Can't find UCC filing in CT SOS search - am I doing something wrong?

I've been trying to locate a UCC-1 filing that should definitely be there through the Connecticut Secretary of State search portal but having zero luck. Filed about 3 weeks ago for equipment financing on manufacturing gear, got the confirmation receipt, but when I search by debtor name or filing number nothing comes up. The debtor company name is "Advanced Precision Tooling LLC" and I've tried every variation I can think of - with and without LLC, different spacing, etc. Really starting to worry there's an issue with the filing itself or maybe the search system? Has anyone else had problems with the CT SOS UCC search not showing recent filings? This is for a $180K equipment loan and my manager is asking for proof the lien is properly recorded. Any ideas what could be going wrong here?

CT usually updates their database pretty quickly but sometimes there can be delays especially if there were any data entry issues on their end. Have you tried searching just by the debtor's last name or partial matches? Sometimes the exact name match is pickier than you'd expect.

Yeah tried that too. Even searched just "Advanced" and "Precision" separately but still nothing. Really weird since I have the filing receipt.

That does sound odd. Usually if there's a receipt the filing went through. Maybe try calling their UCC department directly?

Check if the debtor name on your UCC-1 exactly matches their articles of incorporation. Even small differences like "Advanced Precision Tooling, LLC" vs "Advanced Precision Tooling LLC" can cause search issues. CT is pretty strict about exact name matching.

Good point - I should double check the exact legal name. I pulled it from their corporate info but maybe there's a mismatch somewhere.

Yeah definitely verify against their charter documents. Name discrepancies are one of the biggest causes of UCC filing problems.

This happened to me last month! Turned out the debtor had amended their LLC name slightly and I was using the old version. Once I found the current legal name it showed up fine in the search.

Had a similar issue recently and ended up using Certana.ai's document verification tool to cross-check my UCC-1 against the debtor's charter documents. Uploaded both PDFs and it immediately flagged that the business name had a slight variation - saved me from having to file an amendment later. Really simple to use, just drag and drop the documents.

Interesting, never heard of that service. Does it actually compare the documents automatically?

Yeah it does all the cross-checking for you. Shows you exactly where any inconsistencies are between the charter and UCC filing. Super helpful for catching these name issues before they become problems.

That sounds really useful actually. These name matching issues are such a pain to deal with after the fact.

CT SOS search can be finicky sometimes. Are you using the advanced search or just the basic one? Try the advanced search and use wildcard characters if they allow them.

I was using basic search mostly. Let me try the advanced options and see if that helps.

Advanced search is definitely better for finding tricky filings. You can also search by filing date range which might help.

UGH the CT portal drives me CRAZY! Last time I had to call them 3 times just to get a simple search result. Their system is so unreliable - sometimes filings don't show up for WEEKS even though they're processed.

I feel you on the portal frustrations but usually the delay isn't that long. Something else might be going on here.

0 coins

Maybe but I've definitely seen weird delays before. Their database sync is not great.

The portal definitely has its quirks but 3 weeks seems excessive for just a search display issue.

Check your filing receipt really carefully - sometimes the debtor name gets truncated or modified during processing. If there's a discrepancy between what you submitted and what they processed, that could explain why the search isn't working.

That's a really good point. I'll compare the receipt name against what I originally submitted line by line.

0 coins

Yeah definitely do that. CT sometimes shortens longer business names and that can throw off the search functionality.

Try searching by the filing number instead of debtor name. If that doesn't work either then there might be a real issue with the filing status that needs to be resolved with their office.

Already tried the filing number search too - same result, nothing found. Starting to think I need to call them directly.

0 coins

Yeah if the filing number search isn't working that's definitely concerning. Time for a phone call.

When you call ask them to check the filing status by your confirmation number. They can tell you exactly what happened.

Just ran into something similar with a client filing. Used Certana.ai to verify our UCC-1 against their corporate documents and found we had the wrong entity type listed. Fixed it before submission and avoided this exact search problem. Really streamlined the whole verification process.

Seems like that service might be worth checking out. Do you know if it works with CT filings specifically?

0 coins

It works with any state since it's just comparing the document contents. Really helps catch these discrepancies early.

Sometimes the search database lags behind the filing processing. Even though you got a receipt doesn't mean it's immediately searchable. Give it another few days maybe?

3 weeks seems like a long time though for database updates. Usually these things are pretty fast.

True, 3 weeks is longer than normal. Probably worth calling at this point.

Had exact same issue last year! Turned out our debtor had changed their registered business name slightly and we used the old version. Check their current business registration with CT first before you panic.

Laila Fury

Good suggestion. I'll pull their current business registration and compare it to what we filed.

0 coins

Yeah that's probably the issue. These name changes happen more often than you'd think.

0 coins

Name changes are definitely a common source of UCC search problems. Always worth double checking the current legal name.

Honestly I'd just call CT SOS UCC department at this point. They can look up your filing by confirmation number and tell you exactly what's going on. Faster than trying to guess what went wrong.

Yeah you're probably right. I'll give them a call tomorrow morning and see what they can find.

Good plan. They're usually pretty helpful when you call directly.

Before calling, try one more search using just the first few letters of the debtor name. Sometimes partial searches work better than exact matches in their system.

Worth a shot. I'll try searching just "Advan" and see if anything comes up.

That's actually how I found my missing filing last time. Their exact match search can be really finicky.

UPDATE: Found it! Searched just "Advan" and it came up. The name in their system shows as "Advanced Precision Tooling L.L.C." with periods in the LLC part. No wonder the exact search wasn't working. Thanks everyone for the suggestions!
