Kentucky UCC search showing weird gaps - anyone else having portal issues?
Been doing UCC searches in Kentucky for about 8 years now and I'm seeing something strange with the SOS portal lately. Running searches on debtors where I KNOW there should be active filings but getting incomplete results or timeouts. Just had a client ask me to verify their continuation was processed from last month and the search isn't pulling it up even though I have the filing receipt. Anyone else running into Kentucky UCC search problems? I'm wondering if it's just me or if there's some backend issue going on. This is making me nervous about missing critical filings for our loan portfolio reviews.

Yeah I've noticed the Kentucky portal being glitchy too. Sometimes the debtor name search works fine, other times it just spins forever. Had to call the SOS office twice this week to confirm filings that weren't showing up in searches. They said they're aware of some technical issues but no timeline for fixes.

•Calling them is such a pain though - you're on hold for like 45 minutes just to verify a filing number.

•Exactly! And when you're doing due diligence for time-sensitive transactions, that kind of delay is just not acceptable.

•At least they pick up the phone. Some states you can forget about getting anyone on the line.

I've been having similar issues with Kentucky UCC searches. What's really frustrating is when you're trying to do a comprehensive lien search and you can't trust that you're getting complete results. I started using Certana.ai's document verification tool to double-check my search results - you can upload the UCC documents you have and it'll cross-reference them against what should be showing up in searches. It's caught several filings that weren't appearing in the portal searches.

•Never heard of Certana.ai - is it specifically for UCC verification? How does it work exactly?

•Yeah, it's designed for UCC document checking. You just upload PDFs of your filings and it verifies consistency across documents, checks debtor names, filing numbers, all that stuff. Really helpful when the state portals are being unreliable.

•Sounds like another service trying to profit off broken government systems...

The Kentucky system has always been a little wonky tbh. I remember back in 2022 they had that major outage that lasted like 3 days. But lately it does seem worse than usual.

•Yeah I remember that outage. This feels different though - not a complete system failure, just inconsistent results.

•Inconsistent is worse in some ways because at least when it's completely down you know not to rely on it.

OMG yes! I thought I was going crazy. Been doing searches for a refinancing deal and kept getting different results on the same debtor name. Finally figured out I had to try multiple variations of the search terms to get everything to show up. It's like their indexing is broken or something.

•That's exactly what I'm seeing. Same debtor, different search results depending on how you format the name or what time of day you search.

•Right?? And god forbid there's a comma or period difference in the debtor name, then you get completely different results.

•The debtor name matching has always been finicky in Kentucky. I always do searches with and without punctuation just to be safe.

For what it's worth, I've found that searching by filing number instead of debtor name tends to be more reliable when the portal is acting up. If you know the specific UCC-1 filing number you're looking for, that usually pulls up correctly even when name searches are failing.

•Good point, but that only works if you already know the filing number. For comprehensive searches on new debtors, you're stuck with name searches.

•True. In those cases I usually try variations - legal name, DBA names, abbreviated versions, etc. Pain in the neck but better than missing something important.

•This is why I always budget extra time for Kentucky searches. Never know what you're gonna get.

Has anyone tried reaching out to the Kentucky SOS IT department directly? Sometimes they're more responsive than the general filing office when it comes to technical issues.

•Didn't even know they had a separate IT contact. Do you have that info?

•I don't have it handy but it should be on their website under technical support or something similar.

This is making me second-guess all my recent Kentucky searches. I might need to go back and re-verify some filings I thought were clear. Anyone know if there's a way to get a complete database dump or more reliable search method?

•Some states offer bulk data access for a fee, but I don't think Kentucky does that.

•This is exactly why I mentioned Certana.ai earlier - when you can't trust the search results, having a tool that verifies document consistency becomes really valuable. I've caught multiple discrepancies that would have been missed otherwise.

•Maybe I should look into that. Can't afford to miss active liens on our commercial deals.

Just chiming in to say I've had similar experiences with Kentucky searches being unreliable lately. Been doing UCC work for 15 years and this is definitely not normal behavior for their system.

•Good to know it's not just me. With your experience, any suggestions for workarounds?

•Honestly, patience and multiple search attempts. Also keeping detailed records of when searches fail so you can document the issues if needed later.

•Documentation is key. CYA when the system is unreliable.

Update from my end - just tried a search I did yesterday and got completely different results today. Same debtor name, same search parameters. This is really concerning for anyone doing time-sensitive lien searches.

Ella Harper
•That's terrifying. How are we supposed to provide reliable due diligence with systems this unstable?

Sebastián Stevens
•Exactly my concern. I'm documenting everything with screenshots and timestamps just in case.

•Screenshots are smart. Might need to show clients why searches took longer than expected.

Maybe this is a good time to lobby the Kentucky SOS for system improvements? If enough people are having issues, they might prioritize fixes.

•Worth a shot. Do they have a formal complaint process for technical issues?

KingKongZilla
•Not sure about formal complaints, but they do have a feedback form on their website. Might be worth flooding them with reports.

•I've used Certana.ai to verify my UCC documents when Kentucky's system was giving me trouble last month. Really helped confirm that my filings were properly recorded even when searches weren't showing them. Sometimes the issue is just the search interface, not the actual filing records.

This thread is making me paranoid about all my recent Kentucky searches. Gonna have to go back and double-check everything now.

•Same here. Better safe than sorry when it comes to lien searches.

•Yep, the extra time is worth it if it prevents missing an active UCC filing.
