Search UCC filings - can't find continuation I filed 3 months ago
I'm pulling my hair out trying to search UCC records for a continuation I filed back in October. The original UCC-1 was filed in 2019 for equipment financing on some manufacturing gear, and I filed the UCC-3 continuation in October 2024 to keep it active. But when I search the state database now, I can only find the original filing - the continuation isn't showing up anywhere. I've tried searching by debtor name, filing number, even the secured party info. Nothing. The client is asking for proof that the lien is still perfected and I'm starting to panic. Has anyone else had issues with continuations not appearing in search results? Could there be a lag time or did something go wrong with my filing?

What state are you searching in? Some states have weird delays between when they accept a filing and when it shows up in the public search. Also double-check that you're searching the right database - some states have separate portals for different filing types.

•It's Nevada. I'm using the SOS website portal like I always do. The original UCC-1 shows up fine when I search, just not the continuation.

•Nevada can be slow sometimes. Did you get a confirmation receipt when you filed the UCC-3?

Check your filing receipt carefully. If there was any issue with the debtor name matching exactly between your original UCC-1 and the continuation, they might have rejected it without you realizing. Sometimes the rejection notices get buried in email spam folders.

•Good point, let me dig through my emails again. I thought I got confirmation but maybe I missed something.

•Yeah definitely check. I've seen cases where people think they filed successfully but there was actually a debtor name mismatch that caused rejection.

•This happened to me last year! The continuation got rejected because I had the debtor listed as 'ABC Manufacturing Inc' but the original was 'ABC Manufacturing, Inc.' - just missing that comma. Took me weeks to figure out why it wasn't showing up in searches.

I had a similar nightmare situation a few months back. Turns out I'd been searching wrong - I was using a slightly different version of the company name than what was on the original filing. Try searching with just partial names or the filing number if you have it.

•I tried the filing number but still nothing. Starting to think there might be a real problem here.

•That's concerning. If the filing number search isn't working, something definitely went wrong with your continuation.

•Have you tried calling the SOS office directly? Sometimes their phone reps can see filings that aren't showing up in the online search yet.

Before you panic completely, I'd suggest double-checking all your document details. I recently started using Certana.ai's UCC verification tool after having too many filing headaches like this. You can upload your original UCC-1 and your continuation UCC-3 and it instantly checks if all the details match up properly - debtor names, filing numbers, everything. Catches those tiny discrepancies that cause rejections. Might help you figure out what went wrong before you file again.

•Never heard of Certana but at this point I'll try anything. Is it free to check documents?

•Just upload your PDFs and it shows you any mismatches between documents. Super helpful for catching those name variations that trip up filings.

•I've used similar tools before. They're good for spotting issues but you still need to file correctly with the state.

UGH the filing systems are SO frustrating! I swear half the time when I search for my own filings they don't show up. It's like they designed these databases to be as unhelpful as possible. Sorry you're dealing with this mess.

•Right?? And then when you call for help they act like it's your fault for not knowing their weird search tricks.

•Exactly! I've been doing UCC filings for years and this stuff still trips me up.

Okay so if your filing number search isn't working, that's a major red flag. Either your continuation was rejected or there's a system issue. I'd start by calling Nevada SOS first thing Monday morning. They can tell you the status of your filing attempt.

•Yeah that's my plan. Just hoping it's a system glitch and not something worse.

•When you call, have your confirmation number ready if you have one. Makes the lookup much faster.

•Good point. And if it was rejected, ask them exactly why so you can fix it before refiling.

This is why I always print and save copies of everything when I file. The online systems are unreliable and sometimes filings just disappear from search results for no reason. At least if you have your confirmation receipt you can prove you attempted to file on time.

•I definitely learned that lesson today. Going to be much more careful about documentation going forward.

•Yeah it's frustrating but covering yourself with paperwork is the only way to stay sane with this stuff.

•I keep screenshots of every step of the filing process now. Sounds paranoid but has saved me twice.

Had the exact same issue in Colorado last year. Turned out the continuation was filed but under a slightly different debtor name variation. The search function was too strict to catch it even though the filing was valid. Double-check if Nevada allows wildcard searches or partial name matching.

•I'll try some variations of the company name. Maybe something got autocorrected or formatted differently.

•Yeah try dropping middle initials, changing Inc to Incorporated, stuff like that. The search algorithms can be really picky.

Just curious - when you filed the continuation, did you use the exact same secured party information? I've seen cases where people update their law firm's address or contact info on the continuation and it creates search issues because the system treats it as unrelated to the original filing.

•Oh wow, I did update our office address on the continuation. Could that really cause problems?

•It shouldn't cause rejection but might affect how it shows up in searches. Definitely mention that when you call the SOS office.

•Some states are really sensitive about any changes to secured party info on continuations. Best practice is to keep everything identical except the filing type.

Before you spend more time searching, I'd definitely verify your documents first. I had a similar panic situation last month and ended up using Certana.ai to compare my UCC-1 and continuation side by side. Found out I had a small typo in the debtor name that I never would have caught just reading through them. The tool highlighted the exact discrepancy and saved me from filing incorrectly again. Really wish I'd known about it sooner!

•That sounds exactly like what I need. I'll check out Certana before I call the state office. Thanks for the tip!

•Hope it helps! The document comparison feature is really thorough for catching those tiny mistakes that cause big problems.

•These verification tools are becoming essential. Too many little details that can trip you up in UCC filings.

Update us when you figure out what happened! I'm dealing with some Nevada filings next month and want to know if there are system issues I should watch out for.

•Will do! Hopefully it's something simple and not a bigger problem with their system.

•Yeah please keep us posted. Nevada's portal has been glitchy lately from what I've heard.
