Where to pay federal unemployment tax - Washington ESD employer questions

I'm a small business owner in Washington and I'm getting confused about where exactly I need to pay my federal unemployment tax (FUTA). I know I pay state unemployment taxes to Washington ESD, but I'm not sure about the federal portion. Do I pay it through the same system or is it separate? I've been trying to call Washington ESD but can't get through to anyone who handles employer questions. My accountant is out of town and I need to get this sorted before the deadline. Has anyone dealt with this recently?

Federal unemployment tax (FUTA) is completely separate from your Washington state unemployment taxes. You pay FUTA directly to the IRS, not through Washington ESD. You'll use Form 940 to report and pay your federal unemployment tax. The state taxes go to Washington ESD, but federal goes straight to IRS.

Thank you! So I need to file Form 940 with the IRS separately from my Washington ESD quarterly reports?

0 coins

Exactly. Form 940 is annual, due January 31st. Your Washington ESD state taxes are quarterly. Two completely different systems.

0 coins

ugh i had this same confusion last year. spent hours on hold with washington esd only to find out they dont handle federal taxes at all. wasted so much time

0 coins

That's exactly what I'm worried about! I've been calling Washington ESD thinking they could help with both.

If you're having trouble reaching Washington ESD for your state unemployment tax questions, I recently discovered a service called Claimyr at claimyr.com that helps get through to ESD agents. They have a video demo at https://youtu.be/7DieNd3C7zQ showing how it works. Might be helpful for your state tax questions, though like others said, federal FUTA goes through IRS.

Interesting, I'll check that out for my state unemployment tax questions. Good to know there's a way to actually reach someone at Washington ESD.

0 coins

Wait, what is Claimyr exactly? Is it legit or some kind of scam service?

0 coins

It's legitimate - they help you get through the phone queues to reach actual Washington ESD representatives. I used it last month when I couldn't get through about a wage verification issue.

For federal unemployment tax, you'll want to check the IRS website for Form 940 instructions. The rate is usually 6% on the first $7,000 of each employee's wages, but you can get a credit for state unemployment taxes paid (up to 5.4%). So your effective FUTA rate is often 0.6% if you're current on Washington state unemployment taxes.

0 coins

That's helpful to know about the credit. So as long as I'm paying my Washington ESD taxes on time, my federal rate drops to 0.6%?

0 coins

Correct, as long as Washington isn't a credit reduction state (which it's not currently) and you pay your state taxes when due.

I'm so confused by all this employer tax stuff. I thought unemployment was just something employees dealt with when they file claims with Washington ESD. Had no idea there were employer taxes involved too.

0 coins

Employers fund the entire unemployment system through these taxes. Employees don't pay into unemployment insurance in Washington state.

0 coins

Oh wow, I really need to educate myself on this stuff before I hire anyone.

The IRS has an online payment system called EFTPS (Electronic Federal Tax Payment System) where you can pay your Form 940 taxes. Much easier than mailing checks. You'll need your EIN and bank account info to set it up.

0 coins

Good to know about EFTPS. Is that the same system I'd use for other federal business taxes too?

0 coins

Yes, EFTPS handles all federal business tax payments - income tax, employment taxes, everything except what goes to Washington ESD.

0 coins

just make sure you dont miss the january 31st deadline for form 940. irs penalties are way worse than washington esd penalties in my experience

0 coins

Noted! I definitely don't want to deal with IRS penalties on top of everything else.

0 coins

Quick question - do I need to file Form 940 even if I only have one employee? My Washington ESD account shows minimal activity since it's just me and one part-time worker.

0 coins

Yes, if you paid wages of $1,500 or more in any quarter, or had an employee for 20+ weeks, you need to file Form 940.

0 coins

Thanks, that answers it. My part-timer definitely hits those thresholds.

0 coins

This is why I use a payroll service for everything. They handle all the federal and Washington ESD filings automatically. Worth every penny to not have to worry about deadlines and which agency gets what.

0 coins

What payroll service do you use? I'm thinking that might be easier than trying to track all this myself.

0 coins

I use ADP but there are lots of options. Just make sure they handle both federal and Washington state unemployment taxes.

The washington esd website actually has a good section for employers that explains the difference between state and federal unemployment taxes. might be worth checking out even though you cant reach them by phone

0 coins

I'll look for that section. Haven't explored their employer resources much.

0 coins

Just wanted to follow up on the Claimyr suggestion - it really does work for getting through to Washington ESD when you have employer questions about state unemployment taxes. Obviously won't help with federal taxes since that's IRS territory, but super useful for state-specific issues.

0 coins

How much does something like that cost? Seems like it could get expensive if you need to call frequently.

0 coins

It's worth it when you consider the time saved vs being on hold for hours. Check their site for current details.

0 coins

Don't forget you might also need to pay federal unemployment tax quarterly if your liability is over $500. It's not always just an annual thing.

0 coins

How do I know if I need to pay quarterly vs annually?

0 coins

Check the Form 940 instructions, but generally if your FUTA tax liability is over $500 in any quarter, you need to deposit it by the end of the following month.

0 coins

i screwed this up royally last year. paid everything to washington esd thinking they handled both state and federal. had to deal with irs notices for months. dont be like me lol

0 coins

Yikes, that sounds like a nightmare. Good thing I asked before making that mistake.

0 coins

yeah definitely get it right the first time. irs doesnt mess around with late payments

0 coins

For what it's worth, your CPA or tax preparer should handle Form 940 as part of your business tax prep. Don't feel like you have to figure this all out yourself if you have professional help.

0 coins

My accountant usually handles it but she's traveling this month and I wanted to understand the process myself.

The key thing to remember is TWO separate systems: Washington ESD for state unemployment taxes, IRS for federal unemployment taxes. Never the two shall meet, despite how confusing that seems.

0 coins

That's the clearest way I've heard it explained. Two systems, completely separate. Got it.

0 coins

Also worth noting that if you're behind on Washington ESD state unemployment taxes, it can affect your federal FUTA credit. So keep both current to get the lowest federal rate.

0 coins

Good point. So they are connected in that way, even though you pay them to different agencies.

0 coins

been dealing with this for 15 years and it still confuses new business owners every time. federal to irs, state to washington esd. wish they made it clearer somehow

0 coins

It really should be more clearly explained somewhere. This thread has been more helpful than anything I found online.

0 coins

One more tip - keep good records of both your Washington ESD payments and your federal FUTA payments. You'll need them for your annual reconciliation and to prove you qualify for the state credit on your federal return.

0 coins

Will do. Sounds like documentation is key for both systems.

0 coins

Final thought on this - if you do need to reach Washington ESD for any employer-related questions about your state unemployment account, definitely try Claimyr. The phone system there is just as impossible for employers as it is for claimants, so having a way to actually get through is invaluable.

0 coins

Thanks for the recommendation. I'll bookmark that for future Washington ESD questions.

0 coins

This whole thread should be required reading for new business owners. The federal/state split is so confusing when you're starting out.

0 coins

Agreed! I wish I had found this information earlier. Everyone has been really helpful.
