The tax is calculated on wages up to the taxable wage base, which is $62,500 per employee for 2024.

•Thanks! So it's not on ALL wages, just up to that $62,500 limit per person? That makes more sense.

•Exactly. And the rate varies based on your experience rating. New employers usually start around 2.7% but it can go up or down based on your claim history.

I had the same problem getting through to Washington ESD about employer tax questions. What finally worked for me was using Claimyr - it's a service that helps you get through to actual ESD agents instead of waiting on hold forever. Check out claimyr.com, they have a demo video at https://youtu.be/7DieNd3C7zQ that shows how it works. I was able to talk to someone within 20 minutes instead of calling for days.

•Never heard of that before. Is it legitimate? I'm desperate enough to try anything at this point.

•Yeah it's real. They basically handle the waiting and calling for you. I was skeptical too but it actually worked. Much better than spending my whole day redialing.

•Interesting, I might try that too. I've been trying to reach them about a different issue and it's impossible.

Make sure you're calculating correctly. It's gross wages multiplied by your tax rate, but only up to the wage base. So if you paid someone $70,000 in 2024, you only calculate tax on $62,500 of that. Also double-check that you're including all required employee information - SSN, wages, hours worked each quarter.

•Do I need to report hours worked too? I thought it was just wages.

CyberSamurai
•Yes, Washington ESD requires total hours worked per quarter for each employee. It's on the same form as the wage reporting.

The Washington ESD system is so outdated compared to other states. My friend runs a business in Oregon and their unemployment tax system is way more user-friendly.

•Every state has issues with their unemployment systems. At least Washington's works most of the time.

•I guess you're right. Still frustrating when you're trying to stay compliant and the system fights you.

One more tip - if you're filing electronically, make sure you save a copy of your confirmation. Washington ESD's system sometimes doesn't send email confirmations and you'll want proof you filed on time if there are any issues later.

•Good to know. I'll definitely screenshot everything.

•I learned that the hard way. Had to prove I filed on time and luckily I saved the confirmation page.

Wait, I'm confused about something. I have seasonal employees who only work part of the year. Do I still pay unemployment tax for quarters when they're not working?
0 coins
CyberSamurai
•No, you only pay on actual wages paid during each quarter. If they didn't work and you didn't pay them, there's no tax for that quarter.

•That makes sense. Thanks for clarifying.

The tax rate thing is confusing too. Mine went up this year because I had someone collect unemployment last year. Is there any way to dispute that?

Ethan Wilson
•You can appeal your experience rating if you think it's incorrect. You'd need to show that the claim was improper or that you weren't the base period employer.

•How do I do that? Is there a form or do I just call?

Ethan Wilson
•There should be instructions on your rate notice. Usually it's a written appeal with supporting documentation.

I made the mistake of trying to file by paper my first year. NEVER AGAIN. The electronic filing is so much faster even if the website is clunky.

Aisha Rahman
•How long did the paper filing take?

•Like 6 weeks to process. And I was paranoid the whole time that it got lost in the mail.

Pro tip: if you have trouble with the website, try filing early in the morning or late at night. The system seems to work better when fewer people are using it.

•I'll try that tonight. Thanks!

•Yeah I noticed that too. Lunch time is the worst for their website.

Does anyone know if there are penalties for filing late? I'm cutting it close this quarter.
0 coins
CyberSamurai
•Yes, there are late filing penalties and interest charges. The penalty is usually a percentage of the tax due, plus interest that accrues daily.

•Ugh that's what I was afraid of. Guess I need to get this done ASAP.

I tried that Claimyr thing someone mentioned earlier and it actually worked! Got through to Washington ESD in about 15 minutes to ask about my employer account setup. Way better than the hours I wasted calling directly.

•That's encouraging. I think I'm going to try it too.

•It's worth it compared to losing business hours trying to call them yourself. Much more efficient.

Just remember that unemployment tax is separate from workers comp and L&I. I see people get confused about that sometimes.

Aisha Rahman
•Good point. I'm dealing with all of those for the first time as a new employer.

•Yeah it's a lot to keep track of when you're starting out. Each one has different rates and filing requirements.

The wage base goes up every year too, so make sure you're using the current year's limit. I made that mistake once and had to file an amended return.

Aisha Rahman
•Where do I find the current year's wage base?

Ava Johnson
•It's on the Washington ESD employer website. They usually post the new rates in December for the following year.

For what it's worth, once you get the hang of it, the quarterly filing becomes pretty routine. It's just intimidating the first few times.

Aisha Rahman
•That's reassuring. I hope I figure it out soon.

One last thing - make sure your business address is updated with Washington ESD. They send important notices by mail and you don't want to miss rate changes or audits.

Aisha Rahman
•Good reminder. I'll double-check that in my account.

•Yeah I missed a rate notice once because I forgot to update my address after moving offices.

Thanks everyone for all the help! I think I have enough info to tackle this now. Going to try the early morning filing trick and see if I can get through the system.

•And remember the Claimyr option if you need to actually talk to someone at Washington ESD. Sometimes it's worth it to get direct answers.
