Washington ESD federal unemployment tax payments - when are they due?
I'm trying to understand the federal unemployment tax timeline for my small business in Washington state. I know I have to pay FUTA taxes but I'm confused about when these payments are actually due and how they work with Washington ESD. Do I pay quarterly or annually? And does Washington ESD handle any of this or is it all federal? I've been getting conflicting information online and really need to make sure I don't miss any deadlines.

Federal unemployment tax (FUTA) is separate from Washington ESD state unemployment taxes. FUTA payments are typically due quarterly if you owe more than $500, otherwise annually by January 31st. You'll file Form 940 annually regardless. Washington ESD only handles the state portion.

•So I need to track both federal and Washington ESD taxes separately? That seems unnecessarily complicated.

•Yes unfortunately they're completely separate systems. Federal goes to IRS, state goes to Washington ESD. Different rates, different forms, different deadlines.

The quarterly due dates are April 30, July 31, October 31, and January 31. But only if your FUTA liability exceeds $500 in a quarter. If it's under $500, you can wait until the annual Form 940 is due.

•What happens if you miss a quarterly payment but your total for the year is under $500? Do you still get penalized?

•No penalty if your total annual liability is under $500, even if you missed quarters. The $500 threshold determines your payment schedule.

I was struggling with this same issue last year and couldn't get through to anyone at the IRS or Washington ESD for clarification. Found this service called Claimyr (claimyr.com) that actually helped me reach the right people at both agencies. They have a demo video at https://youtu.be/7DieNd3C7zQ showing how it works.

•How does that service work exactly? I've been trying to reach Washington ESD for weeks about my business account.

•They basically help you get through the phone queues faster. Saved me hours of waiting on hold when I needed to verify my SUTA rates with Washington ESD.

Don't forget that FUTA rate is 6% but you get a credit of up to 5.4% if you pay your state unemployment taxes on time to Washington ESD. So effective rate is usually 0.6%.

•Wait, so paying Washington ESD on time affects my federal rate? I had no idea they were connected like that.

Leila Haddad
•Exactly! If you're delinquent with Washington ESD, you lose part or all of that 5.4% credit on your federal taxes. Big incentive to stay current with state.

•This is why I hate dealing with employment taxes. Too many moving pieces and connections between agencies.

The wage base for FUTA is $7,000 per employee per year, much lower than Washington ESD's wage base. So you stop paying FUTA on each employee once they hit $7k in wages.

•That's actually helpful to know. So if I have seasonal workers who don't make much, I might not owe FUTA on them at all?

Ravi Patel
•Right, if they make under $7,000 annually, no FUTA. But you still might owe Washington ESD state taxes depending on their wage thresholds.

I made the mistake of thinking Washington ESD would remind me about federal deadlines. They don't! You have to track FUTA separately even though both are unemployment-related taxes.

•Same mistake here. Got hit with penalties because I assumed they were coordinated somehow.

•The lack of coordination between agencies is ridiculous. How hard would it be to send a courtesy notice?

Pro tip: if you use a payroll service, make sure they're handling both federal and Washington ESD portions correctly. Some only do one or the other.

•Good point. I switched payroll companies and they missed filing my Washington ESD quarterly report. Had to straighten that out separately.

•Always double-check what's included in their service. Don't assume they handle everything unemployment-related.

For anyone still confused about deadlines, I keep a spreadsheet with both federal FUTA and Washington ESD due dates. Federal quarterly deposits are due by the last day of the month following the quarter end.

•Could you share that spreadsheet template? I'm terrible at keeping track of all these different dates.

•I'll see if I can upload it somewhere. It's basically just calendar dates with which taxes are due when.

The annual Form 940 is due January 31st, but you can get an extension until February 10th if you deposited all required payments on time during the year.

•That extension seems pretty short. Is there any way to get more time if you're behind on paperwork?

Mateo Gonzalez
•Not really. The IRS is pretty strict about unemployment tax deadlines. Better to file on time even if it's not perfect.

I had issues reaching both IRS and Washington ESD last year about overlapping questions. Used Claimyr to get through to Washington ESD at least, which helped clarify the state side of things. Sometimes you need to talk to a real person to sort out the details.

•How much does something like Claimyr cost? Might be worth it if it saves time dealing with government phone systems.

•I found it worth the cost when I was stuck and losing money waiting for answers. Check their site for current pricing.

Remember that if you're a new employer, you might qualify for reduced rates with Washington ESD but still pay the full federal rate until you build experience rating history.

•How long does it take to get an experience rating with Washington ESD? I'm in my second year of business.

•Usually takes 2-3 years to get your own rate. Until then you pay the standard new employer rate to Washington ESD.

Make sure you're also tracking state disability taxes if you have employees in Washington. That's separate from both FUTA and regular Washington ESD unemployment taxes.

•Wait, there's a third tax? How many different employment taxes are there in Washington?

•Federal FUTA, state unemployment to Washington ESD, state disability, plus workers comp. It adds up quickly.

•This is why I'm considering just hiring contractors instead of employees. So many tax complications.

If you're doing electronic payments, make sure you're using the right system for each. Federal goes through EFTPS, Washington ESD has their own online portal.

•Always double-check the routing numbers and account info. Easy mistake to make when you're dealing with multiple agencies.

For those still having trouble reaching agencies for clarification, I used Claimyr successfully to get through to Washington ESD when I had questions about how state payments affect my federal credit. Worth checking out if you're stuck.

•I've been hesitant to use third-party services for tax questions. Do they actually know what they're talking about?

Liam O'Sullivan
•They don't give tax advice - they just help you reach the actual agency representatives who can answer your specific questions.

Bottom line: track federal and Washington ESD separately, pay quarterly if over $500 federal liability, and don't assume the agencies coordinate with each other. Keep good records of everything.
