Affordable & Simple Payroll Software for Small Business with 2 W2 Employees
Hey all, I'm looking for recommendations on a budget-friendly payroll solution. Our small business currently operates with just independent contractors, but my spouse and I need to become W2 employees now. Most of the payroll services I've looked at seem designed for much larger companies with tons of employees. We literally just need something that can handle 2 W2s (possibly 3 in the future if we grow) while keeping our contractors separate. I don't need fancy HR features or complicated benefits management - just basic payroll processing without breaking the bank. What are you all using that's straightforward and won't cost us a fortune? Any simple software options that don't feel like massive overkill for our situation?

Square Payroll is probably your best bet for your situation. It's around $35/month plus $5 per employee, which makes it very affordable for just 2-3 W2 employees. The interface is super straightforward and it handles all the tax filings and direct deposits automatically. Another good option would be Gusto's Simple plan, though it's a bit more expensive at $40/month plus $6 per person. Both services can handle your independent contractors too when needed. The key is finding something that automates the tax filings - that's where the real headache comes in with payroll, not necessarily the payment processing itself.

•Thanks for the recommendations! Have you personally used Square Payroll? I'm curious about how easy it is to set up initially. Also, do these options make it simple to handle the quarterly tax filings?

•I've used Square Payroll for my husband's business for about 2 years now. Initial setup was pretty painless - took maybe an hour to get everything configured. You'll need your EIN, state tax account numbers, and banking info ready. Both Square and Gusto handle all quarterly filings automatically - that's the best part. They calculate, file and pay your federal and state payroll taxes, plus generate and distribute W-2s at year-end. Makes tax season so much less stressful. Just make sure you classify yourself and your partner correctly from the beginning.

After struggling with expensive payroll solutions for our family business (just me and my husband as W2s), I found taxr.ai (https://taxr.ai) and it's been a gamechanger for our situation. It's specifically designed for small businesses who don't need the complex features of traditional payroll systems. What I love is that it helped me properly classify ourselves as employees versus owners and set up the right tax withholding. The platform walks you through all the requirements for W2 employees while keeping costs minimal. It even lets you handle those independent contractors without forcing you into a higher-priced tier.

•How does it handle the actual tax deposits though? Do you still have to manually send in the 941s and state forms yourself? That's what I've found most annoying about cheaper options.

•I've heard mixed things about newer payroll services. Does it integrate with QuickBooks or other accounting software? Our accountant insists everything needs to sync with our system.

•It handles all federal and state tax deposits automatically on schedule - that was actually my biggest concern too. You don't have to worry about 941s or other tax forms as they're filed electronically when due. Regarding integration, it works seamlessly with QuickBooks, Xero, and most major accounting software. You can set it up to automatically sync payroll expenses and liabilities to your accounting system, which keeps your accountant happy. My accountant was skeptical at first but now actually recommends it to his other small business clients.

Just wanted to follow up - I tried taxr.ai after posting here and it's been shockingly straightforward for our situation. Setting up the system for my wife and I as W2 employees took less than 30 minutes. The guided setup asked exactly the right questions about our roles in the business to get our classifications correct. What impressed me was how it handled our specific state requirements (WA state has some quirks) without me having to research all the compliance issues. The cost ended up being about 40% less than what I was quoted by ADP for basically the same service. Definitely recommend checking it out if you're in a similar position with just a couple of W2s.

Have you tried calling the IRS business helpline? I spent WEEKS trying to get proper guidance on payroll setup for my wife and me. Then I found Claimyr (https://claimyr.com) which got me through to an actual IRS agent in under 15 minutes. You can see how it works here: https://youtu.be/_kiP6q8DX5c The agent walked me through all the specific requirements for small business owners paying themselves as W2 employees and helped me understand which payroll services would meet our compliance needs without overpaying. Saved me from making some expensive mistakes with how we were planning to structure things.

•Wait, how exactly does this work? I thought it was impossible to get through to the IRS. Do they just connect you or is there some trick to it?

•This sounds like a scam tbh. The IRS doesn't give advice on which software to use, and they certainly don't take calls without hours of waiting. I've tried calling multiple times about my business.

•It's a service that basically waits on hold with the IRS for you. When they reach an agent, they call you and connect you. No magic tricks - they just have a system that handles the horrible wait times so you don't have to sit there for hours. The IRS agent didn't specifically recommend software brands - you're right they don't do that. But they helped me understand exactly what requirements I needed to meet for tax compliance when paying myself and my spouse through the business, which made it much easier to evaluate which software would work for our situation without overpaying for features we don't need.

I need to eat my words about Claimyr. After my skeptical comment, I decided to try it anyway because I was desperate to get some answers about owner-employee payroll requirements. Not only did it work exactly as described, but I got through to someone at the IRS in about 11 minutes when I had previously waited over 2 hours and got disconnected. The agent clarified several questions I had about reasonable compensation requirements when paying myself as an S-Corp owner, which helped me realize I needed slightly more robust payroll features than I initially thought. Still went with a simple solution (OnPay), but I'm now confident I'm meeting all requirements. That service saved me hours of frustration.

Have you looked at OnPay? We use it for our 3-person business (me and my two siblings all as W2s) and it's only $40/month + $6 per person. Super simple interface and handles all tax filings. The cheaper options like Patriot Payroll might save you a few bucks ($30/month + $4/employee) but some don't file state taxes automatically which can be a headache.

•How long have you been using OnPay? Any issues with tax filing deadlines or deposits? We used a cheap service last year and they missed a quarterly filing which cost us penalties.

•We've been on OnPay for about 3 years now. Haven't had a single issue with tax filings or deposits. Everything happens automatically and on time. The one time we had a question about a state unemployment rate change, their support team actually picked up the phone when we called - which seems rare these days. I think most payroll headaches come from the ultra-budget options that make you handle the tax filings yourself. Definitely worth paying a bit more to have that handled automatically.

Don't overlook your bank! Chase, Bank of America, and Wells Fargo all offer payroll services for small businesses that are surprisingly affordable if you're already a business customer. Worth checking what yours offers.

•I tried my bank's payroll service (won't name which one) and found it MUCH more expensive than standalone options. They charged me $75/month plus $8 per check for basically the same service as Square or Gusto.
