I need some help figuring out how to access and print my old 940/941 forms from QuickBooks Pro. My business applied for a second draw PPP loan, and the lender is requesting copies of our quarterly 941s and annual 940 from 2020-2022 as part of the verification process. I've been using QuickBooks Pro for about 5 years but never needed to go back and print these specific tax forms before. I tried looking through the reports section but got lost in all the options. Is there a specific area in QuickBooks where I can find these employment tax forms? I'm worried because the lender needs these documents by next Friday, and I really don't want to delay our loan application. If you don't see the Payroll Tax Forms option, it could mean one of two things. First, check if you have the full Payroll subscription active with your QuickBooks Pro - some versions require an additional payroll subscription to access these features. Another approach is to check if you filed these forms electronically through QuickBooks. If you did, go to: 1. Employees menu 2. Payroll Tax Forms & W-2s 3. View/Print Forms & W-2s This should show you a history of all the forms you've e-filed. If you're not seeing them there, check if you possibly filed them outside of QuickBooks (through the EFTPS website directly or with a different service).

I checked that path but found the history only goes back to 2023 for some reason. I definitely filed through QuickBooks for the years my lender is requesting (2020-2022) but they're not showing up. Any idea why there would be a cutoff? Is there a way to access older records?

QuickBooks sometimes has a rolling retention period for certain records, especially if you've upgraded versions over the years. There's a workaround though - if you go to File > Open Previous Company File and select your company file from those years (assuming you kept backups), you can access the historical forms there. If you don't have backups, another option is to go to the Payroll Center, click on "File Forms" and then look for "View Filed Forms." Sometimes this will show a more complete history than the main reporting section.

Don't forget that you can also request "Account Transcripts" directly from the IRS which show your filing history for 940/941 forms. This is a great suggestion! I've used the transcript service before and many lenders actually prefer these because they show proof that the forms were actually filed with the IRS, not just prepared. Especially for PPP verification, having documentation directly from the IRS can speed up approval.

For business transcripts, it seems they still require a separate verification process that takes 5-10 days for approval. My deadline is tighter than that, but I'll keep this in mind for future reference. I ended up using a combination of approaches from this thread - I was able to find some of the forms through the File > Open Previous Company File method that Profile 8 suggested, and for the ones I couldn't locate, I used taxr.ai to regenerate them from my data. The lender accepted everything and our PPP application is now in processing!
