ITIN Application Process from Europe - Strange Requirements from Acceptance Agent
I'm trying to get an ITIN so I can file my first US tax return by mail from Europe. The certified acceptance agent I found is giving me some weird vibes. They're insisting that THEY have to mail my tax return along with my ITIN application (Form W-7) directly to the IRS. When I asked if they could just complete the ITIN application and give it back to me so I could attach it to my return and mail everything myself, they flat out refused. Is this normal procedure? Do acceptance agents typically handle the mailing themselves or am I right to be suspicious? I really want to be the one who mails everything to the IRS since it's my first time filing and I want to make sure it's done correctly. I'm not comfortable with someone else sending in my tax documents. Anyone have experience with ITIN applications from abroad? Is the agent being reasonable or unreasonable here?

I work with international taxpayers regularly, and what your acceptance agent is telling you is actually standard procedure. When you work with a Certifying Acceptance Agent (CAA), they are authorized by the IRS to verify your original identity documents, which means you don't have to mail your passport or other original documents to the IRS. As part of this process, the CAA completes a Certificate of Accuracy for your Form W-7 (ITIN application) and submits the entire package - including your tax return - to a special IRS unit that processes these applications. This is the normal protocol because the ITIN application needs to be processed before your tax return can be processed. If you were to mail everything yourself, you would either need to send your original identity documents (which is risky) or submit certified copies from the issuing agency (which can be difficult to obtain). The CAA service specifically exists to avoid these complications.

•Thanks for the explanation, but I'm still confused. Is there any way I can get the completed W-7 form with the Certificate of Accuracy and then mail it myself with my return? I'm really uncomfortable with someone else handling the mailing of my tax documents. Also, how long does the whole ITIN application process typically take when going through an acceptance agent?

•While I understand your concern, the process is designed so that CAAs submit the package themselves. It's actually part of their responsibility to the IRS - they're certifying your documents and then submitting the complete package. This helps prevent document fraud and ensures everything stays together. The processing time is generally faster when submitted through a CAA compared to submitting yourself. Currently, ITIN applications are taking about 7-9 weeks to process when submitted with a tax return through a CAA. If you were to submit original documents yourself, it could take 11-13 weeks, plus additional time for the IRS to return your original documents.

I went through this exact situation last year! I was super skeptical about letting someone else mail my tax stuff too. I finally found this service called taxr.ai (https://taxr.ai) that really helped me understand the ITIN process. They have this document review feature where they explained exactly what the acceptance agent was supposed to do and confirmed that yes, the agent does typically handle the mailing. What made me feel better was having taxr.ai review the agent's credentials before I proceeded. They verified that my acceptance agent was legitimate and explained the whole process step by step. They even showed me how to track my application once it was submitted. Made the whole thing way less stressful.

•How exactly does taxr.ai help with ITIN applications? Do they connect you with acceptance agents or just provide information? I'm in a similar situation in Germany and looking for reliable options.

•I'm skeptical about these online services. How do you know they're legitimate and not just trying to get access to your personal info? Did you have to upload your documents to them?

•They don't connect you with agents themselves - they review the process and documentation. They have tax experts who can look at what your agent has provided and confirm if everything seems legitimate according to IRS guidelines. In your case, they could probably recommend reputable agents in Germany. Regarding security concerns, I completely understand. I was worried too, but they use encrypted document uploads. You can also black out certain personal info before uploading. Their analysis focuses on verifying the process and documents rather than collecting your data. What convinced me was their knowledge about specific IRS regulations that matched exactly what I found on the official IRS site.

Just wanted to follow up about my experience with taxr.ai (https://taxr.ai) for my ITIN situation. I decided to try their document review service after seeing the recommendation here, and it was incredibly helpful. They examined the paperwork my acceptance agent provided and confirmed everything was legitimate. The best part was they found an error in my W-7 form that would have caused delays! My agent had checked the wrong box for my visa status. The taxr.ai reviewer explained exactly what needed to be fixed and provided IRS reference codes so I could confidently discuss the correction with my agent. The whole process went smoothly after that, and I received my ITIN within 6 weeks. Definitely worth it for the peace of mind!

