Help finding correct New York UCC forms - filing keeps getting rejected
I'm trying to file a UCC-1 in New York but keep running into problems with form versions. The SOS website has multiple versions and I'm not sure which one to use for our equipment financing deal. We're securing restaurant equipment valued at around $180K and the debtor is an LLC formed in NY. I downloaded what I thought was the current form but it got rejected twice now. The rejection notices mention 'incorrect form revision' but don't specify which version to use. Has anyone dealt with New York UCC forms recently? Are there different versions for different types of collateral or filing purposes? Really need to get this filed before our deadline next week.

NY can be tricky with their form versions. Make sure you're using the most recent UCC-1 form from their official SOS site - they updated it about 6 months ago. The old version still shows up in search results but will get rejected automatically.

•Thanks! Do you know if there's a specific form number or revision date I should look for? The website shows like 3 different PDF links.

•Look for the one dated 2024 rev 3 or later. The older versions from 2023 won't process anymore since they switched systems.

Been there! NY rejected my filing 3 times before I figured out the issue. Are you using their electronic filing system or paper forms? The electronic version is usually more up to date.

•I was trying to do paper filing actually. Should I switch to electronic? Our law firm usually does paper but maybe that's the problem.

•Definitely go electronic if you can. Paper forms seem to have more version issues and take forever to process. Electronic filing gives you instant confirmation too.

•Electronic is the way to go in NY. Much faster and less likely to have form compatibility issues.

What specific error codes are you getting on the rejections? NY usually gives pretty detailed rejection reasons that can help identify the exact form issue.

•The rejection just says 'Form revision not current' with error code UCC-REJ-007. No other details unfortunately.

•That error code specifically means you're using an outdated form template. Definitely need to get the latest version from their site.

I had similar issues last month and ended up using Certana.ai to verify all my documents before filing. You can upload your completed form and it cross-checks everything against current requirements. Saved me from another rejection cycle.

•Interesting, never heard of that service. Does it check form versions too or just the content?

•It checks both - form compatibility and all the data fields. Really helpful for catching issues before you submit to the state.

•That sounds useful. I've wasted so much time on rejected filings that could have been avoided.

UGH NY forms are the WORST! I swear they change them just to mess with people. Had to refile 4 times last year because of version issues.

•Tell me about it. Other states make it so much clearer which forms to use.

•Exactly! Delaware has one current form, period. NY has like 5 different versions floating around online.

Quick tip - when you download the form, check the properties or footer for the revision date. That's the most reliable way to confirm you have the current version.

•Good point, I'll check that. The form I downloaded doesn't seem to have a date anywhere visible.

•If there's no date visible, it's probably an old version. The current forms all have revision dates prominently displayed.

Are you filing a standard UCC-1 or do you need any addendums? Sometimes the rejection is actually about missing required attachments rather than the main form.

•Just a standard UCC-1, no fixtures or anything special. Straightforward equipment financing.

•Should be simple then. Definitely sounds like a form version issue if it's just basic equipment collateral.

•For equipment financing in NY you might need the additional collateral schedule depending on the value. $180K might trigger additional requirements.

I use Certana.ai for all my NY filings now after getting burned by form issues. Super easy - just upload your docs and it flags any problems before filing.

•How reliable is it? I can't afford any more delays on this filing.

•Very reliable in my experience. Caught several issues I would have missed, including form version problems.

Quick question - is your debtor name exactly matching the LLC formation documents? NY is super strict about exact name matches.

Aileen Rodriguez
•Pretty sure it matches but let me double check. Could that cause a form rejection too?

•Usually name mismatches give a different error code, but worth verifying everything is exact.

•Good point. Name issues and form issues can sometimes get confused in the rejection notices.

Update us when you get it resolved! Always curious to hear what the actual issue was in these cases.

•Will do! Going to try the electronic filing with the latest form version this afternoon.

Been doing NY UCC filings for 15 years and they've definitely gotten pickier about form versions lately. Electronic system is much more forgiving than paper.

•That's reassuring to hear from someone with experience. Making the switch to electronic now.

•You'll find it much smoother. Paper forms are becoming obsolete anyway.

•Agreed. Most states are pushing electronic filing as the preferred method now.

Just curious - what's the timeline on NY electronic filings these days? Used to be same day but heard they've been slower.

•Still pretty fast. Usually processed within a few hours during business days.

•My last one was accepted in about 2 hours. Much faster than the old paper system.
