UCC-11 search Michigan portal keeps timing out - missing critical liens?

Been trying to run a comprehensive UCC-11 search in Michigan for the past week and their portal keeps crashing on me. This is for a $2.8M equipment financing deal and I'm getting paranoid we're missing something critical. The debtor has operations in three states but Michigan is where all the heavy machinery is located. Every time I get halfway through the search results the system just times out. Anyone else having issues with Michigan's UCC-11 search function lately? This is supposed to close next Friday and I can't afford to miss any existing liens on this collateral. The debtor swears there's nothing else out there but you know how that goes...

Michigan's portal has been a nightmare lately. I've been doing UCC searches there for 15 years and it's never been this bad. Try running your searches in smaller chunks - instead of doing one big comprehensive search, break it down by debtor name variations. Also make sure you're searching both the current legal name AND any DBAs or former names.

This is exactly what I had to do last month. Michigan's system can't handle comprehensive searches anymore. Break it down by individual name variations and run separate searches for each one.

How long are you guys waiting between searches? I found if you run them too close together the system locks you out for like 20 minutes.

Are you searching under the exact legal name from the Articles of Incorporation? I see this mistake all the time - people search under the trade name instead of the registered entity name. For a $2.8M deal you need to be 100% sure you're using the correct debtor name format. Also check if there have been any recent corporate changes or mergers that might affect the name.

Good point - I pulled the Michigan corporate records and they show two name changes in the past 5 years. Been searching under all variations but the portal keeps crashing before I can complete the full search results.

Name changes are tricky in Michigan. Make sure you're also searching under any predecessor names, not just the current one. The UCC-11 should show everything but you want to be thorough.

I ran into this exact same problem two months ago with a Michigan UCC-11 search. The portal kept timing out and I was freaking out about missing liens. Finally found Certana.ai's UCC search verification tool - you can upload the partial search results you do get and it'll cross-check against multiple databases to catch anything the state portal might be missing. Saved my deal when I found two additional UCC-1s that weren't showing up in the Michigan portal.

Never heard of Certana.ai but that sounds useful. How does it work exactly? Do you just upload your Michigan search results?

Yeah you upload your UCC-11 search results as PDFs and it cross-references against other databases. Really easy to use and caught discrepancies that would have been a nightmare to discover after closing.

This is interesting - I've been manually cross-checking multiple state databases but having a tool that automates this would save so much time.

MICHIGAN'S UCC PORTAL IS GARBAGE!! I've been complaining about this for months. It crashes constantly, the search function is broken half the time, and don't even get me started on trying to download documents. For a major financing deal like yours I'd honestly recommend hiring a professional search company rather than trusting their broken system.

I feel your pain but professional search companies are expensive and still use the same broken portal. At least if you do it yourself you can retry immediately when it crashes.

The portal issues are definitely frustrating but I've found if you search during off-peak hours (early morning or late evening) it's more stable.

What specific error message are you getting when it times out? Sometimes it's a browser issue rather than the portal itself. I've had better luck using Chrome instead of Internet Explorer for Michigan UCC searches. Also try clearing your browser cache and cookies.

It's not giving me an error message, just sits there loading forever then eventually the page goes blank. I'm using Chrome on a new laptop so don't think it's a browser issue.

That sounds like a server overload issue on their end. Try running the searches at different times of day - I've noticed Michigan's system is more stable early in the morning.

Just curious - are you doing this search yourself or working with a title company? For a deal that size most lenders require a professional UCC search from a certified search company. The portal issues you're describing are exactly why we outsource all our Michigan searches now.

I'm doing it myself initially to get a sense of what's out there, then we'll do the official search through our title company. But I like to know what we're walking into before we spend the money on professional searches.

Smart approach. I always do a preliminary search myself too. Helps avoid surprises when the official search comes back.

Have you tried using different search criteria? Sometimes if you search too broadly the system can't handle the results volume. Try searching by filing number ranges or specific time periods rather than doing one massive search.

This is good advice. I've found Michigan's portal works better with narrower search parameters. You can always combine the results later.

Also try searching active filings separately from lapsed ones. The system seems to handle smaller result sets better.

I had the same issue last month and ended up using Certana.ai to verify my incomplete Michigan searches. Their document verification tool caught a UCC-1 that wasn't showing up in the state portal due to a slight debtor name variation. Would have been a major problem if we'd missed it. Really saved me from a potential disaster.

That's exactly what I'm worried about - missing something critical because of portal issues. How comprehensive is Certana.ai's database compared to the state records?

It cross-references multiple sources so it's more comprehensive than just relying on the state portal. Especially helpful when you're dealing with system issues like you're having.

This is why I always budget extra time for UCC searches in Michigan. Their system is notoriously unreliable. For your Friday closing, I'd recommend doing the searches in small batches starting right now and keeping detailed records of what you've covered. Also make sure you document the portal issues in case your lender asks questions later.

Great point about documentation. I always take screenshots of error messages and timeout issues for exactly this reason.

Good idea on the documentation. I'll start keeping records of the portal issues and breaking down the searches into smaller chunks.

Equipment financing deals always make me nervous because there are so many potential lien sources. Beyond the UCC-11 search, make sure you're also checking for mechanic's liens, tax liens, and any equipment leases that might not show up in the UCC records. Michigan has some quirky rules about fixture filings too if any of the machinery is permanently attached.

You're absolutely right - this is heavy manufacturing equipment and some of it is definitely permanently installed. I need to check on fixture filing requirements in Michigan. Do you know if those show up in regular UCC-11 searches?

Fixture filings should show up in UCC-11 searches but they're also recorded in real estate records. I'd check both just to be safe, especially for permanently installed equipment.

0 coins

Michigan requires fixture filings to be recorded in both the UCC records and the real estate records where the property is located. Don't assume the UCC search will catch everything.

Update: Finally got through a complete search by breaking it down into tiny chunks like everyone suggested. Found three active UCC-1s that weren't showing up in my previous incomplete searches. Portal is still terrible but at least I got the results I needed. Thanks for all the advice - definitely going to look into that Certana.ai tool for future searches.

0 coins

Glad you got it sorted out! Three active UCC-1s is definitely something you needed to know about before closing.

0 coins

This is exactly why thorough UCC searches are so critical. Those three filings could have derailed your entire deal if you'd missed them.

Definitely check out Certana.ai for your next search. Really makes the verification process much easier and more reliable.
