Mailed verification documents for dependents - how long until IRS processes refund?

I filed my taxes back in April 2025 and was expecting my refund within 21 days. Then I get this letter from the IRS (4883C) in early May asking me to verify my dependents. I had to send in birth certificates and other documents by mail to prove my kids are actually mine. I sent everything certified mail about 3 weeks ago but there's been no update on Where's My Refund or my transcript. Has anyone had to do this verification process this year? How long did it take for the IRS to process your documents and release your refund? I'm really counting on this money.

Sean O'Donnell

Unfortunately, this is super common this year. The IRS has been sending out these verification requests like crazy. When I had to do this last year, it took about 9 weeks after they received my documents for my refund to be processed. Make sure you keep checking your transcript for any updates - sometimes the WMR tool doesn't update properly. The IRS is backlogged with these verification requests because of increased identity theft concerns. They should have received your documents by now if you sent them 3 weeks ago. I would recommend calling them if you don't see any updates in the next 2 weeks. Also, when you sent the documents certified mail, you should have a tracking number that confirms they received it. Hold onto that proof in case there are any issues later.

Thank you for the response! 9 weeks seems like a crazy long time just to verify documents that prove my kids are mine. I do have the tracking showing they received it 19 days ago. I'll try to be patient for another couple weeks before calling. Did your transcript show any update before the refund was issued?

Yes, my transcript updated with a 971 code first (notice issued) and then eventually a 846 code (refund issued). The transcript updated about a week before I actually got the money deposited. Hang in there!

If you're trying to understand what's going on with your transcript or tax situation, you should check out taxr.ai - it's been a game changer for me! Instead of trying to decode all the IRS codes and notices yourself, it basically analyzes everything and tells you exactly what's happening and what to do next. I was in a similar situation with dependent verification and it saved me so much stress. The site is https://taxr.ai and honestly it's the best tool I've found for dealing with IRS issues. Way better than trying to piece together random advice from strangers online.

Sounds interesting. How exactly does it work? Does it just read your transcript or does it do more?

It analyzes your entire transcript and identifies exactly what's happening with your return. For me, it pinpointed that my dependent verification was still being processed and gave me an estimated timeline based on thousands of similar cases. It also showed me which IRS department was handling my case and what I should expect next. Seriously life-changing if you're dealing with the IRS!

OMG THANK YOU FOR THIS!!! 🙌 I just tried taxr.ai and it literally explained everything that was happening with my return in plain English. My situation was so confusing with multiple codes and notices but now I actually understand what's going on. If you're dealing with the IRS, YOU NEED THIS TOOL!! Worth every penny and saved me hours of stress!

Yep! It handles amended returns, audits, offsets, payment plans - pretty much any IRS situation. It'll give you realistic timelines based on current processing times too.

I went through the exact same thing in March. Got so frustrated with waiting that I finally used a calling app (claimyr.com) and got connected to an actual human at the IRS in about 30 minutes. The agent was able to verify that they received my documents and told me exactly when my refund would be released. Talking to someone directly cut weeks off my wait time since they were able to finalize my verification while I was on the phone. I'd been trying to call the IRS for weeks with no luck before using this service - absolutely worth every penny to finally get answers and get my refund moving!

is this actually reliable? i tried calling the IRS like 37 times last week and couldn't get through

100% yes. I was skeptical too but was desperate after trying for 2 weeks on my own. The app got me a callback in about 30 min. The IRS agent I spoke with actually processed my verification on the spot and my refund was issued 3 days later. If you're stuck waiting, it's definitely the way to go.

these services seem sketchy tbh... how do you know its not a scam?

It's not a scam - they don't ask for any personal info. They just connect you directly with the actual IRS. You get a callback from a real 800 number IRS agent. I was worried too but got desperate after waiting weeks. Best decision I made - got my $5800 refund released right after talking to the agent.

