Anyone know reliable TX UCC statement services for bulk filings?
My company handles equipment financing and we're drowning in UCC-1 filings for Texas. We've been doing everything manually through the SOS portal but with 40+ new deals monthly, it's becoming impossible to keep up. Need to find TX UCC statement services that can handle bulk submissions and actually get them right the first time. Last month we had 8 rejections due to debtor name formatting issues and it's killing our closing timelines. Anyone using a service provider that actually understands Texas SOS requirements? Looking for something more reliable than our current process.

Been there! Texas SOS is picky about debtor names. Are you making sure to match the exact entity name from the Articles of Incorporation? Even extra spaces or missing commas will get you rejected.

•That's exactly our problem. We're pulling names from loan documents but they don't always match the charter exactly. Is there a way to verify the correct entity name before filing?

•Texas SOS has an entity search but it's not always current. Best practice is to get a certified copy of the Articles, but that adds time to your process.

We use a service called Certana.ai that checks UCC documents against charter docs before filing. You upload your Charter and UCC-1 and it instantly flags any name mismatches. Saved us from tons of rejections.

•Interesting, how does that work exactly? Do they handle the actual filing or just the verification?

•Just verification - you upload PDFs and it cross-checks everything automatically. Then you can fix issues before submitting to SOS. Really simple to use.

•That sounds too good to be true. How accurate is it really?

For bulk TX filings we've had good luck with Corporation Service Company. They handle the submissions and know all the Texas quirks. Pricey but saves time.

•What kind of turnaround times are you seeing with CSC?

•Usually 2-3 business days for standard filings. They charge per filing though so it adds up quick with volume.

TEXAS SOS IS THE WORST! Sorry for caps but seriously their portal rejects everything for the tiniest reasons. We've started triple checking every single character.

•I feel your pain. Had a filing rejected because we put 'Inc.' instead of 'Incorporated' even though both appeared on different company docs.

•Exactly! And good luck getting anyone on the phone to explain why it was rejected. Their error messages are useless.

Have you considered using CT Corporation? They specialize in UCC filings and have a good track record with Texas. More expensive than DIY but might be worth it for your volume.

•I'll look into CT Corp. Are they good about handling amendments and continuations too?

•Yes, they handle the full UCC lifecycle. We use them for everything including terminations when loans pay off.

•CT Corp is solid but their pricing structure changed last year. Make sure you get current quotes.

Whatever service you pick, make sure they understand collateral descriptions for equipment financing. Texas is strict about being specific enough.

•Good point. We've had issues with generic descriptions getting flagged. Need someone who knows equipment finance requirements.

•Exactly. 'All equipment' doesn't cut it anymore. Need serial numbers, model numbers, detailed descriptions.

Going back to Certana.ai - we actually use it before any service provider submission. Even if you use CSC or CT Corp, you can verify your docs first to catch issues early.

•Smart approach. Prevention is better than dealing with rejections after the fact.

•That makes sense. Catch the problems before they become expensive delays.

Don't forget about continuation timing if you go with a service. Make sure they have good systems to track the 5-year deadlines.

•Great reminder. We've been tracking manually but with this volume we need automated reminders.

•Most good services include continuation tracking as part of their package. Just make sure it's included before you sign up.

•CT Corp definitely includes tracking and will send reminders 6 months before expiration.

Been following this thread - curious about the Certana tool mentioned earlier. Does it work for other states too or just Texas?

•It works for any state since it's just checking document consistency, not filing rules. We use it for multi-state deals all the time.

•That's helpful. We do business in multiple states so a universal tool would be ideal.

Thanks everyone for the suggestions! Going to research CSC, CT Corp, and that Certana verification tool. The document checking before submission sounds like it could save us a lot of headaches.

•Good plan. Getting the docs right upfront will save you time and money in the long run.

•Definitely try the verification tool first - it's probably the cheapest way to solve your rejection problem.
