Duplicate SAR 7 reminder email from CalWORKs - should I be worried if I already submitted?
I'm freaking out right now - got an email yesterday with subject line "SAR 7 Sent/Reminder" but I DEFINITELY mailed my SAR 7 form like 2 weeks ago! Has this happened to anyone else recently? I'm totally paranoid they didn't get my form and I'll end up with no Cash Aid deposit on Sunday. I seriously cannot miss this month's payment - rent is due and my landlord is already threatening eviction. This is the 2nd time I've had issues with my SAR 7 being "lost" this year! Can't even call DPSS until Monday, and we all know that's gonna be 3+ hours on hold just to get disconnected. Is there any way to check online if they actually received my form? The BenefitsCal website isn't showing anything helpful. Has anyone else gotten these duplicate reminder emails when their forms were actually received?

I got the same email yesterday even though I turned in my SAR 7 in-person at the office last week (I always get a receipt now after they "lost" mine twice last year). I think it might be a system glitch - sometimes their automated emails don't sync up with what's actually in their system. If you mailed it, though, it's hard to know for sure if they received it. Do you have any way to check your MyBenefits account online? Sometimes it will show "SAR 7 received" under your case details. Also, did you make copies of your completed form before mailing it? That's saved me multiple times when dealing with DPSS.

•Thx for responding. I did check MyBenefits but doesn't show anything about SAR 7 being received... just shows my case is "active" but that doesn't tell me much. I did take pictures of the completed form on my phone (learned that lesson the hard way) but didn't get any tracking # when I mailed it. Really hoping this is just a system error like you said!

this happens ALL THE TIME with calworks emails!! I got 3 reminders last month and my worker confirmed they already had my sar7 on file the whole time. their system is trash and sends out automated emails even after they process your paperwork. dont stress too much, but maybe try calling the ACCESS line tomorrow morning right when they open instead of waiting til monday? sometimes fridays are less busy

•The ACCESS line has been completely overwhelmed lately - I tried calling 5 times last Friday and never got through. Started at 8am sharp too. Their new phone system is somehow WORSE than the old one. OP - have you tried checking your EBT card balance on Sunday morning? Sometimes the deposit will show up even if the system is glitching with the reminders. That would at least give you peace of mind about whether the payment went through.

This is unfortunately a common issue with the DPSS automated notification system. Those SAR 7 reminder emails are sometimes sent in batches regardless of whether your form has been received and processed. Here's what you can do: 1) Check your EBT card balance on Sunday as someone mentioned - if your Cash Aid gets deposited, you're good 2) If you have a MyBenefits account, login and go to "Documents" - sometimes processed SAR 7s will appear there with status 3) If no payment appears Sunday and you need immediate assistance, I'd recommend trying Claimyr (claimyr.com) to reach a worker on Monday. They've helped me bypass the regular DPSS hold times - their service connects you with a worker usually within 20-30 minutes instead of hours. You can see how it works here: https://youtu.be/jzISHxCPLwE 4) For future reference, I strongly recommend submitting your SAR 7 through BenefitsCal online or using certified mail with tracking. That way you have proof of submission.

•Thanks for the detailed response. I'll definitely check my balance on Sunday morning first. And I'm going to look into that Claimyr service - honestly at this point I'd do anything to avoid those ridiculous hold times. Last time I called I waited 2.5 hours only to get disconnected when they finally transferred me! So frustrating.

OMG I HAD THE EXACT SAME THING HAPPEN!! The county is so messed up with these emails!! I got THREE reminder emails after I already turned in my SAR7. I was panicking too but my benefits still loaded on time. I think it's just their automatic system being stupid as usual. The left hand never knows what the right is doing with them. 🙄

i dont think those emails mean anything tbh my worker told me once that the reminder system is completely separate from the actual processing system so they dont even sync up most of the time. but if ur worried u could try uploading another copy of ur sar7 thru the benefitscal website just to be extra safe? thats what i did last time this happened and my worker just said theyd use the newest one they got

•That's actually a really good idea. I'll try uploading my form again through BenefitsCal. I have the pictures on my phone so it shouldn't be too hard. Better safe than sorry!

I know everyone is saying it's probably a system error, but I want to caution that sometimes these emails ARE accurate. My sister ignored a duplicate reminder last year thinking it was a glitch, and she ended up having her benefits cut off. When she finally got through to a worker, they told her they never received her SAR 7. The most reliable way to check is to contact your worker directly. I highly recommend the Claimyr service someone mentioned above - I've used it several times when I needed to get through to my worker urgently. Totally worth it to avoid the stress of not knowing if your benefits will come through. They got me connected in about 25 minutes when I was having a similar issue with my semi-annual report.

•Thanks for the warning - that's exactly what I'm afraid of. I can't afford to miss this month's payment. Going to try uploading it again online first, and if my payment doesn't come through on Sunday, I'll definitely use that Claimyr service to reach someone Monday morning.

Let me just add a technical explanation of why this happens, as I work adjacent to these systems (not for DPSS directly). The SAR 7 reminder emails are generated by an automated system that pulls from a database of due dates. However, there's often a 7-10 day lag between when a document is received/processed and when that information is updated in the email notification system. This is especially true for mailed documents. When you submit your SAR 7, it goes through several steps: 1. Physical mail receipt (1-3 days) 2. Document scanning (1-2 days) 3. Assignment to a worker queue (1-2 days) 4. Worker review and processing (1-5 days depending on workload) 5. System update (1-2 days) The email system often triggers based on the original schedule, not the actual processing status. It's why I always recommend electronic submission through BenefitsCal when possible, as it eliminates several of these steps. For peace of mind, checking your benefit deposit on Sunday is your best bet to confirm everything processed correctly.

•This explanation is so helpful - I've always wondered why these systems seem so disconnected. Makes sense why electronic submission is faster. I switched to submitting everything through BenefitsCal and haven't had issues since.

UPDATE: My cash aid DID deposit this morning! So glad I didn't panic too much. Seems like everyone was right about it being a system glitch with the emails. Thanks to everyone who responded and helped calm me down. I'm definitely going to start submitting my SAR 7 through BenefitsCal from now on to avoid this stress!
