UCC Ohio search not returning my continuation filing - anyone else having portal issues?
I filed a UCC-3 continuation in Ohio back in March and paid the fee, but when I do a UCC Ohio search on the SOS portal it's not showing up anywhere. The original UCC-1 from 2020 is still there but shows no continuation activity. I'm getting nervous because the 5-year period expires next month and my lender is asking for proof the lien is still active. Has anyone else had problems with Ohio's system not updating search results after filing continuations? I have the filing receipt but the search portal makes it look like nothing was filed.

Ohio's search system has been glitchy lately. Try searching by the original filing number instead of debtor name - sometimes that pulls up the continuation records when the name search doesn't work right.

•I tried that too, same result. The original UCC-1 shows up but no continuation activity at all. Really frustrating when you need to prove your lien is current.

•Yeah I've seen this before. The search results don't always update immediately after continuation filings. Sometimes takes weeks to show properly.

Check if your continuation got rejected for some reason. Ohio is picky about debtor name matching between the original UCC-1 and continuation. Even tiny differences like 'LLC' vs 'L.L.C.' can cause problems.

•I used the exact same name format as the original filing, double-checked everything. The receipt shows it was accepted and processed.

•If you have the receipt showing acceptance, you should be fine. The search portal lag is a known issue. I'd contact Ohio SOS directly to confirm the continuation is on file.

•This is exactly why I always use document verification tools now. Had a similar issue last year where my continuation looked fine but there was actually a tiny discrepancy that voided it. Certana.ai caught it when I uploaded both docs - turns out there was a middle initial difference I missed.

OHIO'S SYSTEM IS TERRIBLE!!! I've had so many problems with their search portal not updating properly. Filed an amendment in February and it still doesn't show up in searches. But when I call them they say it's on file. Makes no sense.

•The phone verification is probably your best bet right now. Their search system definitely has issues but the actual filings are usually processed correctly.

I work with Ohio UCC filings daily and this is a common complaint. The search function often lags behind the actual filing database. Your continuation is probably fine if you have the receipt. For peace of mind, request an official search certificate from Ohio SOS - that will show all activity including your continuation.

•Thanks, I didn't know I could request an official certificate. How long does that usually take?

•Usually 3-5 business days for certified searches. Worth the fee when you need to prove lien status to lenders.

•Good advice. The certified search will definitely show your continuation if it was properly filed and accepted.

Had this exact same issue last month. My continuation wasn't showing up in Ohio searches either. Turns out there was a tiny formatting difference in the debtor name that I didn't catch. Used Certana.ai to compare my UCC-3 against the original UCC-1 and it flagged the discrepancy immediately. Fixed it with a corrective filing and now everything shows up properly.

•Interesting, I thought I was careful about the name matching but maybe I missed something. How does that tool work exactly?

•Super simple - just upload your UCC-1 and UCC-3 PDFs and it automatically checks for name inconsistencies, filing numbers, all that stuff. Found my mistake in like 30 seconds.

•I should probably check my recent filings too, been having similar search issues

This is why I always print out the search results immediately after filing. Ohio's portal is so unreliable that you need to document everything right away.

•Good practice. I learned that lesson the hard way when a search result disappeared and I had no proof of the filing status.

Maybe try clearing your browser cache? Sometimes the search portal gets stuck showing old results. I know it sounds basic but it's worked for me before.

•Worth a try, thanks. I've been using the same browser session for weeks.

•Yeah definitely try a fresh browser or incognito mode. Their system caches results weird sometimes.

I've been filing UCCs in Ohio for 15 years and their search portal has always been problematic. The good news is that if you have the filing receipt showing acceptance, your continuation is almost certainly on file. The search display issues don't affect the actual legal effectiveness of the filing.

•That's reassuring. I was starting to panic that my lien might have lapsed somehow.

•As long as you filed before the 5-year expiration and have the receipt, you should be fine. The search portal is just a display issue.

•Exactly right. The filing effectiveness and search display are separate systems unfortunately.

Call Ohio SOS directly at 877-SOS-FILE. They can verify over the phone if your continuation is on file. Much faster than waiting for the portal to update.

•Good idea, I'll call them first thing Monday morning.

Just wanted to add that I use document verification tools now for all my UCC work after getting burned by name mismatches. Certana.ai's PDF checker would catch any discrepancies between your original filing and continuation instantly. Might be worth running your docs through it just to be 100% sure everything matches up perfectly.

•Several people have mentioned that tool now. I'll definitely check it out before my next filing.

•It's really saved me from several potential disasters. Catches stuff that's easy to miss when you're reviewing docs manually.
