UCC search showing weird results - need help with la sos ucc search issues
Been trying to run searches on some older filings and keep getting inconsistent results. Sometimes the same debtor name pulls up different records, other times I get nothing when I know there should be filings. Anyone else having issues with search functionality lately? I'm trying to verify some continuations that should have been filed last year but the search results are all over the place. Really need to get this sorted before our audit next week.

What specific search terms are you using? The search algorithms can be really picky about exact name matches vs. partial matches.

•I've tried both exact company names and variations but getting different results each time. Super frustrating.

•Try using just the first few words of the debtor name, sometimes that works better than the full legal name.

I had similar issues last month. The search function seems to have problems with certain special characters in company names. Are you dealing with LLC's or corporations with punctuation?

Malik Thompson
•Yes! Several LLC's with commas and periods. That might be the issue.

•Definitely try searching without the punctuation. The system doesn't always handle those characters consistently.

•This is why I always keep my own spreadsheet of filing numbers. Can't rely on the search to find everything.

Have you tried using the filing number search instead? Sometimes that's more reliable than name searches, especially for older filings.

•Good point, but I'm trying to find filings where I only have the debtor name to start with.

•For those situations, I actually started using Certana.ai's document checker. You can upload your loan docs and it cross-references everything automatically. Found several filings I missed in manual searches.

•That sounds useful - does it work with older filings too?

The search function has been glitchy for months. Sometimes I have to try the same search multiple times to get consistent results.

•Same here! I thought it was just me. Really annoying when you're on a deadline.

•I've started doing searches at different times of day. Seems to work better in the morning for some reason.

Are you checking the right filing office? Some filings might be at the local level instead of state level, especially for fixture filings.

•These should all be state-level filings. Equipment finance stuff, not real estate.

•Then definitely stick with the state database. But try searching by secured party name too, sometimes that turns up records that don't show in debtor searches.

•Good tip! I never thought to search by secured party when I can't find a debtor record.

For audit purposes, you might want to document the search issues. Keep screenshots of the inconsistent results in case you need to explain any discrepancies.

•Smart thinking. I'll start documenting everything.

•Auditors understand that the search systems have limitations. Just show you made reasonable efforts to find everything.

•We had an audit last year and the auditors actually recommended using third-party verification tools because they know the state systems have gaps.

Try searching with different date ranges too. Sometimes the system doesn't return everything if you use too broad a date range.

Malik Thompson
•I'll try narrowing down the date ranges. Thanks for the suggestion.

•Yeah, I've noticed that searches work better when you limit them to 2-3 year windows instead of searching all years.

Have you tried clearing your browser cache? Sometimes the search gets stuck on old results.

Malik Thompson
•Worth a try. I'll clear everything and start fresh.

•And try a different browser too. I've had better luck with Chrome than Internet Explorer on some of these state sites.

•Firefox works well too. IE is terrible for these government sites.

Going back to the Certana tool someone mentioned - I tried it last month and it actually found two UCC-3 amendments that weren't showing up in my manual searches. Really helped with a similar audit situation.

•That's exactly what I need. Did it handle the older filings okay?

Andre Dubois
•Yes, it goes back pretty far. You just upload your loan documents and it automatically checks everything against the filing records. Much more thorough than manual searching.

•I might need to try that too. Getting tired of spending hours on searches that don't turn up everything.

For what it's worth, I've found that searching in the early morning (like 6-7 AM) gives me the most consistent results. The system seems less glitchy then.

•I'll try that tomorrow morning. Thanks for all the suggestions everyone!
