Washington ESD quarterly tax payment - how to pay unemployment taxes correctly?
I'm really confused about paying my unemployment taxes to Washington ESD. My small business just got hit with our first quarterly tax notice and I have no idea how to navigate their payment system. The notice mentions something about online payments through SecureAccess Washington but when I try to log in it keeps asking for account numbers I don't have. Do I need to set up a separate employer account? The amount due is $2,847 and the deadline is next week. Has anyone figured out the correct way to submit these payments without getting penalty fees?

You need to register for a Washington State business account through the Department of Revenue portal first. Once you have your UBI number, you can access the unemployment tax section through Washington ESD's employer services. The system is definitely not intuitive but it works once you get set up properly.

•Thanks! Do I need the UBI number before I can make any payments? I'm worried about missing the deadline while waiting for registration to process.

•Yes, the UBI is required for online payments. But you can still pay by phone or mail if you're cutting it close on the deadline.

I struggled with this exact same issue last quarter! The Washington ESD employer portal is honestly terrible. What saved me was using Claimyr to actually get through to someone at Washington ESD who could walk me through the payment process. They have this service at claimyr.com where they help you get connected to the right department. There's even a video demo at https://youtu.be/7DieNd3C7zQ that shows how it works.

•Wait, Claimyr works for employer issues too? I thought it was just for claimants trying to reach agents about their benefits.

•They help with any Washington ESD contact situation. The tax department is just as hard to reach as the claims side, so it makes sense they'd help with both.

•This might be exactly what I need. How quickly were you able to get through to someone?

The quarterly unemployment tax filing process involves calculating wages subject to unemployment tax, applying the current tax rate, and submitting payment with Form 5208. For 2025, the tax rates range from 0.28% to 6.0% depending on your experience rating. You can pay online through the Washington State Department of Revenue's My DOR portal, by phone at 360-902-9800, or by mail with a check.

•What determines the experience rating? Mine seems really high for a new business.

•New employers typically start at 2.7% until they build a claims history. Your rate adjusts based on the ratio of benefits charged to your account versus your total payroll over time.

ugh this system is SO frustrating!! I spent 3 hours trying to figure out how to pay online and kept getting error messages. Finally just wrote a check and mailed it certified mail. Sometimes the old fashioned way is easier than dealing with their broken website.

•I feel your pain. The whole Washington ESD employer system feels like it was designed in 1995 and never updated.

•RIGHT?! And don't even get me started on trying to call them for help. Phone just rings forever or you get disconnected.

For anyone else struggling with this - here's the step by step process that actually works: 1) Get your UBI number from Washington State DOR, 2) Register for the My DOR online account, 3) Link your unemployment tax account using your Washington ESD account number from your quarterly notice, 4) Make payment through the combined excise tax return system. The interface is clunky but it does process payments correctly.

•This is super helpful! Do you know if there's a processing fee for online payments?

•No fees for ACH bank transfers, but credit card payments have a 2.5% convenience fee.

•@Zainab Khalil I can t'find the website take credit card. I can only see the bank ach. can you help? Thanks.

Wait I'm confused about something. Do we pay unemployment taxes to Washington ESD directly or through the Department of Revenue? I keep seeing conflicting information about which system to use.

•Unemployment taxes are collected by the Department of Revenue but administered by Washington ESD. You pay through DOR's system but the money goes to the unemployment insurance fund managed by ESD.

Connor Murphy
•That explains why I couldn't find a direct payment option on the Washington ESD website! Thanks for clarifying.

Just want to mention that penalties for late payment are pretty steep - 10% of the tax due plus 1% interest per month. So definitely don't miss your deadline while trying to figure out the online system. If you're cutting it close, pay by phone or mail to be safe.

Miguel Ortiz
•Good point about the penalties. I definitely don't want to risk that on top of everything else.

Has anyone tried the mobile app for payments? I saw something about a Washington DOR mobile option but not sure if it handles unemployment taxes.

•The mobile app is pretty limited. It shows your account info but I don't think you can make unemployment tax payments through it. Stick with the full website.

Update on the Claimyr thing - I actually used them again this quarter when I had questions about wage reporting requirements. Got connected to a tax specialist at Washington ESD within about 20 minutes instead of spending hours on hold. Totally worth it when you're dealing with deadlines and potential penalties.

•Did they charge extra for employer tax questions or is it the same service?

