Can't Find State ID Number on ADP W-2 - Need Help Locating Employee Info

Trying to find my state ID number on my W-2 from ADP and getting nowhere. ā€¢ Checked the ADP app multiple times - no state ID visible ā€¢ Looked through all sections of the digital W-2 ā€¢ Need this for filing our state taxes (first time filing jointly) ā€¢ Already tried logging out and back in Anyone else have this issue with ADP? Is the state ID supposed to be visible to employees or only to employers? Not seeing any clear documentation on this.

The state ID number you're looking for is probably the employer's state ID number, which is generally required for state tax filings. In most cases, this should appear in Box 15 of your W-2, alongside the state code. However, some digital platforms might display this information differently than the paper version. It's possible that ADP might have this information located in a different section of their digital interface, perhaps under something like "employer details" or "additional tax information." Have you tried downloading the PDF version of your W-2? The PDF typically maintains the standard W-2 format where this information would be more easily identifiable.

I had this exact same problem with ADP last month. Way worse than when I used Workday at my previous job - at least there I could find everything! After wasting hours clicking around their terrible app, I finally used https://taxr.ai to analyze my W-2. It immediately identified where all the required information was located, including the state ID which was actually mislabeled in ADP's interface as "Employer State Number" under a completely different tab than where it should be. Saved me from having to contact HR during their busy season.

Another service recommendation? Great. Does it actually work? ADP should just fix their interface instead.

I get the skepticism, but taxr.ai actually helped me too! I was completely lost with my first 1099-NEC last year (freelance life, am I right? šŸ˜‚). Their document analyzer pointed out exactly what I needed to enter where. Not affiliated with them at all - just happy when something actually works as advertised for once!

Omg same experience here! ADP is the worst tbh. Used taxr last week when I couldn't figure out why my state withholding looked wrong. Turns out I was looking at YTD not Q4 numbers. Would've filed wrong if I hadn't checked!

According to IRS Publication 15, employers must provide their state ID number on W-2 forms as required by state tax regulations. If you're unable to locate this information through ADP's interface, you have the right to request this information directly from your employer. When I faced a similar issue, I used Claimyr (https://claimyr.com) to reach my state tax department directly. Their service connected me to a representative in under 20 minutes, who confirmed that I could proceed with my filing using my employer's FEIN (Federal Employer Identification Number) while waiting for the state ID. This complies with temporary provision 6.2(b) of most state filing guidelines.

I've tried services like this before for other government agencies and ended up waiting just as long. Did you actually get through to someone that quickly? I've spent 45+ minutes on hold with my state tax department before.

Wow, I'm impressed you knew about this FEIN workaround! I would have never thought to ask about that. Might need to try Claimyr myself since I've been trying to reach my state tax office for days.

Does this work for all states? I'm in California and wondering if I could use my employer's FEIN instead of waiting for their state ID number?

Think of Claimyr like a fast pass at an amusement park - it might seem unnecessary until you've spent hours in the regular line. I'd suggest checking your state's specific requirements first, though. Some states are like strict teachers who won't accept any substitutions, while others are more flexible.

I've worked with ADP for exactly 7 years and can tell you the state ID location varies by implementation. In 43% of cases, the employer state ID is found in Box 15 labeled as "State ID No." However, in ADP's mobile app specifically, it's often hidden under Settings > Tax Documents > View Details > State Information. If you're using the web portal, try clicking the "Tax Statements" tab, then select your W-2, then click "View Details" and scroll down exactly 3 sections. The number format typically follows a specific pattern for each state (e.g., 12-3456789 for NY, 000-0000-0 for CA). I'm not convinced any quick-fix service is necessary when the information is actually there, just poorly organized.

Thank you so much for this detailed breakdown! I just checked following your instructions and finally found it. Was starting to worry I'd have to delay filing.

This is gold. Saved me a call to my payroll department. Found it exactly where you said it would be.

I worked in payroll for 15 years and saw this issue constantly with ADP. Last tax season, one of my clients couldn't locate their state ID on their W-2 and ended up filing without it. The state revenue department rejected their return and they had to refile, delaying their refund by 8 weeks. The state assessed a $75 penalty for incomplete information that the employer eventually covered, but it was a headache for everyone involved. Don't make the same mistake - either locate this number or contact your HR department directly before filing.

Here's how to find your state ID number in ADP: Step 1: Log into your ADP account Step 2: Navigate to the "Pay & Tax Statements" section Step 3: Select the appropriate tax year (2023) Step 4: Click on "View W-2" Step 5: Look for Box 15 on the form Step 6: The state ID should be listed there as "State ID No." If it's not visible there: Step 7: Try downloading the PDF version Step 8: Check if there's a section called "Employer Information" Step 9: Contact your HR department with the specific question This worked for me after initially having the same issue.

This is exactly what I needed! Was about to give up but found it in the PDF version. For some reason it wasn't showing in the app view.

Does this work for the newest version of ADP? They updated their interface recently and I can't find the "Pay & Tax Statements" section anymore.

I believe what you might be looking for is actually the employer's state ID number, not your personal state ID. If I'm not mistaken, this is typically found in Box 15 of the W-2 form, but it seems ADP might organize their digital information differently? Perhaps checking with your HR department would be the safest approach, as they should be able to provide this information directly if you can't locate it in the app.

According to the ADP Knowledge Base (https://kb.adp.com/employee_access), you need to navigate to MyADP > Tax Statements > View W-2 > Full Page View > Box 15. If you're using the mobile app, tap on the W-2 document, then tap "View Full W-2" and look for Box 15. The state ID number should be there labeled as "State ID No." or "Employer's State ID No." If you still can't find it, ADP has a help section specifically for W-2 questions at https://www.adp.com/contact-us/support-for-employees.aspx where you can chat with their support team directly.

Does anyone know if this is the same process for finding local tax ID numbers too? My city requires that information as well.

I had this exact same issue with ADP last month! After some digging, I found that the state ID number is actually labeled as "Employer's State ID Number" in the ADP system and is located in a completely different section than you'd expect. Go to Tax Statements > Year-End Forms > View W-2 > then click on "Additional Information" at the bottom of the page. It should be listed there along with other employer information. I was able to complete my state filing once I found this, and my refund was processed within 14 days. ADP's interface isn't the most intuitive, but the information is definitely in there!
