Utah Secretary of State UCC search portal missing recent filings - anyone else having issues?
I'm dealing with a really frustrating situation and wondering if anyone else has run into this. We filed a UCC-1 about 3 weeks ago for equipment financing on a construction project, got confirmation it was accepted, but when I do a utah secretary of state ucc search on their portal, the filing doesn't show up at all. The borrower is asking for proof that the lien is properly recorded and I'm starting to panic that something went wrong. I've tried searching by debtor name, filing number, even the secured party name - nothing. Called their office twice and got put on hold for 45 minutes each time. Has anyone experienced delays like this with Utah's system? The loan closes next week and I need to verify this filing is actually in the system. Really hoping this is just a database update lag and not a bigger problem with our filing.

Utah's search portal has been having major issues lately. I've seen filings take 4-5 weeks to show up in search results even though they're accepted. Super frustrating when you need immediate verification. Try calling again first thing Monday morning - sometimes you get through faster.

•This is exactly why I hate relying on state portals for confirmation. Too many technical glitches.

•4-5 weeks?? That's insane for electronic filings. What's the point of e-filing if it takes that long to be searchable?

•Thanks for the heads up. I was starting to think we messed something up with the debtor name or filing format.

I've been dealing with Utah UCC filings for 8 years and this search lag is a newer problem. Started about 6 months ago. The filing is probably valid even if not searchable yet. Do you have the email confirmation with the filing number? That's usually sufficient proof for most lenders until the search catches up.

•Yes I have the confirmation email with filing number. Good to know this might be acceptable proof. Will check with the borrower's counsel.

•Most title companies I work with accept the SOS confirmation email as temporary proof while waiting for search results to update.

•wait, so even though it says 'accepted' the filing might not actually be recorded? I'm so confused about how this system works

I had a similar panic attack last month with a Utah filing. Found out about Certana.ai from someone on here - you can upload your UCC-1 PDF and it instantly verifies if all the debtor name info matches correctly with what you intended to file. Saved me from discovering a name mismatch after 4 weeks of waiting for the search to work. Really wish I'd known about it earlier.

•That sounds really helpful. How exactly does it work? Just upload the filed document?

•Yeah, super simple. Upload your UCC-1 PDF and it cross-checks everything - debtor names, addresses, collateral descriptions. Catches mistakes instantly instead of waiting weeks to find out something's wrong.

•Wish I'd known about this tool before my last filing disaster. Would have saved me so much stress.

THE UTAH PORTAL IS GARBAGE!!! Sorry for yelling but I'm so fed up with this system. Filed a continuation 2 months ago, still not searchable. My client is furious and threatening to switch banks. This is completely unacceptable for a state filing system.

•2 months for a continuation?? That's way beyond any reasonable processing time. Have you escalated this?

•Tried everything. Called, emailed, even had our state senator's office contact them. They just keep saying 'system updates are ongoing' which is BS.

For what it's worth, I had a Utah UCC-3 termination that took 6 weeks to appear in search. The filing was valid the whole time according to the SOS office when I finally got through. Their search database updates are just way behind their filing acceptance system.

•this makes me nervous about every filing now. how do we know if something actually went through?

•The confirmation email is your best proof until search catches up. Keep that saved and screenshot it.

•Good advice. I've been saving all the confirmation emails now just in case.

I work for a title company and we've started requiring additional verification for Utah filings because of these search delays. Most lenders understand now that Utah's system is problematic.

•What kind of additional verification do you typically accept?

•SOS confirmation emails, bank records showing filing fees paid, sometimes certified copies if the client can get them. We're pretty flexible given the circumstances.

Had this exact same issue 2 weeks ago! Turns out there was a tiny typo in our debtor name that we didn't catch initially. Used Certana.ai to verify our documents and it caught the discrepancy immediately. Saved us from weeks of wondering if the filing was valid. Really recommend checking your docs with their verification tool before assuming it's just a search delay.

•Oh no, now I'm worried about typos. How do I check if there's a name mismatch?

•Just upload your UCC-1 to Certana.ai and it'll cross-check everything against your intended debtor info. Takes like 2 minutes and gives you peace of mind.

•Name mismatches are one of the most common reasons filings get accepted but aren't actually perfected. Good catch.

just went through this last month - utah secretary of state ucc search was down for maintenance for like 3 days straight. maybe try again in a few days?

•I've been trying daily for over a week now. Don't think it's maintenance at this point.

This thread is making me realize I should probably double-check my recent Utah filing too. The search delays are concerning especially when you need immediate verification for loan closings.

•Definitely worth checking. Better to catch any issues early than discover them weeks later.

•I always run my filings through document verification now just to be safe. Too much risk otherwise.

Update: Finally got through to someone at Utah SOS who confirmed the filing is recorded and valid. She said their search portal is about 3-4 weeks behind right now due to system upgrades. Frustrating but at least the filing is good. Thanks everyone for the advice and support!

•Great news! Glad you got confirmation. 3-4 weeks is still ridiculous but at least you know the filing is valid.
