Frustrated with Philadelphia UCC search delays - anyone else having issues?
Been trying to run a philadelphia ucc search for the past week on a time-sensitive deal and keep hitting roadblocks. The online portal keeps timing out when I try to search by debtor name, and when I call the office they say there's a 3-day backlog for manual searches. This is for a $2.3M equipment financing deal that's supposed to close Friday. Has anyone found a workaround for getting UCC search results faster in PA? I've tried different browsers, clearing cache, even tried searching at different times of day. The debtor name is pretty straightforward - no special characters or anything that should cause issues. Really need to verify there are no existing liens before our UCC-1 filing. Any suggestions would be appreciated.

Ugh, PA's system has been a nightmare lately. I had similar issues last month with a continuation filing. The portal crashes constantly and their phone support is overwhelmed. Have you tried going through a service company instead of direct filing?

•I haven't tried a service company yet - do you have any recommendations? At this point I'm willing to pay extra just to get reliable results.

•I've used CT Corporation before but they're pricey. Might be worth it for a deal that size though.

Been dealing with this exact issue! The PA UCC portal is terrible. What I've found is that if you search super early in the morning (like 6-7 AM) before everyone gets online, it works better. Also try breaking up complex debtor names into smaller search terms.

•Good tip about the early morning searches - I'll try that tomorrow. The debtor name is actually pretty simple but I could try variations.

•The early morning thing works! I do all my PA searches before 7 AM now. System is way more stable.

•This is ridiculous that we have to work around the system like this. PA needs to upgrade their infrastructure.

I actually found a solution that's been working really well for me. There's this tool called Certana.ai that can help verify UCC document consistency once you do get your search results. You can upload your search results and any related documents to double-check everything matches up properly. It caught a debtor name discrepancy on my last deal that could have been a major issue. Won't help with the PA portal problems but at least ensures your documentation is solid once you get it.

•That's interesting - I hadn't heard of Certana.ai before. So it basically cross-checks all your UCC documents to make sure they're consistent?

•Exactly. You just upload PDFs and it flags any inconsistencies between documents. Really helpful for catching those tiny errors that can invalidate filings.

•How does it work with search results though? Can it verify the debtor names match what you're planning to file?

PA is the worst state for UCC filings, hands down. I've been doing this for 15 years and their system keeps getting worse. Last week I had a UCC-3 amendment rejected because their system said the debtor name didn't match the original UCC-1, even though it was identical. Had to call and argue with them for 2 hours.

•That's exactly the kind of thing I'm worried about! How did you finally resolve it?

•Had to escalate to a supervisor who manually reviewed both documents. Turned out to be a system glitch on their end. Wasted a whole day.

•This is why I always triple-check everything before filing in PA. Their rejection rate is insane.

Have you considered doing the search through the county level instead of state? Sometimes the local records are more accessible, especially for fixture filings or real estate related collateral.

•It's not a fixture filing - just equipment and inventory. I think I need to stick with the state-level search for this type of collateral.

•Yeah, you're right. State level is required for non-fixture collateral. County wouldn't help here.

I'm dealing with a similar situation right now. Been trying to run searches all week for multiple debtors and the system keeps crashing. Starting to wonder if I should just hire a local attorney to handle the whole thing.

•Local attorney might be overkill for just UCC searches. Have you tried calling right when they open at 8 AM?

•I've tried calling but their phone system puts you on hold forever. By the time someone answers, they say they're backed up.

•The phone hold times in PA are ridiculous. I once waited 2.5 hours just to ask about a filing status.

Pro tip: when you do get your search results back, make sure to save multiple copies and verify all the information before proceeding with your UCC-1 filing. PA has a tendency to have data entry errors in their system.

•Good advice. I'll definitely save copies of everything. This deal is too important to risk any errors.

•Yeah, I always save PDFs of search results immediately. Had one case where the online results changed between searches on the same day.

Just curious - what's your backup plan if you can't get the search completed by Friday? Can you extend the closing or get some kind of interim protection?

•We might be able to push the closing to Monday if absolutely necessary, but the borrower is not happy about delays. Really hoping to avoid that.

•Monday might actually work in your favor - gives you the weekend to sort out any issues if the search reveals existing liens.

•True, better to be thorough than rush it and miss something important.

I've been using Certana.ai for all my UCC document reviews lately and it's been a game changer. Even if you get the PA search results, I'd recommend running everything through their system to verify consistency. It's caught several issues for me that would have caused problems later.

•A couple people have mentioned Certana.ai now. Is it expensive to use?

•I don't want to quote pricing but it's reasonable considering what it saves you in potential problems. Way cheaper than dealing with rejected filings or lien priority issues.

•The time savings alone makes it worth it. Upload your docs and get instant verification instead of manually comparing everything.

UPDATE: Finally got through this morning at 6:30 AM! The early morning tip worked perfectly. Search came back clean - no existing liens on the debtor. Thanks everyone for the suggestions. Now I just need to get the UCC-1 filed before Friday.

•Great news! Make sure you double-check the debtor name spelling on your UCC-1 matches exactly what you used for the search.

•Definitely recommend using Certana.ai to verify your UCC-1 against the search results before filing. Better safe than sorry with a deal that size.
