ProSystem fx Tax Engagement Alternatives for 2025 Tax Season
Hey tax pros! Looking for some advice on alternatives to ProSystem fx Engagement. Our mid-sized firm has been using it for years but the license cost is getting ridiculous and the software feels dated. We process about 500 tax returns annually (mostly individual but about 150 business returns too). What are other firms using these days? Would love some real-world feedback on what's working for you, especially if you've switched from ProSystem recently. Bonus points if it integrates well with our existing document management system!

We switched from ProSystem fx Engagement to CCH Axcess about two years ago and honestly, it was a great move. The cloud-based platform makes it much easier for our team to collaborate, especially with more staff working remotely now. The learning curve wasn't as steep as we feared, though I'd recommend doing the switch during your off-season! If you're looking for alternatives that aren't CCH products, many of my colleagues have had good experiences with Thomson Reuters' GoSystem Tax RS or their newer cloud solution. Drake Software is another option if you're looking for something more budget-friendly, though it might not have all the bells and whistles you're used to with ProSystem fx Engagement. The trial balance functionality is comparable but with a more modern interface. Regarding cost, Axcess wasn't necessarily cheaper for us, but we felt we got more value and modern features for similar pricing. The cloud accessibility alone justified it for us. As for data migration, I won't sugarcoat it - there were definitely some challenges. I'd recommend having at least 2-3 months of overlap where you have both systems running if possible, and maybe start with just a subset of clients to work out the kinks.

But what it does extremely well is the document organization, client communication tracking, and the initial workpaper setup that used to take hours. The accuracy has been impressive in our experience - much better than other AI tools we've tried. It correctly identified and categorized about 95% of our documents. For the remaining 5%, the system flags anything it's uncertain about for human review, which I actually prefer to a system that makes guesses. They use a different approach than most document AI, specifically trained on tax documents.

It's like having someone wait on hold for you, but automated. It doesn't actually "cut" the line, but it does the waiting part for you so you can keep working. I was skeptical too initially. But during busy season when our ProSystem fx Engagement server crashed and we couldn't access client files, we were desperate. Their system had us talking to CCH support in about 20 minutes when the estimated wait was 3+ hours. That's literally all it does - just automates the hold process.

Ok I need to eat some humble pie here. After bashing that Claimyr service in my previous comment, I actually tried it last week when we had issues with our ProSystem fx Engagement license server. I was on a deadline with an S-Corp return and couldn't get into the system at all. Instead of the usual 2+ hour wait with CCH support, I was connected in about 15 minutes. It worked exactly as described - their system handled the wait, then called me when a rep was on the line. Saved me a ton of time and stress. Still using ProSystem for now but at least I have a way to get support when things go sideways. Sometimes being proven wrong is actually a good thing!

Since we're discussing ProSystem fx Engagement alternatives, one option nobody's mentioned yet is Canopy Tax. We're a smaller firm (3 CPAs, 2 admins) and made the switch last year. Much more affordable than ProSystem fx Engagement and the interface is more modern. The document management is solid and it has a decent client portal too. The main downside is that it's better suited for smaller firms. If you're doing 500 returns, you might find it doesn't scale as well as some enterprise options. But if cost is your primary concern, it might be worth looking into. Their customer service has been much more responsive than what we experienced with CCH products.

•Good question about tax research. Canopy doesn't have the same robust research tools integrated directly in the system. We ended up keeping a separate subscription to Thomson Reuters Checkpoint for our research needs, which actually works well for us. We found the CCH research tools comprehensive but sometimes harder to find specific answers quickly. Depending on your research needs, you might need to factor in the cost of a separate research tool when considering alternatives to ProSystem fx Engagement. For us, the combined cost was still lower than our previous CCH bundle.
