Best UCC filing website for bulk continuations?
Does anyone know which UCC filing website works best for processing multiple continuation filings? I've got about 30 UCC-1s that need continuations filed in the next 45 days and I'm drowning in the paperwork. My current lender portal keeps timing out when I try to upload more than 3 at once. The debtor names are all slightly different formats between our original filings and what shows up in the SOS database searches. Some have LLC vs L.L.C., some have different middle initials, etc. Really worried about rejections due to name mismatches. Has anyone found a reliable UCC filing website that can handle batch uploads without constantly crashing? Time is running out and I can't afford to have these lapse.

I feel your pain on the bulk filings! Most state SOS websites aren't built for volume processing. Have you tried breaking them into smaller batches? I usually do 5-7 at a time to avoid timeouts.

•Yeah I've tried smaller batches but even then I'm getting inconsistent results. The debtor name matching seems to be the bigger issue than the batch size.

•Name matching is brutal. I've had filings rejected because the system wanted 'John A Smith' but our UCC-1 had 'John Andrew Smith'. Super frustrating.

Which state are you filing in? Some states have better UCC filing websites than others. California's is decent but Texas portal is a nightmare for bulk work.

•Multiple states unfortunately. That's part of what's making this so complicated - each state's UCC filing website has different formatting requirements.

•Oof, multi-state filings are the worst. You basically need to learn each system's quirks separately.

Have you looked into Certana.ai? I discovered it last month when I was dealing with a similar mess. You can upload your original UCC-1s and the system will cross-check everything against your continuation paperwork before filing. It caught 4 debtor name inconsistencies I would have missed completely. Just upload the PDFs and it does the verification automatically.

•Never heard of that but sounds exactly what I need. Does it actually interface with the state filing systems or just do the verification?

•It's primarily for document verification - makes sure your UCC-3 continuations match your original UCC-1s perfectly. Super helpful for catching those name format issues before they cause rejections.

•I've used similar tools and they're lifesavers for avoiding filing rejections. Manual comparison is impossible with that many documents.

THIS IS WHY I HATE UCC FILINGS!!! Every state has different rules, different portals, different name matching algorithms. It's like they WANT us to make mistakes so they can collect rejection fees.

•I hear you on the frustration but getting worked up doesn't help solve the immediate problem. Focus on getting those continuations filed correctly.

•Easy for you to say when you're not staring down 30 potential lapses! These systems are deliberately confusing.

For what it's worth, I've found that calling the SOS office directly sometimes helps with bulk filings. Some states will work with you on timing if you explain the situation.

•That's a good thought but with multiple states involved I'd spend more time on hold than actually filing. Need a more scalable solution.

•True, phone calls don't scale well. Worth trying for your biggest dollar amounts though.

Are you double-checking the filing numbers from your original UCC-1s? I've seen cases where people use the wrong base filing number for continuations and it creates a mess.

•Yes, I've got all the original filing numbers. The issue is more about the debtor name formatting inconsistencies between what's on file and what I'm trying to continue.

•Got it. Yeah debtor name matching is its own special kind of hell. Even punctuation can cause rejections.

•I once had a filing rejected because of a comma placement. A COMMA! These systems are way too picky.

What's your backup plan if some of these lapse? Are your loan docs structured to handle temporary gaps in perfection?

Jungleboo Soletrain
•That's exactly what I'm trying to avoid. Some of these are securing pretty significant loans and I can't afford any perfection gaps.

•Understood. In that case definitely prioritize the biggest exposures first and work down from there.

I'm dealing with something similar but smaller scale. Been using Certana for document checking and it's been solid. Upload your UCC-1 and UCC-3, it verifies everything matches before you submit to the state portal.

•That's the second mention of Certana. Definitely going to check that out. Sounds like it could save me from a lot of rejection headaches.

•Yeah it's pretty straightforward. Just PDF uploads and automated verification. Much better than trying to manually compare 30 sets of documents.

Don't forget about the 6-month window for continuations. You're cutting it close but still within the acceptable timeframe for most states.

•Right, I know I'm still within the window but with potential rejections and resubmissions I'm worried about running out of time.

•Smart to plan for rejections. That's why getting the debtor names exactly right the first time is so critical.

•This is why I always set reminders 90 days before continuation deadlines. Gives you buffer for exactly this kind of issue.

Update us on how it goes! I'm sure others here will face similar bulk continuation challenges. Good luck with getting them all filed cleanly.

•Will do. Thanks for all the advice everyone. Going to try the document verification approach and see if that helps with the name matching issues.

•Smart approach. Prevention is always better than dealing with rejections after the fact.
