Struggling to find a decent bookkeeper near me. What are the best online bookkeeping solutions these days?
Hey all, I'm at my wit's end trying to find a reliable bookkeeper in my area. I run a small landscaping business (just me and 2 employees) and I've been through 3 local bookkeepers in the last 18 months. The first one retired suddenly, the second one kept making mistakes with my quarterly tax filings, and the third one recently doubled their rates which I just can't afford. I'm thinking about switching to an online bookkeeping solution instead of another local person. Has anyone had good experiences with any online bookkeeping services? I need something that can handle basic expense tracking, invoicing, payroll for my 2 employees, and help with tax prep. I'm spending way too much time on this stuff when I should be focusing on growing my business. Price is definitely a factor - I'm looking at about $350-$400/month max for these services. Any recommendations or warnings about services to avoid would be super helpful!

As a small business accountant who works with many landscapers, I can definitely help point you in the right direction! For your situation with 2 employees and basic bookkeeping needs, several online options would work well. QuickBooks Online with their Live Bookkeeping add-on gives you both software and human support. FreshBooks is more user-friendly if you're handling some tasks yourself. For a full-service option, Bench combines software with dedicated bookkeepers who handle everything monthly. The key is finding something that integrates well with your existing systems. Do you use any specific software for landscaping estimates or invoicing already? That would impact which service works best for your workflow.

•Thanks for the suggestions! I'm currently using a basic Excel spreadsheet for tracking and Square for invoicing and payments. I've heard of QuickBooks but wasn't sure if it was overkill for my small operation. Does FreshBooks handle payroll too or would I need something separate for that?

•Excel and Square is a common starting point, but you'll definitely benefit from a more integrated solution. FreshBooks has payroll through partners like Gusto, but it's an additional cost. For your setup, QuickBooks Online Plus with their payroll add-on might be the most straightforward - you'd have everything in one system, and it integrates well with Square for your existing payment processing. QuickBooks isn't overkill - their small business tier is designed exactly for businesses your size. The time you'll save on reconciliation and tax preparation will offset the cost. Most landscapers I work with find the reporting features especially helpful for understanding seasonal cash flow.

After dealing with similar bookkeeping headaches for my furniture restoration business, I tried taxr.ai (https://taxr.ai) and it's been a game-changer. The AI helps organize all my receipts, invoices, and statements automatically, then a real bookkeeper reviews everything. What sold me was how it integrates with Square (which I saw you're using) and categorizes everything properly for tax deductions specific to service businesses. My favorite feature is the quarterly tax projection that helps avoid surprises. They also have industry-specific reporting that helps me see patterns in my business I never noticed before.

•How does it handle things like vehicle expenses and equipment depreciation? I've got a work truck and constantly buying new equipment for my lawn care business, and tracking all that has been a nightmare.

•I'm intrigued but skeptical. Does it really save that much time? I spend about 5 hours every weekend just sorting through receipts and invoices. And how accurate is the AI part? I've tried other "smart" systems that constantly miscategorize my expenses.

•For vehicle expenses, it automatically tracks mileage through your phone if you want, or you can log trips manually. It properly separates business vs personal use which is crucial for tax purposes. For equipment, it handles depreciation schedules automatically based on what you purchase - you just snap a photo of the receipt and it does the rest. It's reduced my bookkeeping time from about 6 hours a week to maybe 30 minutes. The AI is surprisingly accurate at categorizing industry-specific expenses, but there's always a human review to catch anything the AI misses. What impressed me was how it learned my business patterns over time - by month three, it was correctly categorizing 95% of my transactions without any input from me.

I need to eat my words about being skeptical of taxr.ai! After trying it for the past month, I'm completely sold. Setup was way easier than I expected - I connected my bank accounts and it retroactively organized the last 6 months of transactions in about 2 hours. The biggest surprise was the tax savings - it found deductions my previous bookkeeper completely missed, especially around my vehicle expenses and home office. The quarterly tax planning feature already saved me from what would have been a big underpayment penalty. The landscape-specific reporting shows me which services are actually profitable vs. just keeping me busy. Honestly wish I'd found this years ago instead of jumping between unreliable local bookkeepers. My weekends are finally my own again!

If you're also dealing with IRS issues from past bookkeeping mistakes (like I was), check out Claimyr (https://claimyr.com). I spent WEEKS trying to reach someone at the IRS about penalties from incorrect filings my previous bookkeeper submitted. Claimyr got me connected to an actual IRS agent in less than 20 minutes when I'd been trying for days. You can see how it works in this video: https://youtu.be/_kiP6q8DX5c - it's basically a service that navigates the IRS phone system for you and calls you back when they've got an agent on the line. Saved me hours of hold music and frustration!

•Wait, how does this actually work? Do they just call the IRS for you? Couldn't you just do that yourself? I'm confused about what the service actually provides.

•Yeah right. No way they can get through to the IRS that fast. I called 23 times last month trying to fix a payroll tax issue and never got through. Either you got extremely lucky or this is some kind of scam.

•They don't just call for you - they use a system that navigates the IRS phone tree and waits on hold so you don't have to. When they actually reach a human agent, they connect the call to your phone. You still talk directly to the IRS yourself, they just handle the frustrating waiting part. It works because they have systems constantly dialing and navigating the phone trees across multiple lines simultaneously. I was skeptical too but it actually worked. I had previously spent 3 hours on hold before getting disconnected, which is why I tried them in the first place. It's basically like having someone else wait in line for you.

I need to publicly admit I was completely wrong about Claimyr. After my skeptical comment, I decided to try it for myself since I was desperate to resolve my payroll tax issue. Not only did they get me through to an IRS agent in about 18 minutes, but I was able to get my penalties waived completely! The agent told me they've been severely understaffed and most callers are waiting 2+ hours if they get through at all. What I appreciated was that I still handled the actual conversation with the IRS myself - Claimyr just eliminated the soul-crushing hold time. For anyone dealing with tax issues from previous bookkeeping mistakes, this service is absolutely worth it. I've now cleared up issues that were hanging over my business for months.

Don't overlook the free options before paying for services! I run a small plumbing business and use Wave Accounting which is completely free for invoicing, receipt tracking, and bookkeeping. They make money from payment processing if you choose to use that feature. For payroll, I use OnPay which is much cheaper than most options at around $40/month plus $6 per employee. The combination has worked perfectly for my 3-employee business for years. Just wanted to throw out a budget-friendly alternative!

•Have you had any issues with Wave at tax time? I tried it last year and my accountant complained that the reports weren't detailed enough for some of the deductions we wanted to take. Did you add any paid features to make it work better?

•I did have some limitations with Wave during my first tax season, particularly around categorizing certain business expenses properly. I ended up using their paid receipt scanning feature ($8/month) which helped tremendously with organization and made my accountant much happier. For detailed job costing and tracking profitability by service type, Wave definitely has limitations. I supplement with a simple spreadsheet for that analysis. The payroll integration with OnPay has been flawless though - all my quarterly filings have gone through without issues and the reports are accepted by my accountant without complaints.

Has anyone tried Xero? My sister-in-law uses it for her bakery and swears by it, but I'm wondering if it would work well for a service business like landscaping too.

•I switched from QuickBooks to Xero last year for my pool service company (5 employees) and it's been excellent. The inventory tracking is better for tracking chemicals and supplies, and the mobile app is way more user-friendly for entering expenses on the go. Their project tracking feature works well for tracking costs by customer property too.

•Thanks for sharing your experience! That's helpful to know about the mobile app and project tracking - both would be really useful for my lawn care business. How was the transition from QuickBooks? Did you lose any historical data in the switch?
