Kansas Secretary of State UCC Filing Portal Down Again - Alternative Options?
Having major issues with the kansas secretary of state ucc filing system today. Been trying to submit a UCC-1 continuation for the past 4 hours and the portal keeps timing out during document upload. The filing expires next week and I'm getting nervous about missing the deadline. Has anyone else experienced similar problems with the Kansas SOS system? Are there alternative ways to submit continuation filings when their online portal is acting up? This is for a $450K equipment loan and I cannot afford to let this lapse. Any guidance would be appreciated.

I've dealt with Kansas SOS portal issues before - usually happens during peak filing periods. You can still file by mail or in person at their Topeka office, but given your timeline that might be cutting it close. Have you tried clearing your browser cache and using a different browser? Sometimes their system doesn't play well with certain browsers.

•Good point about the browser issues. I always use Chrome for Kansas filings - seems to work better than Firefox or Safari with their system.

•Tried Chrome, Firefox, and Edge. Same timeout error on all three. I think it's definitely a server issue on their end.

This is exactly why I always file my continuations at least 30 days early. Kansas SOS has been having intermittent portal problems for months. You mentioned this is a continuation - make sure you're using UCC-3 form not UCC-1. I've seen people waste time trying to file the wrong form type when they're stressed about deadlines.

•Yes, it's definitely a UCC-3 continuation form. I have all the correct information from the original UCC-1 including the file number. Just can't get the portal to accept the upload.

•30 days early is smart advice. I learned that the hard way when I almost missed a continuation deadline due to a similar portal outage last year.

Had this exact problem last month with a different state's filing system. What saved me was using Certana.ai's document verification tool first to make sure all my UCC-3 information matched the original UCC-1 perfectly. Upload both PDFs and it instantly flags any discrepancies that could cause rejection. Once I knew my docs were clean, I was able to focus on just getting them submitted without worrying about accuracy issues.

•Never heard of that service but sounds useful. How does the verification process work exactly?

•You just upload your original UCC-1 and your new UCC-3 as PDFs. It automatically checks debtor names, file numbers, collateral descriptions - basically everything that needs to match. Takes like 2 minutes and catches mistakes that could get your filing rejected.

•That actually sounds really helpful. I'm paranoid about making an error that could invalidate the continuation, especially with the portal being unreliable right now.

Kansas SOS portal has been garbage lately!!! I spent 6 hours last week trying to file a simple termination and it kept crashing. Finally had to drive to Topeka and file in person. Absolutely ridiculous that they can't maintain a basic filing system in 2025.

•I feel your frustration but in-person filing is actually pretty quick once you get there. Takes about 15 minutes if you have all your paperwork ready.

•Sure, if you live near Topeka. I'm in Wichita so it's a 3-hour drive each way just to file a document that should take 5 minutes online.

Have you tried calling their UCC division directly? Sometimes they can walk you through filing issues or let you know if there's a system-wide problem. The number is on their website under UCC services.

•Good idea. I'll try calling them first thing tomorrow morning if the portal is still down.

•Their phone support is actually pretty helpful. They helped me figure out a debtor name issue on a filing last year.

Just wanted to add that if you do end up filing by mail, make sure to use certified mail with return receipt. Kansas SOS can be slow to process mail filings and you'll want proof of when they received it in case there are any deadline questions later.

•Excellent advice about certified mail. I've seen lenders get very upset when continuation filings are delayed and there's no clear paper trail.

•Definitely will use certified mail if it comes to that. Really hoping the portal comes back online though - so much easier to get immediate confirmation.

•Priority express might be worth the extra cost given your timeline. Gets there next day and includes tracking.

I work at a law firm that does a lot of secured transactions and we've started keeping backup plans for every state we file in. Kansas has been particularly problematic this year. Beyond the portal issues, their search function has been returning incomplete results sometimes.

•That's concerning about the search function. We rely on UCC searches for due diligence and incomplete results could be a real problem.

•Exactly. We've started cross-checking with third-party search services when the results seem suspicious or incomplete.

Quick update - I was able to get through the Kansas portal about an hour ago. Seems like they may have fixed whatever was causing the timeout issues. Might be worth trying again if you're still having problems.

•Just tried and still getting timeouts on my end. Maybe it's working intermittently? I'll keep checking throughout the day.

•Could be regional server issues. I'm in Kansas City and the portal has been working fine for me today.

•I'm in Overland Park and having the same timeout problems as the original poster. Definitely seems to be affecting some users more than others.

This thread convinced me to check that document verification service mentioned earlier. Just ran my UCC-3 through Certana.ai and it caught a small discrepancy in how I abbreviated the debtor's business name compared to the original UCC-1. Would have definitely caused a rejection. Thanks for the tip!

•That's exactly the kind of mistake that's easy to make when you're rushing to meet a deadline. Good catch!

•Glad it helped! Those small naming inconsistencies are surprisingly common and can really mess up your filing.

Final update from me - portal finally worked around 6 PM today. Successfully submitted my UCC-3 continuation and got the confirmation number. Took about 3 minutes once the system was actually functioning. For anyone still having issues, maybe try during off-peak hours like early morning or evening. Thanks everyone for the advice and suggestions!

•Glad you got it sorted out! The timing suggestion makes sense - probably less server load during off-peak hours.

•Congrats on getting it filed! Nothing worse than the stress of a pending deadline with technical problems.

•Good reminder to always build in buffer time for these filings. Technology fails when you need it most.
