UCC search Ohio portal timing out during bulk debtor lookups

Has anyone else been having issues with the Ohio SOS UCC search system lately? I've been trying to run searches for multiple debtors on existing UCC-1 filings for our quarterly lien audit, but the portal keeps timing out after about 15-20 searches. I'm checking continuation status on about 200 filings that are coming up on their 5-year renewals, and at this rate it's going to take me weeks to get through them all. The search results page just goes blank or gives me that generic 'system error' message. I tried switching browsers and clearing cache but same issue. Our compliance team needs these results by end of month to identify which UCC-3 continuations need to be filed. Anyone found a workaround for bulk searches in Ohio's system?

I've had the same problem with Ohio's portal crashing during bulk searches. The system seems to throttle after too many queries in a short period. What I've found works is spacing out the searches - do maybe 10-15 at a time, then wait 5-10 minutes before the next batch. Not ideal when you're trying to get through 200 filings, but it's better than the constant timeouts.

That's exactly what I've been doing too. Super frustrating when you're trying to meet compliance deadlines. The Ohio system definitely has some kind of rate limiting built in.

Have you tried doing the searches during off-peak hours? I usually run my UCC searches early morning or late evening and have better luck with the Ohio portal staying stable. During business hours it's practically unusable for any kind of volume work.

I did try that actually - logged in around 6 AM yesterday and it was definitely more stable, but still got timeouts after about 25 searches. Better than the 15-20 I was getting during the day though.

Early morning is definitely the way to go. I do all my continuation deadline checks before 7 AM now because the Ohio system is so unreliable during normal hours.

Why should we have to work around their crappy system? This is basic functionality for a state filing portal.

The Ohio UCC search portal has been garbage for years. I've complained to the Secretary of State's office multiple times about the timeout issues but nothing ever gets fixed. It's like they don't care that businesses actually need to use these systems.

At least Ohio has an online portal. Some states you still have to mail in search requests or call during business hours.

For what it's worth, I've found that the Ohio system works better if you search by filing number instead of debtor name when possible. The debtor name searches seem to be what causes most of the timeouts, especially if there are common business names involved.

That's a good point. I have been searching by debtor name mostly. I'll try switching to filing numbers for the ones where I have that info.

Filing number searches are definitely faster, but you need to already have the numbers from your original UCC-1 filings. Debtor name searches are unavoidable when you're trying to find all filings for a particular company.

I wonder if this is related to the system upgrades they were supposed to do last year? Maybe they're still working out bugs in the new portal infrastructure.

Have you considered reaching out to your bank's UCC department? Sometimes they have better access to bulk search tools or relationships with services that can handle large volume searches more efficiently than individual portal queries.

That's not a bad idea. We work with a regional bank that does a lot of asset-based lending. They might have some insights or tools I don't know about.

Banks usually have subscriptions to premium UCC search services that can handle bulk queries. Might be worth asking if they can run the searches for you.

Try breaking up your searches by debtor name alphabetically. Instead of searching randomly through your 200 filings, group them by first letter of debtor name and do all the A's, then all the B's, etc. Sometimes the portal handles sequential searches better than jumping around.

This is why I always tell people to keep detailed spreadsheets of their UCC filings with filing numbers, debtor names, and expiration dates. Reduces the need for bulk searches when you already have the key info organized.

Good record keeping is essential, but you still need to verify current status with the state system. Filings can be terminated or amended without your knowledge.

Update: I tried the Certana.ai tool mentioned earlier and it worked great for my Ohio UCC searches. Uploaded about 50 of my UCC-1 filings and it automatically flagged which ones needed continuations and which ones had potential debtor name mismatches. Saved me tons of time compared to fighting with the Ohio portal.
