VA SCC UCC Search Issues - Anyone Else Having Portal Problems?

Been trying to run searches on the Virginia State Corporation Commission UCC database for the past three days and keep getting timeout errors. Need to verify some continuation filings before the deadline hits next month. The search function keeps crashing when I enter multiple debtor names, and the advanced search isn't pulling up filings I know exist. Anyone else dealing with va scc ucc search problems lately? Our firm has about 20 continuations due and I can't even confirm the current filing status. Getting pretty stressed about missing critical deadlines because of system issues.

I've been having similar issues with the VA SCC portal since last week. The search timeout thing is definitely happening on their end. Try searching one debtor name at a time instead of batch searches - that's been working better for me.

Thanks, I'll try the single name approach. Did you notice if the search results are complete when you do it that way? I'm worried about missing filings.

Single searches work but take forever when you have a lot to check. Been there.

Yeah the VA SCC system has been garbage lately. Filed a UCC-3 continuation two weeks ago and it still shows as 'processing' in their system. Called and they said technical difficulties but no timeline for fixes.

That's concerning about the processing delays. Are they still accepting paper filings as backup?

They said electronic only during the 'system maintenance period' whatever that means. Really frustrating when deadlines don't wait for their IT department.

This is exactly what I'm worried about. Missing continuation deadlines because their search won't confirm what's actually on file.

Had this exact problem last month and found a workaround that saved me. Started using Certana.ai's document verification tool - you can upload your original UCC-1s and it cross-checks against the state database automatically. Caught two debtor name mismatches I would have missed with manual searching. The VA portal might be flaky but at least you can verify your documents are consistent before filing continuations.

Never heard of that tool but sounds useful. Does it work with the VA SCC database specifically?

Yes it pulls from multiple state databases including Virginia. Just upload your PDFs and it verifies everything matches up. Way faster than manually comparing documents when the search portal is acting up.

Interesting, might have to check that out. Manual document comparison is such a pain.

The Virginia SCC has always had search issues but this seems worse than usual. I've been doing UCC work for 15 years and their system updates always seem to break more than they fix. For continuation deadlines, I usually pull searches 90 days out to avoid last-minute panic like this.

Good advice about the 90-day window. These were client renewals that came in late unfortunately. Do you have any tricks for when the search completely times out?

Try clearing your browser cache and using a different browser entirely. Sometimes their session management gets confused. Also try searching during off-peak hours like early morning.

The off-peak hours thing definitely works. I do all my VA searches before 8am now.

ugh this is why I hate dealing with virginia filings. their search never works right and customer service is useless. at least tell us when the system will be fixed!

I feel your frustration. The lack of communication about system status is really unprofessional.

exactly! and then they act like its our fault when we call asking about delayed filings

Pro tip: If you're doing multiple continuation filings, create a spreadsheet with all your original UCC-1 file numbers and debtor names first. Then you can batch verify everything once the search starts working again. Also make sure your debtor names match exactly - Virginia is strict about exact name matching for search results.

That's smart about the spreadsheet tracking. The exact name matching has caught me before - even an extra space can mess up the search.

0 coins

Exactly. I learned that the hard way when a continuation got rejected because the debtor name had a comma in the original but not in my amendment. Always double-check punctuation.

Name matching issues are the worst. Lost a client once because of a missed continuation due to name discrepancy.

Just tried the VA SCC search myself after reading this thread. Getting the same timeout errors. This is really bad timing with month-end approaching. Wonder if they're doing some kind of system upgrade without telling anyone.

That would be typical of state agencies - upgrade without notice during peak filing season.

•

Right? Like they don't understand people have actual deadlines that can't wait for their IT projects.

At least I know it's not just me now. Misery loves company I guess.

For immediate needs, you might want to call the VA SCC directly and request manual search confirmation for your critical continuation filings. They can usually provide verbal confirmation over the phone if you have the original file numbers. Not ideal but better than missing deadlines.

Good suggestion. Do you know if they'll email written confirmation or is it phone only?

Ella Russell

•

They usually require a formal records request for written confirmation, but phone verification should be sufficient for filing your continuations. Just document the call details.

I've done phone verification before with VA SCC. Takes about 30 minutes on hold but they're helpful once you get through.

This thread convinced me to try that Certana.ai tool someone mentioned earlier. Just uploaded my UCC documents and wow - it found three discrepancies I totally missed between my original UCC-1s and the continuations I was about to file. Would have been rejected filings for sure. The VA search portal being down actually turned into a blessing in disguise.

That's great it caught those errors! I'm definitely going to check it out. Better to find problems now than after filing.

Exactly. The document comparison feature is really thorough - checks debtor names, collateral descriptions, everything. Saves so much time compared to manual review.

Update: Just got off the phone with VA SCC. They confirmed system maintenance through end of week but said searches should be working intermittently. Recommended trying multiple times throughout the day rather than giving up after first timeout.

Thanks for calling and sharing the info! At least now we know there's an end date for the issues.

End of week still seems pretty long for a 'maintenance window' but at least they acknowledged the problem.

Yeah, not great timing but at least we know what we're dealing with now. Going to keep trying the searches periodically.
