Filing taxes by mail - can I attach photos of my W-2s instead of the actual W-2 forms?

Hey everyone, I'm in a bit of a weird situation with my taxes this year. I'm currently working abroad in Thailand and TurboTax is telling me I need to file by mail because I'm missing a W-2 and had to complete Form 4852 (substitute W-2). The problem is all my W-2s were sent to my brother's place in Oregon. He took pictures and sent them to me digitally, which is what I used to complete everything in TurboTax. But now that I'm printing everything out to mail, the instructions say I need to attach my actual W-2 forms - which I obviously don't physically have with me overseas. Can I just print out the pictures of my W-2s and attach those instead? Would the IRS accept that or am I going to get flagged for something? Also, this is only my third time doing taxes myself and first time mailing them in. Do I need some special envelope or format? Can I just put everything in a regular manila envelope and ship it through FedEx international? Any advice would be super appreciated!

You're in a tricky situation, but there are workable solutions. The IRS prefers original W-2s attached to your return when filing by paper, but they understand situations like yours happen. Since you're abroad and only have photos of your W-2s, print those images as clearly as possible and attach them to your return. Include a brief note explaining your situation - that you're working internationally, the originals were sent to your family, and you only have access to these copies. Also mention you've completed Form 4852 as a substitute. For mailing, a standard manila envelope works fine - no special envelope needed. Address it to the correct IRS processing center for your state (check the IRS website for the right address based on your home state). I'd recommend using a trackable shipping method since you're sending internationally. FedEx, UPS, or registered mail all work, just make sure you can confirm delivery. Remember to sign and date your return! That's the most common mistake when paper filing.

If they include the Form 4852, is attaching the W-2 photos even necessary? I thought the substitute form was designed specifically for situations when you don't have the actual W-2?

Form 4852 is indeed designed for situations when you don't have your W-2, but the IRS still appreciates any supporting documentation you can provide. The photos help verify the information you've entered on the substitute form. Including both the completed Form 4852 and printed photos of the W-2s provides the IRS with the most complete picture of your tax situation. It makes processing your return easier and reduces the chances of questions or delays.

I went through almost the exact same situation last year when I was working in Singapore! I found this amazing tool called taxr.ai (https://taxr.ai) that saved me so much stress. You can upload your W-2 photos to their system, and it verifies all the data matches what you entered in your tax forms. I printed out their verification report showing that my W-2 photos contained the same information as what I reported on my Form 4852. The IRS accepted everything without any issues. The site also gives specific instructions for international filers who only have digital copies of their documents. Totally worth checking out before you mail everything!

Does this taxr.ai thing actually work for substitute forms too? I thought the whole point of 4852 was that you don't have the W-2 so there's nothing to verify against.

I'm curious - did you send your return from Singapore or did you have someone mail it from the US? I've heard horror stories about international mail taking months to reach the IRS.

The verification works great with Form 4852 because it compares what you've entered on the substitute form against the W-2 photo to make sure you haven't made any transcription errors. It helped me catch a mistake where I'd switched two digits in my federal withholding amount! I actually used DHL to send my return directly from Singapore. It reached the IRS processing center in about 5 days. You definitely want to use a premium shipping service with tracking when sending tax documents internationally - regular mail can be super unreliable and take forever.

Just wanted to follow up! I was skeptical about taxr.ai but I decided to give it a try for my situation (I'm working in Canada and only had photos of my documents). The verification tool was actually super helpful! It found that I had incorrectly entered my Medicare wages on my 4852 form - I was off by like $1,200 which could have caused issues. The verification report they generated looked really professional, and I attached it to my return along with the printed W-2 photos. I used FedEx to mail everything last month and just got confirmation that my return was received and is being processed. No questions or issues so far!