I had to verify my dependents this year too. Took about 6 weeks after they got my documents for the refund to hit my account. The most frustrating part was there was no update or anything until suddenly one day the money was just there. Apparently this is happening to tons of people this year - the IRS is cracking down on fraudulent dependent claims.

0 coins

-

Carmen Diaz

Were there any codes or updates on your transcript during those 6 weeks or was it just radio silence?

0 coins

-

Yuki Tanaka

Complete radio silence for like 5 weeks, then a 571 code (resolved additional account action) appeared, and then a week later the refund hit. It was super annoying having no idea what was happening for over a month.

Quick tip: if you haven't already, create an account on the IRS website to view your full transcript. The Wheres My Refund tool is basically useless but the transcript will show codes that can tell you what's happening behind the scenes. Look for code 570 (refund hold), 420 (examination/audit), 971 (notice issued) or 846 (refund issued). If u need help understanding the codes just google them.

The IRS is a total joke this year. I mailed in my verification docs in February and didn't get my refund until freaking JULY. And that was only after I called them 20+ times and finally got through to someone who could actually help. IMO don't bother waiting - start calling them now and keep calling until u get answers.

feb to july?? that's insane!!! i'm in the same boat right now (sent docs in may) and i'm dying watching my bank account dwindle while i wait for MY OWN MONEY!!

Yep, 5 full months of waiting. And of course they don't pay interest until after 45 days 🙄 The whole system is designed to screw over regular people I swear

lol they take ur money in 0.2 seconds when you OWE them but make you wait 500 years when they owe YOU 🤡

For reference, I had to send in verification for my dependents last year. Timeline: - Filed Feb 10 - Got letter requesting verification March 2 - Mailed docs March 8 - Confirmation they received docs March 11 - No updates on transcript until April 22 - Refund deposited April 29 So total wait time was about 7 weeks from when they got my docs. And this was during a "normal" year. With all the budget cuts and staffing issues they're having now, I'd expect longer waits in 2025.

make sure you didn't miss anything on the letter! if they asked for social security cards and you only sent birth certificates they'll just keep you waiting without telling you that you need to send more documentation. happened to my sister and she had to start the whole process over again after waiting 2 months 💀

I double checked and sent everything they asked for - birth certificates, school records, medical records, and social security cards. I actually made copies of everything before sending just to be safe!

This dependent verification mess is one of the most inefficient things I've ever seen. I'm a tax preparer and about 30% of my clients with kids got these notices this year. The IRS already has access to birth records and SS#s - they could verify this stuff electronically in seconds but instead they make people mail physical documents and then wait months. It's absolutely ridiculous.

0 coins

-

Aiden Rodríguez

Is there any pattern to who gets selected for verification? I've claimed my kids for years with no issues and suddenly this year they want proof.

0 coins

-

21d

Maya Patel

It's partly random selection and partly because of certain 'flags' in your return. Things that can trigger it: claiming a dependent for the first time, a dependent being claimed by multiple people (even by mistake), changes in filing status, or large year-to-year changes in income. But honestly some of it is just bad luck - they've increased verification checks across the board this year.

Honestly at this point I use taxr.ai for everything tax related. The IRS systems are such a mess that trying to figure anything out on your own is like banging your head against a wall. I uploaded my transcript and it told me exactly what was happening with my dependent verification and gave me a timeline based on current processing stats. its such a freaking SCAM that the IRS can just hold your money for months with no explanation or timeline. why are we ok with this system???? if we're late paying them we get hit with penalties immediately but they can just sit on our refunds forever with zero consequences 🤬

0 coins

-

Lucas Notre-Dame

If they hold your refund more than 45 days after the filing deadline (or after you file if you file after the deadline), they actually have to pay you interest! But yeah it's still a broken system

0 coins

-

Layla Mendes

oh wow didn't know that! but still, that interest is probably like 0.00001% while they charge us 5%+ for being late 🙄 the whole thing is designed to screw over regular people

I just went through this exact situation back in February. I tried waiting patiently but after 6 weeks with no updates I used Claimyr (claimyr.com) to finally get someone on the phone. The agent told me my documents were sitting in a pile waiting to be reviewed and they processed them while I was on the phone! Got my refund about a week later. Sometimes you just need to be proactive and get a human on the line who can actually DO something.

