Received duplicate W-2s from ADP and Gusto for same employer - What to do?
Hey everyone, I'm in a weird situation with my W-2 forms this year. I got two of them in the mail from the same employer! One is from ADP and the other is from Gusto. Has anyone else dealt with this before? I'm not sure how this affects my taxes or what I should do about it. Any advice would be appreciated!

Oof, that's a tricky one. Have you tried reaching out to your HR department? They should be able to clarify which one is correct or if you need to use both somehow.

β’Yeah, I'm planning to contact them tomorrow. Just wondering if anyone here has gone through something similar.

β’Good call. HR should def be your first stop. Keep us posted on what they say!

This happened to me last year! Turns out my company switched payroll providers mid-year. I had to combine the info from both W-2s on my tax return. It was a pain, but doable.

β’Oh wow, that might be what happened here too. Did you have to do anything special when filing your taxes?

β’Not really, just made sure the total income matched what I actually earned. But def double-check with your employer to be sure!

Sounds like a headache π€ The IRS might flag this as a potential issue. You should probably reach out to them too, just to cover your bases.

I work in payroll, and this is more common than you'd think. Here's what you need to do: 1. Contact your employer ASAP. Ask them which W-2 is correct or if you need to use both. 2. If both are correct (split year between payroll providers), you'll need to report info from both on your tax return. 3. Make sure the total income on both W-2s matches your actual earnings for the year. 4. Keep both W-2s and any correspondence with your employer for your records. 5. If you're using tax software, there should be an option to enter multiple W-2s from the same employer. 6. Consider consulting a tax professional if you're unsure about anything. Don't panic, it's fixable! Just make sure you address it before filing your taxes.

Quick question - are the amounts on both W-2s the same or different? That could give you a clue about whether it's a duplicate or if they're meant to be combined.

β’Good point! I'll check that when I get home. I didn't even think to compare the amounts.

Hey, I know this is frustrating, but I found a way to actually talk to someone at the IRS about this. I used this site's (claimyr.com) calling tool that dials the phone menu, stays on hold, waits for a live agent to pick up, then sends the call to my phone. It does cost $20, but it works. Here's a video about it: https://youtu.be/_kiP6q8DX5c

β’Whoa, for real? How long did you have to wait?

β’Not long at all! The service did all the waiting for me. When my phone rang, an agent was already on the line. Saved me hours of hold time.

β’Sounds too good to be true. Are you sure it's legit?

β’I was skeptical too, but it worked like a charm. Totally worth the $20 for the time it saved me.

Have you checked if there's a difference in the reported income or withholdings between the two W-2s? Sometimes companies split reporting if there were changes in your compensation or tax status mid-year.

β’I haven't looked that closely yet, but that's a great idea. I'll definitely compare them side by side tonight.

This is actually pretty common when companies switch payroll systems mid-year! I'd definitely start by calling your employer's HR or payroll department first - they'll be able to tell you right away if this was intentional (like a mid-year switch from ADP to Gusto) or if one of them is a mistake. In the meantime, compare the two W-2s carefully - check if the pay periods, income amounts, and tax withholdings are different or if they overlap. If they're for different parts of the year, you'll need both for your tax filing. If they're duplicates of the same info, HR should issue a corrected W-2. Don't stress too much - this happens more often than you'd think!
