Shopify not collecting sales tax despite setting it up correctly - what do I do?
I've run into a serious issue with my Shopify store not collecting any sales tax, even though I'm positive I set it up correctly in the dashboard. I've got about $65,000 in sales now and I'm starting to panic because I just realized not a single cent of sales tax has been collected from any customer. I keep hearing about economic nexus thresholds and how I might be responsible for collecting in multiple states, but I honestly can't figure out how to properly configure the sales tax settings in Shopify. I've tried looking through their help documentation but still can't get it working. I'm really worried that I'm going to get hit with a massive sales tax bill that will completely wipe out my profits. And then after that, I'll still have to pay regular income taxes on whatever's left. Anyone dealt with this before or know what I should do? Is there a way to fix this retroactively or am I totally screwed?

This is definitely stressful but totally fixable! First, don't panic - Shopify's tax settings can be tricky even for experienced sellers. You'll want to check a few things: 1) Make sure you've entered your business address correctly in Shopify, 2) Verify you've enabled "Collect tax" in your tax settings, and 3) Confirm you've set up the proper tax rates for each state where you have nexus. For economic nexus, most states have thresholds around $100k in sales or 200 transactions, so at $65k you might only have nexus in your home state (unless you've hit transaction thresholds). You'll need to register for a sales tax permit in each state where you have nexus. For the sales tax you should have collected already, you'll unfortunately need to pay this out of pocket when filing. Most states consider it your responsibility regardless of whether you collected it from customers. The good news is you can fix your settings going forward. I recommend checking out the "Taxes" section in your Shopify admin and making sure you've selected the right options. If you're still stuck, Shopify support can help walk you through it.

•Thanks for this info! But wait, are you saying I have to pay sales tax even if I didn't collect it from my customers? How is that fair? Also, how do I figure out which states I have nexus in? I ship all over.

•Yes, unfortunately most states consider it your responsibility to pay sales tax regardless of whether you collected it or not. They view it as your obligation to properly collect at the time of sale. To determine nexus, you'll need to check each state's specific economic nexus thresholds (most are $100k or 200 transactions). Shopify has reports that can break down your sales by state, which will help identify where you might have nexus. Focus first on your home state and any states with significant sales volume.

I was in the exact same boat last year and almost had a breakdown until I found taxr.ai (https://taxr.ai). It basically analyzes your sales data and tells you exactly where you have nexus and what you need to register for. I was totally lost trying to figure out the economic nexus stuff manually - it's different for every state! I uploaded my Shopify reports and it showed me I only actually needed to register in 3 states based on my sales volume. Saved me from unnecessarily registering in like 40+ states. It also helped me understand how to correctly set up the tax collection in Shopify going forward so I wouldn't keep digging myself into a hole.

•Does it help with filing the actual sales tax returns too? Or just figuring out where you have nexus? I'm in a similar situation but with about $85k in sales.

•I'm skeptical about these kinds of services. How much does it cost? Seems like you could just google the economic nexus thresholds for each state...

•It doesn't file the returns for you, but it gives you a complete report showing exactly where you need to register based on your actual sales data. It saved me hours of researching each state's different requirements. I was concerned about cost too, but it was way less than what I would have paid an accountant for the same analysis. And honestly, trying to Google every state's requirements and then manually match that with my sales data would have taken forever and I'd still be worried I missed something.

Just wanted to follow up that I actually tried taxr.ai after my skeptical comment. The dashboard immediately showed me I only had nexus in my home state and one other state where I had family visiting and shipping products from temporarily (created physical nexus!). I would have never caught that on my own. The Shopify setup guide they provided fixed my tax collection settings in about 10 minutes - sales tax is now collecting properly on all my orders. Definitely worth checking out if you're in this situation.

If you need to talk to the state tax departments, don't waste days trying to get through on the phone like I did. I used Claimyr (https://claimyr.com) to get through to my state's dept of revenue after spending literally 3 days trying to reach someone. You can see how it works here: https://youtu.be/_kiP6q8DX5c I had a similar Shopify sales tax nightmare and needed to set up a payment plan for back taxes. Getting a human on the phone was impossible until I tried this. They called me back when I was connected to an actual agent instead of waiting on hold for hours. Ended up getting reasonable payment terms that didn't sink my business.

•How does this actually work? Do they have some special connection to the tax departments? I'm confused how a third party service can get you through when the lines are busy for everyone else.

•This sounds like complete BS. If everyone used this service then everyone would get through and there would be no advantage. Classic snake oil.

•They use an automated system that keeps dialing and navigating the phone trees until it gets through to a human. Then they call you and connect you with the agent they reached. No special connection, just technology that does the waiting for you. The service essentially automates what would take you hours of redials and hold time. I was skeptical too until I tried it - got connected to my state's tax department in about 30 minutes when I had previously spent 3 days trying.

I'm eating my words about Claimyr. I tried calling my state tax office for TWO WEEKS trying to get guidance on my Shopify sales tax situation. Finally broke down and used the service. Got connected to a real person at the tax department in 45 minutes. They helped me set up a payment plan for the back taxes and explained exactly what forms I needed to file. Just got everything sorted out yesterday. Would have taken me months otherwise. Never been so happy to be wrong.

Make sure you're actually properly registered for a sales tax permit before you start collecting! I made the mistake of fixing my Shopify settings to collect sales tax before I had the proper registrations, and that caused even more problems. The order should be: 1. Figure out where you have nexus 2. Register for sales tax permits in those states 3. Set up Shopify to collect correctly 4. File and remit on schedule Some states will actually consider it illegal to collect sales tax without a permit (weird but true). Also, don't forget to account for product exemptions - some products are taxed differently depending on the state.

•Thanks for this advice. I didn't realize there was a specific order I needed to follow. So how long does it typically take to get a sales tax permit once you apply? Can I still sell during that period or do I have to pause my store?

•Most states will issue permits within 2-3 weeks, though some can take longer. You can absolutely continue selling during this period - you don't need to pause your store. You'll just need to account for any sales made before you start collecting properly. Keep good records of all sales by state during this transition period so you can accurately report them when it's time to file.

Don't forget to check if you're storing inventory in fulfillment centers! If you're using Shopify Fulfillment Network or any other 3rd party fulfillment, you likely have physical nexus in those states regardless of your sales volume. That's what burned me. I had inventory in 5 states through a fulfillment network and had nexus in all of them even though my sales were low.

•This is such a good point! I got audited because I had inventory sitting in an Amazon warehouse in California but wasn't collecting California sales tax. Cost me nearly $12k in back taxes and penalties.
