Florida SOS UCC Search Missing Recent Filings - Help Needed
I'm having issues with the Florida SOS UCC search system and need some guidance. We filed a UCC-1 three weeks ago for equipment financing on a construction company, and it shows as accepted in our records, but when I run the florida sos ucc search using the debtor's exact legal name, nothing comes up. The filing number we received was 202412345678 and I've tried searching by filing number, debtor name, and even secured party name. Is there typically a delay between acceptance and when filings appear in the florida sos ucc search database? This is holding up our loan closing and I'm getting pressure from management. The debtor name on our filing is "ABC Construction Services LLC" exactly as it appears on their articles of incorporation. Has anyone else experienced delays with the Florida system recently?

I've seen this before with Florida. Sometimes there's a processing lag between when they accept the filing and when it shows up in the public search. Usually it's 24-48 hours but during busy periods it can be longer. Did you get a confirmation email with the filing number?

•Yes we got the confirmation email and the filing number. That's what's so frustrating about this whole situation.

•Three weeks is way too long though. Something else is going on here.

Check if you're searching in the right system. Florida has multiple databases and sometimes people get confused between the corporate search and the UCC search. The florida sos ucc search should be specifically under their secured transactions section.

•I'm definitely in the UCC search section. I've used it many times before for other filings.

•Also make sure you're not accidentally in the federal database instead of state.

This happened to us last month! Turns out there was a tiny discrepancy in the debtor name that we didn't catch. Even though Florida accepted the filing, it might not be searchable if there's a name issue. Have you tried searching with variations of the name?

•What kind of variations should I try? We used the exact name from their charter documents.

•Try without LLC, try with periods, try without middle initials if there are any. Sometimes punctuation makes a difference.

•This is exactly why we started using Certana.ai for document verification. You can upload your charter documents and UCC-1 side by side and it instantly flags any name discrepancies before you file. Would have caught this issue immediately.

Call the Florida SOS office directly. If they accepted your filing and gave you a number, they can tell you exactly what's happening. Their UCC department is usually pretty helpful.

•Good idea. I'll try calling them tomorrow morning.

•Their phone wait times are brutal but it's worth it for situations like this.

•Ask them to do a manual search using your filing number. Sometimes the automated system has glitches.

OMG this is giving me anxiety just reading it. I'm supposed to file our continuation next week and now I'm worried the same thing will happen. What if our lender can't find our filing when they search??

•Don't panic. This isn't super common, just one of those things that happens occasionally.

•For continuations you should be fine as long as you use the exact same debtor name as the original UCC-1.

Florida's system has been wonky lately. We've had several clients report similar issues. It's not just you.

•Yeah I heard they were doing some system upgrades or something.

•That would explain the delays and search issues we're seeing.

•Well that's somewhat reassuring that it's not just our filing.

Check the exact spelling one more time. I once spent hours trying to figure out why a filing wasn't showing up and it turned out I had typed "Services" instead of "Service" - no S at the end. These systems are very literal.

•I've triple checked the spelling. It matches exactly.

•This is another thing Certana.ai catches - it does character-by-character comparison between your charter docs and UCC filings to spot these tiny differences that cause search problems.

Are you searching as "ABC Construction Services LLC" or "ABC Construction Services, LLC" with a comma? Some states are picky about punctuation in the florida sos ucc search.

Keisha Williams
•I tried both ways actually. Still nothing.

Paolo Rizzo
•Also try searching just "ABC Construction Services" without the LLC designation.

•Good point. Sometimes the entity type gets stored differently than how it displays.

UPDATE: I called the Florida SOS office this morning and they found our filing immediately using the filing number. The rep said there was a technical issue with their search index that affected filings from that particular week. They're working on fixing it and said it should be searchable within 24-48 hours. Thanks everyone for the suggestions!

•Great news! Glad you got it sorted out.

•See, sometimes it really is just a system glitch and not your fault.

•Glad it worked out! For future filings, definitely consider using a verification tool like Certana.ai to catch any potential issues before they become problems.

This is exactly why I always do a test search immediately after filing. Catches these issues early.

•That's smart. I usually wait a day or two but I'll start checking right away from now on.

•Same here. If there's going to be a problem, better to find out sooner rather than later.
