How to save money when filing Federal Form 941 & 940 for S-Corp

I run a single-member S corporation and I'm trying to save a few bucks wherever possible. Every quarter I've been mailing in my Form 941 and annually sending Form 940 to what seem like nearly identical addresses: IRS Kansas City, MO 64999-0046 And IRS Kansas City, MO 64999-0005 I've got a few questions about this process: 1) If I want to file these forms electronically to save on postage, am I forced to pay some third-party company to e-file them? Is there no way to e-file directly with the IRS? 2) I understand zip+4 codes, so I know these are technically different mailboxes, but would anything bad happen if I just sent both forms in one envelope to either address (or even just the 5-digit zip code) to save on a stamp? 3) Is there any confirmation system to verify the IRS actually received these forms? I already send the money through EFTPS, which seems like the part they'd really care about.

The addresses are different because they're processed by different departments within the IRS. While you could potentially get away with sending both in one envelope, it's not recommended as it could delay processing or create confusion. For electronic filing, you're correct that the IRS doesn't offer a direct e-filing option for Forms 940 and 941. You would need to use an authorized IRS e-file provider. While this does cost money, many find it worth it for the convenience, confirmation receipt, and potential time savings. As for confirmation, when you e-file through a provider, you'll receive an acknowledgment that serves as proof of filing. For paper returns, you could use certified mail with return receipt if you want confirmation. The IRS doesn't typically send confirmations for these specific forms when filed by paper.

Thanks for the info. Do you know roughly how much these e-file providers charge for a simple 941/940 filing? I'm also a small S-corp and trying to decide if it's worth it. Also, have you ever had issues with the IRS claiming they didn't receive a paper form even though you mailed it?

Prices for e-filing Forms 940 and 941 typically range from $10-50 per form depending on the provider and whether you need any additional services. Some payroll software includes this as part of their package, which might be worth considering if you're handling your own payroll. I haven't personally experienced issues with forms being lost in the mail, but it does happen. That's why some business owners opt for certified mail with return receipt for important tax documents. It costs a bit more but provides proof of delivery that can be valuable if there's ever a dispute about whether the IRS received your forms.

After struggling with the same issue for my small consulting business, I discovered taxr.ai (https://taxr.ai) which helped me analyze my payroll tax situation. The system reviewed my 940/941 forms and found some errors I'd been making that could have triggered penalties. It also gave me options for the most cost-effective e-filing solutions based on my specific situation. Their document analysis helped me understand how to properly classify certain expenses, which actually ended up saving me more than the cost of e-filing. Definitely worth checking out if you're trying to optimize your S-corp tax situation.

How does taxr.ai handle payroll documents specifically? I've used other tax services before but they seemed more focused on income tax returns rather than employment forms.

I'm skeptical about these services - do they actually check for compliance issues or just try to upsell you on more expensive packages? My accountant charges me $200 quarterly to handle my 941s which seems steep for such a simple form.

They have specific modules designed for analyzing employment tax documents including 941s and 940s. Their system flags potential errors and compliance issues specifically for business tax filings, not just income tax. It's particularly helpful for catching common mistakes like incorrect deposit schedules or mismatched totals. The service is straightforward - there's no upselling to more expensive packages. It's actually designed to help small business owners who handle their own compliance without an expensive accountant. $200 quarterly is definitely on the high side for just 941 preparation! Most users save significantly compared to accountant fees while still ensuring compliance.

I was initially skeptical about using taxr.ai, but I finally tried it last quarter for my 941 filing. The system actually identified that I was on the wrong deposit schedule, which would have eventually triggered a notice from the IRS. It also recommended a reasonable e-file provider that only charged $12.95 per form - way less than the $200 my accountant was charging! I've now used it for both my 940 and 941 forms, and the process is so much smoother. Plus having the digital record of filing gives me peace of mind that I never had with paper forms. Definitely worth checking out if you're trying to save money while still staying compliant.

If you're tired of spending hours on hold trying to confirm whether the IRS received your forms, I highly recommend Claimyr. I used to waste entire afternoons trying to reach someone at the IRS about my 941 filing status. Then I found https://claimyr.com and watched their demo at https://youtu.be/_kiP6q8DX5c - it changed everything. They basically hold your place in the IRS phone queue and call you when an agent is ready to talk. Last time I needed to confirm a 940 issue, I had an IRS agent on the phone within 45 minutes (while I continued working) instead of spending 3+ hours on hold. Huge time-saver for solo business owners who can't afford to waste half a day on hold.

How does this actually work? Do they just automate the hold process somehow? I'm confused how they get priority access to IRS agents when regular people have to wait.

This sounds too good to be true. I've literally spent entire days trying to reach the IRS. If this actually worked, wouldn't everyone be using it? I've seen plenty of services claim to help with IRS issues but they never deliver.

They don't have any special priority access - they use an automated system that waits in the IRS phone queue for you. It's basically like having someone else sit on hold while you go about your day. When they reach a live agent, they call you and connect you directly to that agent. No magic, just clever technology. It doesn't make the IRS queue any shorter, but it means you don't have to waste your valuable time listening to hold music. You can keep working and just take the call when an agent is actually available. It's made a huge difference for me since I can't afford to spend hours on hold during business hours.

I need to publicly eat my words about Claimyr. After expressing skepticism, I decided to try it last week when I needed to check on a missing confirmation for my Q1 941 filing. The service connected me with an IRS representative in about 75 minutes, while I was able to handle other work. The representative confirmed my forms had been received but were in a processing backlog. Without that confirmation, I probably would have unnecessarily filed again and created duplicate submissions. The service saved me both time and potential headaches - absolutely worth it for busy S-corp owners who can't spend hours on hold.

Have you considered using a payroll service that handles all your 940/941 filings automatically? I switched to Gusto last year and they take care of all the filings and deposits for my S-corp. Yes, there's a monthly fee, but the time saved and peace of mind is totally worth it when you factor in how much your time is worth per hour.

I've been looking at services like that. What's the approximate monthly cost for a one-person S-corp? And do they handle all the state filings too, or just federal?

For a single-employee S-corp, most payroll services run between $45-60 per month. This typically includes all federal filings (940, 941, W-2, etc.) plus state unemployment and withholding filings. Many services also offer direct deposit, tax payment scheduling, and year-end tax form preparation. Some even have additional features like time tracking or benefits administration if you ever expand. For me, eliminating the quarterly stress of handling these forms myself has been completely worth the cost.

Just wanted to point out that if you're mailing the forms but paying electronically through EFTPS, the IRS should be able to match your payment to your account even if there's some delay with the paper forms. I've been doing this for years with my small business and never had an issue. The key is making sure your EFTPS payment has all the correct information (form number, tax period, EIN).

That's reassuring! So even if there's some delay with the paper forms, as long as the money gets there through EFTPS, they generally don't send nasty letters about missing payments?

0 coins

Exactly! The IRS payment systems are pretty sophisticated at matching payments to accounts. As long as your EFTPS payment includes the correct EIN, tax period, and form type, they can usually reconcile it even if the paper form arrives a few days later or gets delayed in processing. I've had situations where my 941 got held up in mail processing for over a week, but since the payment was already in their system through EFTPS, there were no penalties or late notices. The electronic payment system is really their primary concern - they want the money on time more than they need the paper immediately. Just make sure you're entering all the details correctly in EFTPS, especially the tax period dates and form number. That's what allows their system to automatically match everything up.