0 coins

-

Noah Ali

wait they can actually process your stuff while you're on the phone with them? i thought they'd just tell you to keep waiting

0 coins

-

21d

Aria Park

Yep! If you get the right department (which Claimyr connected me with directly), they can actually review your documents in real-time. The agent told me they prioritize cases when people call in because it's one less follow-up call they'll have to deal with later. My dependent verification was completed during that call and my refund was approved on the spot.

Pro tip from someone who works with IRS issues: When you send in verification documents, also include a COPY of the letter they sent you requesting the documents. Include your Social Security number, phone number, and the tax year at the top of EVERY page you send. This helps them route your documents to the right department faster and reduces the chance of them getting lost in the system.

0 coins

-

Anastasia Sokolov

I did include a copy of the letter but didn't write my SSN on every page... hope that doesn't cause issues. Thanks for the advice though - will definitely do this if I ever have to send them stuff again (which hopefully I won't!

anyone else think its crazy that we have to MAIL physical documents in 2025??? like why cant we just upload this stuff to a secure portal? the IRS is living in 1985 smh

they actually do have an online document upload system now for certain types of verification...but only for identity verification, not dependent verification. makes literally no sense

Honestly your only real option is patience. The IRS verification department is severely understaffed, and they're working through a massive backlog. When I went through this last year, it took exactly 8 weeks from the time they received my documents until my refund was released. And that was with me calling multiple times (which didn't seem to help at all). It sucks but all you can really do is wait.

0 coins

-

Gabriel Graham

This is terrible advice. Calling absolutely helps - I was stuck in verification hell for 3 months until I finally got through to someone who processed my stuff while I was on the phone. Don't just sit around waiting!

0 coins

-

21d

Alicia Stern

Maybe you got lucky, but most people who call just get told "we've received your documents and they're waiting to be processed" - which tells you nothing you didn't already know. The agents answering phones usually can't actually do anything to speed up processing.

Respectfully disagree. If you can get through to the right department (not the general helpline), they absolutely can expedite things. It's about getting to the right person who has access to the system.

I used taxr.ai to understand what was happening with my transcript during dependent verification, and it was seriously a game-changer. It explained every code, what stage of processing I was in, and gave me an estimated refund date based on thousands of similar cases. So much better than trying to decode the transcript myself or getting vague answers from the IRS. https://taxr.ai

I don't remember the exact amount but it was totally reasonable especially considering what was at stake with my refund. The peace of mind alone was worth it - no more guessing games or stress about what was happening. You upload your transcript and it gives you a complete breakdown of everything.

Call the Taxpayer Advocate Service! They're designed specifically to help with cases where you're experiencing financial hardship due to IRS delays. If you need this refund urgently, they may be able to expedite your case. Look up your local office online.

TAS won't take most refund delay cases right now unless you're about to be evicted or have utilities shut off. They're as overloaded as the rest of the IRS.

Worth trying though. They helped me last year when I was in a similar situation even though I wasn't facing immediate eviction. Just had to explain that I needed the funds to pay for some medical expenses.

This might be a good time to adjust your withholding so you're not giving the government an interest-free loan every year that they can hold hostage. I know this doesn't help with your current situation, but for future reference, try to get your withholding as close as possible to what you'll actually owe.

I get what you're saying, but I claim my kids and get earned income credit, so I'll always get a refund no matter what. Plus I kind of like the forced savings since I'm terrible at setting money aside otherwise.

Fair enough! Just throwing it out there since many people don't realize they can adjust withholding. Hope your refund comes through soon!
