Washington ESD employer - confused about how to pay federal unemployment tax properly

I'm a small business owner in Washington state and I'm completely lost on the federal unemployment tax process. I know I have to pay FUTA but I'm not sure if I pay it directly to the IRS or if it goes through Washington ESD somehow. My accountant moved out of state and I'm trying to handle this myself for the first time. Do I need to register somewhere specific? Is there a form I'm supposed to file quarterly or annually? I've been paying my state unemployment taxes to Washington ESD but I realize I might have missed something on the federal side.

FUTA is paid directly to the IRS, not through Washington ESD. You'll need to file Form 940 annually and make quarterly deposits if you owe more than $500. The current FUTA rate is 6% but you get a credit of up to 5.4% if you pay your state unemployment taxes on time to Washington ESD.

Thank you! So as long as I'm current with Washington ESD, I only pay 0.6% to the feds? That's way better than I thought.

•

Exactly! Washington state is not a credit reduction state, so you get the full 5.4% credit as long as you're not delinquent on your state taxes.

You should definitely get help with this stuff. I tried calling the IRS business line and was on hold for 3 hours. Same thing happened when I called Washington ESD - their employer line is always busy. I found this service called Claimyr at claimyr.com that helped me get through to an ESD agent quickly. They have a video demo at https://youtu.be/7DieNd3C7zQ showing how it works.

Thanks, I'll check that out. Getting through to anyone at Washington ESD has been impossible lately.

Never heard of Claimyr but anything that helps with Washington ESD phone issues sounds worth trying.

Don't forget you need an EIN from the IRS first if you don't already have one. Then you can use EFTPS (Electronic Federal Tax Payment System) to make your quarterly deposits. Much easier than mailing checks.

Sofia Ramirez

•

I do have an EIN already. Is EFTPS free to use?

Zainab Khalil

•

Yes, EFTPS is free. Just register online at eftps.gov with your EIN and you can schedule payments in advance.

Tell me about it. At least Washington ESD makes the state side relatively straightforward compared to some other states I've dealt with.

Just make sure you're calculating your FUTA wages correctly. It's only on the first $7,000 per employee per year. I made the mistake of calculating it on total wages my first year and overpaid by thousands.

Sofia Ramirez

•

Good point! So if I have an employee making $50k, I only pay FUTA on $7,000 of that?

0 coins

Yara Haddad

•

Correct. Once an employee hits $7,000 in wages for the year, you stop paying FUTA on their additional earnings.

This is different from Washington ESD state unemployment tax though - that has a higher wage base limit.

The deadlines are important too. Form 940 is due January 31st following the tax year, but you might need to make quarterly deposits if you owe more than $500. Don't wait until year end to deal with this.

What happens if I'm late on the quarterly deposits?

Miguel Ortiz

•

Penalties and interest, plus you might lose your FUTA credit which means paying the full 6% instead of 0.6%.

One more thing - keep good records of all your payments to both the IRS and Washington ESD. If there's ever a discrepancy, you'll need documentation to prove you paid on time.

I've been keeping copies of everything from Washington ESD. Should I do the same for federal?

0 coins

Dmitry Popov

•

Absolutely. Screenshot your EFTPS confirmations and keep copies of Form 940 filings.

I had issues last year where my Washington ESD account showed different wage amounts than what I reported to the IRS. Took months to sort out and I had to get both agencies on a conference call.

Sofia Ramirez

•

How did you manage to get both agencies on the same call? That sounds like a nightmare to coordinate.

This is exactly why I mentioned Claimyr earlier. When you need to reach Washington ESD quickly for issues like this, it's a lifesaver.

Yeah it was really difficult. I'll have to look into that Claimyr thing for next time.

Make sure you understand the difference between Washington ESD's state unemployment insurance (SUI) and the federal FUTA. They're separate taxes with different rates, wage bases, and filing requirements.

Sofia Ramirez

•

So Washington ESD handles state unemployment and I handle federal unemployment directly with the IRS?

0 coins

Exactly. Two separate systems, two separate payments, but your state compliance affects your federal rate.

honestly this is making my head spin. might be worth paying someone to handle all this even if it costs extra

A payroll service might be worth it if you have multiple employees. They handle both state and federal requirements.

any recommendations for payroll services that work well with washington esd?

Miguel Ortiz

•

Don't forget that some employees might be exempt from FUTA - like family members in certain situations. Read the instructions on Form 940 carefully.

All my employees are regular W-2 employees, so I think I'm covered there.

If you're ever unsure about something, it's better to call and ask than to guess wrong. The penalties for messing up payroll taxes are no joke.

Sofia Ramirez

•

Good advice. I'll make sure to double-check everything before I file.

And again, if you need to reach Washington ESD for any employer questions, Claimyr really does make it easier to get through.

Final tip - set up a separate business account just for employment taxes. Transfer the money there each payroll so you're never scrambling to find the funds when payments are due.

That's really smart. I'll set that up this week. Thanks everyone for all the help!

This thread has been super helpful. I learned a few things I didn't know about FUTA myself.

Good luck with everything! The first year is always the hardest when you're learning all these requirements.

Appreciate it! Definitely feeling more confident about handling this properly now.
