Does ESD notify you about missing PFML documentation before denying claims?

I'm completely stressed about my Paid Family Medical Leave application. I submitted all my paperwork last week through the PFML portal, but now I'm worried I might have uploaded the wrong medical certification form (my doctor's office gave me multiple versions and I'm not sure which one was correct). Does anyone know if ESD actually contacts you if there's missing or incorrect documentation for PFML claims? Or do they just automatically deny the claim without telling you what went wrong? I really can't afford to wait another 3 weeks if they deny it. My leave starts in two weeks and I need that money to pay rent.

Yes, they typically will contact you if documentation is missing or incorrect. In my experience, they send an alert through your PFML account portal AND an email notification requesting the specific documents they need. You can also check your claim status in the portal to see if there are any pending issues listed. The notification usually explains exactly what they need and gives you a timeframe to submit it (usually 14 days).

That's a huge relief, thank you! I've been checking my email obsessively but nothing yet. Do you know how long it usually takes for them to review documents and send those notifications? It's been 8 days since I submitted.

Oh no, that's exactly what I'm afraid of! Did they at least tell you why it was denied when they finally made the decision?

ya but only AFTER it was denied, they sent a letter saying medical certification was incomplete but by then id already missed weeks of pay. wish theyd just asked me for the right form instead of making me wait forever just to get denied

I submitted my PFML claim last month and actually got a phone call from an ESD rep asking for additional documentation. She was super helpful and even stayed on the line while I uploaded the corrected form. So they definitely do reach out sometimes!

You got lucky! I've been going through this PFML process three times now (for different leaves) and I've NEVER received a phone call. It's always either notifications in the portal or complete silence until approval/denial. I think it depends entirely on which claims examiner gets assigned to your case. Some are proactive about reaching out, others just process what they have.

In most cases, ESD will notify you about missing PFML documentation through your account portal. They're required to give you an opportunity to provide missing documentation before denying a claim. However, there are situations where this might not happen: 1. If the contact information in your account is incorrect 2. If their notification goes to your spam folder 3. If there's a high volume of claims being processed Your best bet is to be proactive. Call the PFML customer service line at 833-717-2273 and ask them to verify that all your documentation is in order. Be prepared to wait though - their phone lines are often overwhelmed.

Thank you for the detailed response! I've been trying to call for 3 days but can't get through - constant busy signals or disconnections after being on hold for 40+ minutes. Is there any trick to actually reaching someone there?

This happened to me too!!! I was so stressed about my PFML claim and kept checking my email a million times a day. Then I realized the notifications were going straight to my portal inbox, not my email! Make sure you check both!!!

Thanks for the tip! I just double-checked my portal inbox and there's nothing there yet. Hopefully that means they haven't found any issues yet?

I've been helping people with PFML claims for a while, and here's what typically happens: If something is missing or incorrect, ESD usually sends a notification to your PFML portal account with a specific request for additional information. They also generally send an email alert telling you to check your portal, but sometimes these emails get filtered to spam. If you're really concerned, I'd suggest using Claimyr (claimyr.com) to reach an actual ESD agent by phone. They have a service that helps you get through the phone lines. I was skeptical at first but it worked for me - they got me connected to an agent in about 20 minutes when I had been trying for days. They have a video showing how it works: https://youtu.be/7DieNd3C7zQ?si=26TzE_zGms-DODN3 An agent can check your claim status and tell you immediately if anything is missing, rather than waiting for automatic notifications.

That service sounds really helpful! I've literally been trying for days with no luck getting through. I'll check out that video, thanks! Did they actually tell you specifically what was wrong with your documentation when you called?

Yes, when I finally got through to an agent, they looked at my claim in real-time and told me exactly what was missing (in my case it was that my doctor had used an outdated certification form). They even emailed me the correct form while I was on the phone. Saved me weeks of waiting for a denial letter.

kinda off topic but did anyone else notice that ESD takes WAY longer to process PFML claims than they say they will?? their website says 2 weeks but mine took almost 5 weeks last year...just saying dont count on getting paid quickly even if ur docs are perfect

Ugh, that's frustrating. I can maybe handle 3 weeks without pay, but 5 weeks would be a disaster. I wonder if processing times have gotten any better in 2025?

Based on everyone's responses here, it sounds like their communication is inconsistent. Your safest bet is to be proactive rather than waiting. One thing you can do immediately is upload a message through your PFML portal asking them to confirm if your documentation is complete. Sometimes that triggers them to review your file sooner. Also, if you're worried about the specific medical certification form, you could upload both versions just to be safe. It won't hurt your claim to have extra documentation. Just make sure to label them clearly when uploading.

That's a great idea! I'll try uploading a message tonight and see if I can get some confirmation. I think I'll also try to get the right form from my doctor again just to be safe. Thanks for all the help everyone!

I went through this exact same stress with my PFML claim a few months ago! Here's what I learned: ESD is SUPPOSED to notify you about missing docs, but it's not always reliable. Sometimes the notifications get buried in your portal, sometimes they go to spam, and sometimes (unfortunately) they just don't send them at all. My advice: Don't wait passively. Log into your PFML portal every single day and check both your messages AND your claim status page. Look for any "pending" items or requests for additional information. If you see anything that says "under review" for more than 10 business days, that's when I'd start getting worried. Also, since you mentioned having multiple versions of the medical form - when in doubt, upload the most recent/comprehensive one. I made the mistake of uploading an incomplete form and had to restart my whole claim process. Better to over-document than under-document with ESD. You've got this! The waiting is the worst part, but most claims do get approved eventually if you stay on top of it.

Thank you so much for sharing your experience! This is really helpful. I've been logging in daily but mostly just looking at the main status page - I didn't realize there might be separate "pending items" to check for. I'll make sure to look more thoroughly at all the different sections. And you're absolutely right about the waiting being the worst part - the uncertainty is driving me crazy! Did you end up having any issues when you had to restart your claim process? I'm terrified of having to do that since my leave is coming up so soon.

I'm going through a similar situation right now with my PFML claim! Just wanted to add that if you're really concerned about the medical form, you can also contact your doctor's office directly and ask them which version is the current one that ESD requires. Sometimes medical offices have outdated forms on file, so it's worth double-checking with them. Also, I found that setting up text notifications in addition to email notifications in my PFML portal helped me catch updates faster. The text alerts seem to come through more reliably than emails for some reason. You can change your notification preferences in your account settings. Hope everything works out for you - the stress of waiting when you need that income is really tough! Keep us posted on how it goes.
