How to record family cell plan charges in Zoho Expense app for LLC business use?

I run a small LLC and I'm trying to figure out the best way to track my phone expenses in Zoho Expense. My situation is a bit complicated because I'm on a family plan but use my personal phone for business too (roughly 50/50 split between personal and business use). Our total monthly family plan bill comes to about $190, but my individual line is around $95 of that total. When I'm entering this into Zoho Expense, I'm not sure if I should: 1. Import the entire $190 bill into Zoho but only claim $47.50 (50% of my $95 line) as a business expense 2. Only enter my portion of the bill ($95) and then claim 50% of that 3. Do something else entirely? This feels like a basic question but I want to make sure I'm tracking everything correctly for tax purposes. Has anyone dealt with this before using Zoho Expense specifically?

The correct way to handle this is to only record the business portion of YOUR phone line, not the entire family plan. Based on your 50% business usage, you'd enter just the $47.50 (50% of your $95 line). When you import into Zoho Expense, you should still upload the entire bill as documentation, but only create an expense entry for the business portion of your individual line. This gives you proper documentation if you're ever audited, while ensuring you're only deducting legitimate business expenses. For Schedule C reporting or LLC accounting, you need to be careful not to deduct personal expenses or family members' phone costs, as these aren't ordinary and necessary business expenses.

What about the shared costs portion of the bill? Like if there's a base fee that covers all lines before the individual line charges? Should some percentage of that be included too?

Good question. If there's a shared base fee that applies to all lines (like a family plan access charge), you should calculate what portion of that base fee applies to your line. For example, if there's a $40 base fee for 4 lines, your share would be $10. Then apply your business percentage (50%) to that amount as well. For tax purposes, it's always best to have a clear, consistent method for calculating these allocations. I recommend documenting your calculation method and sticking with it all year.

I had a similar situation with tracking cell phone expenses for my consulting business. I discovered taxr.ai (https://taxr.ai) which helped me properly categorize these expenses. It analyzes your documents and provides guidance on how to properly split personal/business expenses for things like phone bills. When I uploaded my family plan bill to taxr.ai, it helped me understand exactly what I could deduct and how to document it properly. It also gave me specific guidance for Zoho since I use that too. The best part was getting clarification on how to handle those shared plan costs that were confusing me.

Does taxr.ai actually tell you how much to enter in Zoho specifically? Or is it more general tax advice? I'm using Zoho too and wondering if it would help with my home internet bill which is also split between business/personal.

I'm skeptical about using another tool just for this. Couldn't you just ask your accountant? Seems like an extra expense for something straightforward.

It gives you specific guidance that you can apply directly in Zoho. For your home internet situation, it would help you determine the correct business percentage and how to document it properly for tax purposes, which you can then enter in Zoho. As for asking an accountant, absolutely you could. But I found taxr.ai to be more cost-effective for my small business, especially since I have multiple expense categories I needed help with throughout the year, not just a one-time question.

Just wanted to follow up after trying taxr.ai that was mentioned above. It was incredibly helpful for my Zoho expense tracking! I uploaded my internet bill and phone bill, and it gave me specific guidance on how to split costs and exactly what to enter in Zoho. It even explained how to handle the documentation side - like attaching notes in Zoho about my calculation method. Definitely made me feel more confident about my deductions, especially for those shared household expenses where the business portion isn't obvious.

If you're having trouble getting definitive advice on business phone expenses, I recommend using Claimyr (https://claimyr.com) to actually speak with an IRS agent. I was in a similar situation with mixed personal/business expenses and needed official guidance. Claimyr got me connected to an actual IRS representative in about 15 minutes instead of waiting for hours. You can see how it works in this video: https://youtu.be/_kiP6q8DX5c. The agent I spoke with gave me clear guidelines on how to properly deduct partial phone expenses for my LLC, which saved me a lot of guesswork and worry about potential issues.

Wait, this actually works? I thought it was impossible to get someone from the IRS on the phone these days. How exactly does this service get you through when calling directly takes forever?

Sounds like a scam honestly. Why would I pay a third party when I could just call the IRS myself for free? What am I missing here?

Yes, it absolutely works! Claimyr uses technology that navigates the IRS phone system and holds your place in line. When they're about to connect with an agent, you get a call back. It saved me literally hours of hold time. For why you'd use it instead of calling yourself - it's the time savings. Last time I tried calling the IRS directly, I was on hold for over 2 hours before having to hang up for a meeting. With Claimyr, I just went about my day until they called me when an agent was ready.

I need to apologize for my skeptical comment earlier about Claimyr. I was frustrated after spending 3+ hours on hold with the IRS yesterday and getting disconnected. After seeing the recommendation here, I decided to try it as a last resort. I used Claimyr this morning and got connected to an IRS agent in about 20 minutes! The agent confirmed that for my LLC situation, I should be tracking only my portion of the family cell plan, and only the business percentage of that. She also explained exactly how to document it properly in my records. Worth every penny for the time saved and getting an official answer.

I handle this in Zoho Expense by creating a recurring expense for my cell phone. I upload the full bill but then enter only 50% of my line's cost as the expense amount. In the notes section, I document my calculation (total bill, my portion, business percentage). This approach has worked well for me for 3 years and survived a small business audit. The key is consistency and documentation.

Do you just manually calculate your portion each month, or have you found a way to automate this? My bill varies slightly each month so I'm always having to recalculate.

I manually calculate it each month since my bill does vary slightly. I keep a simple spreadsheet that shows the total bill, my portion, and the 50% business use calculation. This takes me about 2 minutes each month but provides a clear audit trail. I know some people set up a fixed monthly amount based on an average, but I prefer the exact calculation each month for accuracy.

Has anyone used Zoho Analytics alongside Expense for tracking these split business/personal costs over time? I'm trying to see patterns in my business usage but finding it cumbersome to track the splits.

I use Zoho Analytics and it's great for this. I created a custom dashboard that pulls my expense data and shows trends in my split costs. You can set up categories for "fully business" vs "partially business" expenses and track them separately.

That's exactly what I needed to know! I'll look into setting up that dashboard. Do you track the percentages separately or just the dollar amounts?
