Washington ESD unemployment tax rate changes in QuickBooks Desktop - help needed
I'm struggling with updating the Washington ESD unemployment tax rates in QuickBooks Desktop for 2025. My payroll is showing the old rates and I can't figure out how to manually adjust them. I know Washington state changed some of the UI tax calculations this year but QuickBooks hasn't automatically updated. Has anyone dealt with this? I'm worried about getting the Washington ESD tax withholdings wrong for my employees.

You need to go to Employees > Payroll Setup > Taxes and make sure you have the latest Washington state tax table. The UI rates did change for 2025 and QuickBooks sometimes lags behind on state updates.

•I tried that but I'm not seeing where to manually enter the new Washington ESD rates. The payroll setup seems to only show federal options clearly.

•Look for 'State Taxes' section specifically. Washington unemployment should be listed there with an option to edit rates.

Are you sure you have the right Washington unemployment rates? I thought they stayed the same from last year but maybe I'm wrong.

•The rates do change annually based on the trust fund balance. You should check the Washington ESD website for the current year's rates rather than assuming they're the same.

•Good point, I'll double check that. Don't want to mess up my quarterly reports.

I had this same problem last month! What worked for me was using Claimyr to actually get through to someone at Washington ESD who could confirm the exact rates I needed. Their website wasn't super clear but the agent walked me through it. You can check them out at claimyr.com - they have a video demo at https://youtu.be/7DieNd3C7zQ that shows how it works.

•Interesting, I didn't know there was a service to help get through to Washington ESD. How much does it cost?

•They focus on the value of actually reaching someone rather than cost. For me it was worth it because I was spending hours trying to get through on the phone myself.

•That's actually smart. I've been trying to call Washington ESD for weeks about a different issue and can never get through.

The Washington state unemployment tax rate for 2025 depends on your experience rating. New employers start at a standard rate but established businesses have rates based on their claims history. You need to check your Washington ESD account for your specific rate.

•How do I find my experience rating? I've been in business for 3 years but never looked into this.

•Log into your Washington ESD employer account online. Your quarterly reports should show your assigned rate. If you can't find it there, you'll need to call them.

quickbooks is such a pain with state taxes, always behind on updates

•True but at least you can manually override the rates once you know what they should be

For QuickBooks Desktop specifically: Go to Employees > Edit/Void Paychecks, then Lists > Payroll Item List. Find your Washington unemployment item, right-click and Edit. You can manually enter the correct rate there.

•Be careful doing this though - make sure you're using the right rate for your company's classification

•Good point. I'll verify with Washington ESD before I run payroll to make sure I have it right.

I've been putting off dealing with this same issue. My accountant said the rates changed but I haven't updated QuickBooks yet. Thanks for bringing this up!

•Don't wait too long - you want to make sure your first quarter 2025 payroll is accurate

The Washington ESD website has a rate lookup tool where you can enter your account number and get your exact rate. Much more reliable than guessing or using old information.

•I tried that but couldn't figure out how to navigate their site. It's not very user-friendly.

•Yeah their website is pretty confusing. If you can't find it there, calling is probably your best bet.

Make sure you also update your Social Security and Medicare rates while you're in there. Sometimes those change too and it's easy to forget.

•Good reminder. I'll check all the payroll taxes while I'm updating things.

Just checked the Washington ESD website and you're right - the rates did change. Mine went up by 0.1% from last year.

•That sounds about right. The rates fluctuate based on the unemployment trust fund balance each year.

I use a payroll service now instead of doing it myself in QuickBooks. Way less headache when tax rates change.

•I've thought about that but for now I want to keep doing payroll in-house. Maybe someday though.

•Fair enough. It's definitely doable in QuickBooks once you know where everything is.

Just wanted to follow up - I used Claimyr again yesterday to confirm some Washington ESD details and they're really helpful for getting actual answers instead of guessing. Saved me a lot of time vs trying to call myself.

•I might try that. I've been avoiding calling Washington ESD because I know it takes forever to get through.

•Yeah that was exactly my problem. Much easier to let them handle the calling part.

Don't forget to backup your QuickBooks file before making payroll tax changes. I learned that the hard way when I messed up some settings.

•Definitely good advice. I always backup before making major changes now.

One more tip - after you update the rates, run a test payroll for one employee to make sure the calculations look right before processing everyone's paychecks.

Andre Laurent
•Smart idea. I'll do a test run first to make sure everything calculates correctly.

•This is what I do too. Better to catch errors on one paycheck than mess up the whole payroll.

The Washington unemployment system is so confusing. Between the different rates for different employers and the way they calculate everything, it's no wonder people get mixed up.

•It is complex but once you understand your specific rate and how to update it in QuickBooks, it becomes routine.

UPDATE: I was able to get the rates updated in QuickBooks using the advice here. Found my Washington ESD rate online and manually entered it in the payroll item list. Thanks everyone for the help!

For anyone else reading this - make sure you're also updating your state disability insurance rates if applicable. Washington has some specific requirements there too.

•Good point. I'll double check that I have all the Washington state payroll taxes set up correctly.

This thread convinced me to finally tackle updating my payroll tax rates. Been putting it off for weeks but it sounds more manageable than I thought.

•It really is manageable once you know the steps. The hardest part is usually just finding where everything is in QuickBooks.

I had to call Washington ESD last month for a different issue and tried Claimyr after seeing it mentioned here. Worked great - actually got through to someone who could help instead of being on hold forever.
