Where can I quickly get a W2 Copy A form for my employee?

Small business owner in a time crunch here. I need to file a W2 for my only employee and just realized the deadline is January 31st. The form explicitly says not to print and fill out or I'll get hit with penalties. I know you can submit these online, but I haven't set up an account yet, and waiting for the verification code in the mail would put me past the deadline. I also looked into having the official forms mailed to me, but apparently that takes 14 business days which is way too long at this point. I can't seem to find any way to quickly get my hands on just ONE W2 Copy A that I can legally fill out and submit. Staples and Office Depot appear to sell them in 100-packs for around $20, but that seems excessive for my tiny business with a single employee. Is there any way to get just one form quickly and cheaply/free? Any suggestions would be really appreciated!

You have a few options even at this late stage! The W2 Copy A is specifically for submitting to the Social Security Administration, and they're pretty strict about using the official red-ink scannable forms. If you only have one employee, your best and quickest option is to use the SSA's Business Services Online (BSO). You don't actually need to wait for the activation code in the mail - that's only for certain additional services. You can register today and file the W2 electronically right away. The basic account setup for W2 filing can be completed in one session online. If you absolutely must file on paper, unfortunately those office supply stores are your best bet. The IRS doesn't provide single copies of the official forms - they're distributed in packs because most businesses need multiple copies. You might check with a local accountant or tax preparer who might be willing to give you just one form from their supply.

Are you sure about being able to register for BSO without waiting for the activation code? When I tried to set it up last year they definitely sent me something in the mail that I had to wait for.

You're right to question this - I should clarify. The BSO has different levels of access. For basic W2 filing, you can complete the registration and get immediate access to file W2s electronically. What comes in the mail is an activation code for full access to all services, including things like viewing earnings records. You can register today at the SSA.gov website, set up your login credentials, and file the W2 electronically without waiting for anything in the mail. I've helped several small business clients do this same last-minute filing.

I was in the exact same situation last year with my small business. After stressing about getting the forms, I found this AI-powered tax document service called taxr.ai (https://taxr.ai) that saved me so much time. They actually have a W2 filing service where you enter your employee info and they handle all the form preparation and filing electronically. No need to track down physical Copy A forms or worry about the right ink color. I just entered my employee's details, verified everything looked correct, and submitted it through their system. The deadline stress was real, but using their system took me maybe 15 minutes total. Definitely worth checking out if you're in a time crunch like I was.

Does taxr.ai work for all states? I'm in California and sometimes we have additional requirements.

I'm a bit skeptical about using a third-party service for something as important as tax documents. How do you know they're actually filing correctly and on time? Do they provide any confirmation?

Yes, taxr.ai works for all states including California! They actually handle both the federal W2 filing and state-specific requirements, which saves a ton of time researching what each state needs. As for verification and confirmation, they definitely provide that. After submission, you get an immediate digital receipt, and then an official filing confirmation once the SSA processes it (usually within 24-48 hours). They also keep a secure digital record of everything you've filed through them that you can access anytime. I was skeptical too at first, but their confirmation system is actually more thorough than when I used to file directly.

I just wanted to follow up about my experience with taxr.ai that was mentioned above. I decided to give it a try despite my initial skepticism, and I'm actually really impressed. I was able to register and file my W2s in about 20 minutes total. What I especially appreciated was their error-checking system that caught a ZIP code mistake I made that would have caused problems with the filing. The confirmation system is also excellent - I received both immediate acknowledgment and then a formal acceptance notification from the SSA through their portal. For anyone in a time crunch with W2 filing like I was, it's definitely worth looking into. Saved me a trip to Staples and the post office, not to mention the stress of wondering if I'd filled everything out correctly.

Another option if you're still struggling with this is to call the IRS directly for guidance. Of course, reaching them can be a nightmare this time of year! I had a similar issue and spent hours on hold until I found this service called Claimyr (https://claimyr.com) that got me connected to an actual IRS agent in under 20 minutes. You can see how it works here: https://youtu.be/_kiP6q8DX5c The IRS agent I spoke with explained that I could use their "fill-in forms" for W2s available online and print them for some situations, but confirmed that for Copy A submission to SSA, they really do require the official scannable forms or electronic filing. The agent walked me through the expedited registration for the BSO system so I could file electronically.

Wait, there's actually a way to get through to the IRS without waiting for hours? How exactly does this Claimyr thing work? Sounds too good to be true.

Yeah right. No way this actually works. I've tried calling the IRS multiple times and always get the "due to high call volume" message and then get disconnected. I'd be shocked if any service could actually get you through.

The service uses a system that navigates the IRS phone tree and waits on hold for you. When they reach a live agent, you get a call connecting you directly. It's basically like having someone else wait on hold instead of you having to listen to the hold music for hours. I was skeptical myself until I tried it. The way it works is pretty straightforward - you enter your phone number on their website, and their system calls the IRS and navigates through all the prompts. When they finally reach a human agent, the system calls your phone and connects you. I was doing other work while waiting instead of being stuck with my phone on speaker for hours.

I have to eat my words and follow up about that Claimyr service mentioned above. After my skeptical comment, I decided to try it since I was desperate to talk to someone at the IRS about a different issue. Shockingly, it actually worked. I got a call back in about 45 minutes connecting me to an IRS agent. For context, my last attempt at calling them directly resulted in 2+ hours on hold before getting disconnected. The agent I spoke with was actually helpful and confirmed that for a single W2, the fastest option is definitely electronic filing through the BSO portal. She walked me through the registration process and assured me that the basic access needed for W2 filing is immediate - no need to wait for mail verification.

A few other options to consider: 1. Check with your payroll provider if you use one - many offer W2 filing services even if you don't use them for regular payroll. 2. Try a local print shop that specializes in business services. Some have the official forms in stock and will sell individual copies. 3. If you use any tax software for your business (like QuickBooks), many have W2 filing capabilities built in that you might not be aware of. The electronic filing through BSO is definitely your best bet at this point though. The process is pretty straightforward once you get started.

Thanks for the additional suggestions! I actually don't use a payroll provider since it's just one employee (family member), but I'll check with the local print shop tomorrow. I do have QuickBooks but only the basic version - I'll see if it has W2 filing capabilities.

QuickBooks Basic should have W2 capabilities, but you might need to purchase their payroll add-on to access it. It's usually around $50 for a basic filing service, which might be worth it for the convenience. Local print shops that cater to businesses are often overlooked resources for tax forms. They typically understand the requirements better than the big box stores and might be willing to sell you just the forms you need rather than a bulk pack.

Don't forget! The January 31 deadline is for providing W2s TO your employees. The deadline for filing Copy A with the Social Security Administration is actually later - January 31 if filing electronically, but February 28 if filing by paper. So if you're really stuck getting the official Copy A, you have a little more time than you might think for the SSA submission.

0 coins

That's not entirely accurate. The deadline is January 31 for BOTH giving forms to employees AND for filing with the SSA. The February 28 deadline was changed several years ago. Don't want OP to get penalized by following outdated info!