•Same service, they just help you get through to the right department. The video demo I mentioned earlier explains how it all works.

Another heads up - make sure you're paying the right quarter! I accidentally paid for Q3 when I meant to pay Q4 and had to call to get it straightened out. The quarter codes on the forms are confusing.

Keisha Robinson
•Oh no! How long did it take to get that fixed?

Paolo Conti
•About 3 weeks and multiple phone calls. Not fun when you're trying to keep compliant.

For future reference, you can set up automatic payments through the My DOR portal once you're registered. This eliminates the stress of quarterly deadlines and ensures you never miss a payment. You can also view your payment history and download copies of all your filings.

Miguel Ortiz
•That sounds like exactly what I need! Can you set it up to just pay the exact amount due each quarter or do you have to estimate?
0 coins
Yara Haddad
•You still need to file your quarterly report first to calculate the exact amount due, then the system can auto-debit that amount. It's not a pre-payment system.

Just realized I should mention - if you have employees in multiple states, make sure you're only paying Washington unemployment tax on Washington wages. Sounds obvious but easy to mess up if you're not careful with your payroll system.

•Good point. I almost made that mistake when I had a remote worker move to Oregon.

One more tip - keep documentation of everything! Screenshot your payment confirmations, save the confirmation numbers, and print copies of your quarterly filings. Washington ESD's system has been known to lose records occasionally.

•Definitely doing this. Better safe than sorry when dealing with tax payments.

If anyone needs the direct phone number for unemployment tax questions, it's 360-902-9733. But like others mentioned, be prepared for long hold times. Having backup options like the Claimyr service can really save you time and frustration.

Miguel Ortiz
•Thanks for the phone number! I'll try calling first but good to know about the other option too.

Does anyone know if there are different requirements for seasonal businesses? We only operate during summer months but still have to file quarterly reports during our off season.
0 coins
Yara Haddad
•You still need to file quarterly even with zero wages. The system needs the reports to maintain your account status. Just file with zeros for the quarters you're not operating.

Final update from my end - I got my payment processed successfully by mail and received confirmation about a week later. Sometimes the simple approach really is the best when you're dealing with government systems!

•Good to know the mail option works reliably. I might go that route for this quarter and set up online for next time.

For anyone still struggling to get through to Washington ESD by phone, I can't recommend Claimyr enough. I've used them three times now for different employer tax issues and it's been worth every penny to avoid the frustration of endless hold times and disconnected calls.

One final reminder - your unemployment tax rate for next year will be determined by your claims experience through June 30th of this year. So if you're working on reducing turnover or improving hiring practices, now is the time to focus on that for future rate benefits.

Miguel Ortiz
•That's really good to know for planning purposes. I had no idea the rate could change based on actual claims.

Hope this thread helps other employers too. The Washington unemployment tax system definitely has a learning curve but it gets easier once you understand the process.

I just went through this same nightmare last month! The key thing that finally worked for me was calling the Department of Revenue directly at 360-705-6741 instead of the ESD number. They were able to walk me through the My DOR registration process and link my unemployment tax account on the same call. Took about 45 minutes total but saved me days of frustration with the online system. Once you're set up, the quarterly payments are actually pretty straightforward - just make sure you're logged into My DOR, not the ESD portal. Also, if you're really pressed for time, you can pay by phone with a debit card through their automated system at 360-705-6742. There's no fee for debit cards, only credit cards.

•This is incredibly helpful! I've been trying the ESD number for days with no luck. The Department of Revenue direct line sounds like exactly what I need. Did they help you figure out which tax rate applies to your business too, or do you have to calculate that part yourself?

•@Amara Nnamani This is exactly what I needed to hear! I ve'been banging my head against the wall trying to get through to ESD. The Department of Revenue direct line sounds like a much better approach. Just to confirm - when you say link "your unemployment tax account -" do they do that during the same call while you re'registering for My DOR, or is that a separate step? I want to make sure I have everything ready when I call them tomorrow.

•@Amara Nnamani Thank you so much for sharing this! I ve'been struggling with the same issue and getting nowhere with the ESD phone lines. Quick question about the Department of Revenue number - when you called 360-705-6741, did you need to have your quarterly tax notice with you, or just basic business information? I want to make sure I have everything ready before calling. Also, do you know if they can help with questions about wage calculations or is that something I d'still need to contact ESD directly for?
