Where can I find free fillable W2 forms for a small business without paying for a service?
So our tiny business (just me and my partner) used to rely on our bank for free payroll services that handled all our employment tax forms. Well, they recently switched to a paid model and since we're trying to keep costs down (we barely have any payroll to speak of), we decided to go back to doing it ourselves like we did way back when. Everything was going smoothly until now when we need to create W2 forms for ourselves. I've already downloaded the blank W2 pdf forms from the IRS website, but they're not fillable PDFs - meaning I'd have to print them out and fill them in by hand. Is that really what the IRS expects from small businesses? To submit handwritten W2s in 2025? I've found a bunch of services online that offer fillable W2 forms, but they all want to charge monthly subscription fees. Seems ridiculous for just two W2s! The IRS provides tons of other fillable PDFs for free, so there must be a free fillable W2 form somewhere, right? I even signed up with ssa.gov thinking I could submit W2s online, but they're literally mailing something to my physical address to verify my account before I can proceed. I guess I could try finding a free PDF editor and manually add text to each box, but since the information is identical across all the copies, that feels like a huge waste of time. If you're really in a time crunch and can't wait for the SSA verification, there's always the option of using the official W3/W2 forms from the IRS and just typing directly onto them with a typewriter (or computer equivalent). Make sure you order the official red-ink scannable forms if you go this route though! The downloadable PDFs from the IRS site won't work for official submission because they lack the special red ink that scanning systems require.