If you're having trouble contacting the IRS directly about this issue (which can be especially hard from Europe), try Claimyr (https://claimyr.com). I was stuck in ITIN limbo for weeks trying to get answers from the IRS, calling at crazy hours because of the time difference, and never getting through. Claimyr got me connected to an actual human at the IRS in about 20 minutes when I had been trying for days. You can see how it works in this video: https://youtu.be/_kiP6q8DX5c. The IRS agent I spoke with confirmed that yes, acceptance agents normally handle the submission themselves, but they also explained my rights and what I should expect from a legitimate agent.

•How does this service even work? The IRS phone lines are notoriously jammed - are you saying this somehow gets you to the front of the queue? Sounds too good to be true.

•I don't buy it. I've tried everything to get through to the IRS and nothing works. These companies just take your money and give you information you could find online yourself. Waste of money if you ask me.

•It's definitely not magic, but it does work! They use an automated system that continuously redials the IRS until it gets through. Then when a connection is established, it calls your phone and connects you directly. It's basically doing the redial work that you'd otherwise have to do manually for hours. I was skeptical too, but the time difference from Europe made calling the IRS during their business hours really difficult for me. I had already spent about 5 hours across multiple days trying to get through with no success. With Claimyr, I just entered my number, and they called me when they got through. I was connected to an IRS agent in about 20 minutes while I was just going about my day.

I need to eat my words about Claimyr. After posting my skeptical comment, I decided to give it a try since I was desperate to resolve an issue with my previously filed ITIN application. I was absolutely SHOCKED when my phone rang and there was actually an IRS agent on the line! This was after weeks of trying to get through on my own. The agent was able to tell me the status of my ITIN application and explained that there was a document missing that my acceptance agent should have included. I immediately contacted my agent about this issue and they're now sending the missing document. Without this call, I would have been waiting months just to find out there was a problem. For anyone dealing with ITIN issues from overseas, being able to actually speak with the IRS is a game-changer.

Based on my experience helping several clients with ITINs, here's what you should know: 1. Yes, CAAs (Certified Acceptance Agents) typically handle the submission themselves. This is standard practice. 2. However, there is actually an alternative: you can go to a TAC (Taxpayer Assistance Center) in the US and have them verify your documents in person. Then you can mail everything yourself. 3. Since you're in Europe, another option is to use the IRS office at the US Embassy in certain countries, though these services have been reduced in recent years. 4. If you're really uncomfortable with your current agent, you can find another CAA who might be willing to work with you differently. The IRS has a directory of authorized CAAs worldwide.

•Thanks for the options! Unfortunately, visiting a TAC isn't practical since I'm in Europe. Do you know if all CAAs follow the same protocol about mailing the documents themselves, or do some allow you to handle the mailing? Also, do you happen to know where I can find that directory of authorized CAAs?

•Most CAAs follow the standard protocol of submitting the documents themselves because they're responsible for the package as part of their agreement with the IRS. However, some may be more flexible, especially independent practitioners rather than large firms. You can find the official directory of authorized CAAs on the IRS website by searching "Acceptance Agent Program Directory." It's updated quarterly and you can search by location, including international agents. Look for ones that specifically handle individual ITINs (some only do business ITINs). Another alternative that some of my clients have used: if you have a trusted friend or family member in the US, you could have the CAA send the completed package to them, and they could mail it for you. This gives you a bit more control while still following the proper procedures.

Has anyone actually done the ITIN application themselves without an acceptance agent? I'm in a similar situation but don't want to pay the agent fees.

•I did it myself from Canada last year. You CAN do it on your own, but you'll need to send original documents (like your passport) or get certified copies from your issuing agency. I wasn't comfortable sending my passport, so I got certified copies which was a whole process with my local government. It took about 3 months total to get my ITIN, and there was a lot of anxiety waiting to make sure everything was processed correctly. If I had to do it again, I'd probably just pay an acceptance agent for the convenience and peace of mind.
