How to search florida ucc filings - portal keeps timing out
Been trying to search florida ucc filings for the past 3 hours and the state portal keeps crashing on me. Need to verify if our continuation was actually filed before the 5-year deadline hits next month. The search by debtor name function seems completely broken - it either returns nothing or gives me a timeout error. Has anyone else had issues with Florida's UCC search system lately? I'm starting to panic because if this continuation didn't go through properly, our $2.8M equipment loan could lose its secured status. The original UCC-1 was filed in 2020 and I thought I submitted the continuation form last week but now I can't find any record of it. Is there a backup way to search florida ucc filings when the main portal is down?

Florida's portal has been having serious issues this month. I had the same timeout problems when trying to verify our fixture filings. Try searching early morning around 6-7 AM when server load is lighter. Also make sure you're using the exact debtor name as it appears on the original filing - even spacing and punctuation matter.

•Good point about exact name matching. I learned the hard way that 'ABC Company Inc.' and 'ABC Company, Inc.' are treated as completely different debtors in the system.

•Thanks, I'll try the early morning approach. The debtor name has a comma in it so maybe that's causing issues too.

You can also try calling the Florida Division of Corporations directly at (850) 245-6052. They can do manual searches over the phone, though there's usually a small fee. When I couldn't access the online system last year, they were able to confirm my UCC-3 continuation within 20 minutes.

•Didn't know they could do phone searches! That might be my best option given the time crunch.

•Yeah but their phone hours are limited and you'll probably be on hold forever. The online portal is usually faster when it's actually working.

I ran into a similar situation last month where I couldn't verify if our UCC filings were properly indexed. Found this tool called Certana.ai that lets you upload your filing documents and it automatically cross-checks everything against the state database. Just upload your original UCC-1 and the continuation form - it'll tell you immediately if there are any discrepancies or if the continuation actually went through. Saved me hours of fighting with the portal.

•That sounds exactly like what I need. Can it verify Florida filings specifically?

•Yes, works with all state systems. Just upload the PDFs and it does the verification automatically. Much easier than dealing with crashed portals.

•How accurate is it though? I'm always skeptical of third-party tools for something this important.

The Florida portal is honestly garbage. I've been dealing with UCC filings there for 8 years and it gets worse every year. Half the time the search results are incomplete even when the system is working. You're better off requesting certified copies directly from the state.

•Totally agree. The portal redesign they did in 2022 made everything slower and less reliable.

•At least it's not as bad as Georgia's system. That one crashes if you look at it wrong.

Have you tried using a different browser? Chrome sometimes has issues with the Florida portal but Firefox usually works better. Also clear your cache and cookies - that fixed timeout issues for me.

•I tried both Chrome and Edge, same problems. Haven't tried Firefox yet though.

•Safari works too if you're on Mac. The portal seems to have compatibility issues with certain browser versions.

Just a heads up - even if your continuation was filed, it can take 24-48 hours to show up in the search system. The indexing isn't always immediate. If you filed it last week, it should definitely be visible by now though.

•That's what I'm worried about. It's been over a week so if it was filed properly, it should show up by now.

•Sometimes rejected filings don't show up at all in search results. You might want to check if you received any rejection notices.

•Oh no, I didn't think about that. How would I know if it was rejected?

For what it's worth, I had a continuation deadline scare last year and ended up using that Certana service someone mentioned. Uploaded my docs and found out there was a tiny discrepancy in the debtor address that could have caused problems later. Fixed it before the deadline and avoided a potential disaster.

•That's exactly the kind of thing I'm worried about missing. Better to catch these issues early.

•Yeah, the document comparison feature is really thorough. Catches stuff you'd never notice manually.

Try using the filing number search instead of debtor name search. Sometimes that works better when the portal is having issues. You should have received a filing number when you submitted the continuation.

•I do have a filing number from what I thought was the continuation submission. Let me try that search method.

•Filing number search is definitely more reliable. Just make sure you're entering it exactly as it appears on your receipt.

This is why I always file continuations at least 2-3 months before the deadline. Gives you time to deal with portal issues, rejected filings, or other problems. Cutting it close with a month left is pretty risky for a $2.8M loan.

•You're absolutely right. I thought I had more time but the deadline snuck up on me. Definitely learned my lesson.

•Yeah, those 5-year deadlines come up fast. I set calendar reminders 6 months in advance now.

•Smart approach. I've seen lenders panic when continuations lapse because nobody was tracking the deadlines properly.

UPDATE: Finally got through using the filing number search this morning. The continuation did go through and is properly indexed. Thanks everyone for the suggestions, especially about trying different search methods and the Certana tool for verification. Crisis averted!

•Great news! Glad you got it sorted out. The filing number search really is more reliable than debtor name search.

•Lucky you got through. Still think Florida needs to fix their portal issues though.