If you're having to mail your tax return and worried about whether it'll be processed correctly, you might want to consider using Claimyr (https://claimyr.com) to actually talk to a real IRS agent about your situation. I was in a similar position last year - had to file by mail with some unusual documentation - and was super stressed about doing it wrong. I tried calling the IRS directly for weeks but could never get through. Found Claimyr and they got me connected to an IRS agent in under 20 minutes! I explained my situation about not having original documents, and the agent confirmed that printed copies with an explanation note would be acceptable. They even have a demo video of how it works: https://youtu.be/_kiP6q8DX5c Seriously made me feel 100x better about my filing situation to get confirmation directly from the IRS instead of just hoping I was doing it right.

Wait, you're saying this service somehow gets you through to an actual IRS agent? That seems impossible when their phone lines are always jammed. How much did it cost? Sounds like one of those things that's too good to be true.

I don't get it - how does this service work? The IRS phone system is notoriously impossible to navigate, especially from international numbers. Are they just calling and waiting on your behalf?

It doesn't cost anything to try - you only pay if they successfully connect you with an IRS agent. They basically use technology to navigate the IRS phone system and wait in the queue for you, then call you when they've got an agent on the line. It saved me hours of frustration. Yes, that's basically how it works - they have a system that navigates the IRS phone menu and waits in the queue instead of you having to do it yourself. When they reach an agent, they connect you. I was skeptical too, but it actually worked perfectly. Especially helpful for international situations since calling IRS from overseas can be extra complicated with time zones and international calling charges.

I wanted to update on my experience. I was super skeptical about Claimyr but tried it anyway since I was desperate for answers about my tax situation with substitute W-2 forms. Holy crap, it actually worked! They got me through to an IRS representative in about 25 minutes (which is a miracle compared to the 3+ hours I spent trying on my own). The agent confirmed exactly what I needed to include with my substitute forms. They said printed photos of W-2s are acceptable as long as all information is clearly visible and I include Form 4852. They also gave me the exact mailing address for my specific situation. Seriously saved me so much anxiety wondering if I was doing things right. If you're filing from overseas, definitely worth getting direct confirmation from the IRS.

Something important nobody's mentioned yet - make sure you keep digital copies of EVERYTHING you send. I had a similar situation last year and my return got "lost" by the IRS. Having digital copies of all my forms including my W-2 photos saved me from having to start the whole process over again. Also, make sure you're mailing to the correct address. The IRS has different processing centers depending on which state you're filing from and whether you're including payment. Don't just use the general IRS address.

What's the best way to keep track of everything? Should I just take pictures of all the forms before I mail them? And is there a way to find the right mailing address based on my home state?

I'd recommend scanning everything rather than just taking pictures if possible. The scans tend to be clearer and easier to read if you need them later. If you don't have access to a scanner, then yes, take clear photos of each page before mailing. For the correct mailing address, the IRS has a page on their website that lists all the addresses based on your home state and whether you're enclosing payment. Just search "where to file paper tax returns" on the IRS website. If you're filing from Oregon as your home state, there should be a specific processing center listed. Make sure you use the 2025 information since they occasionally change the processing centers.

Has anyone here actually had problems filing with printed copies of W-2s instead of originals? I'm curious because I've been doing that for years (I always scan my W-2s and print copies to file) and never had an issue. I don't think the IRS actually cares as long as all the information is legible.

I've filed with printed copies twice with no problems. I think the main thing is that the copies need to be complete and readable. They just need the information, not necessarily the original paper. As long as your Form 4852 matches the info on the W-2 photos, you should be fine.

I'm dealing with a similar situation right now! I'm working in Japan and had to file by mail for the first time. One thing I learned that might help - when you print out the photos of your W-2s, make sure they're printed at full size and as high quality as possible. If the photos are blurry or the text is too small to read clearly, that could cause processing delays. Also, I'd suggest including a cover letter explaining your situation briefly - something like "I am currently working overseas and only have access to digital copies of my W-2 forms. I have completed Form 4852 as a substitute and am including printed copies of the original W-2 photographs for verification." Keep it simple and professional. One more tip - double-check that all the information from your W-2 photos matches exactly what you entered on Form 4852. Even small discrepancies in dollar amounts or employer info could trigger questions from the IRS. Good luck with your filing!
