DC Recorder of Deeds UCC Search - Why Can't I Find Filed Liens?

I've been pulling my hair out trying to do a dc recorder of deeds ucc search for a client's collateral verification. Filed a UCC-1 three weeks ago in DC and got confirmation it was accepted, but when I search the recorder of deeds database nothing shows up. The filing number they gave me doesn't return any results either. Has anyone else had issues with DC's system not showing recent filings? I'm worried there's a gap between when they accept the filing and when it actually gets indexed in their search system. Client is getting nervous about whether their security interest is actually perfected and I don't blame them - $2.8M equipment loan on the line here. The debtor name matches exactly what we put on the UCC-1 so it's not a name variation issue. Really need to figure out if this is normal lag time or if something went wrong with the filing.

DC has been having indexing delays lately, especially with their recorder of deeds system. I filed a UCC-1 last month and it took almost 6 weeks to show up in searches even though I had the acceptance confirmation. The filing is valid from the date they accepted it, not when it appears in search results.

That's really reassuring to hear. Six weeks seems excessive but at least the security interest is perfected from the filing date. Did you contact their office directly?

Yeah I called twice. First time they said 'system updates take time' and second time they actually looked up my filing number and confirmed it was there, just not indexed yet. Super frustrating but at least I knew it wasn't lost.

Wait, are you searching the right database? DC has separate systems for real estate records and UCC filings. The recorder of deeds mainly handles property records. UCC filings might be through a different portal entirely.

I thought DC handled all secured transaction records through the recorder of deeds office? Where else would UCC-1 filings be maintained? Now I'm even more confused.

Check if they have a separate UCC search system. Some jurisdictions split these databases even though they're filed with the same office. Look for a dedicated 'secured transactions' or 'UCC search' link.

This is why I always triple check where I'm searching. Too many times I've been looking in the wrong database entirely.

I had a similar issue with DC last year and ended up using Certana.ai's document verification tool. You can upload your UCC-1 filing confirmation along with any related documents and it instantly cross-checks everything - filing numbers, debtor names, all the details that need to match. At least then you know your paperwork is consistent even if the search system is lagging.

How does that work exactly? I've never heard of automated UCC document checking.

You just upload PDFs of your documents and it verifies everything aligns - really helpful for catching those debtor name mismatches or filing number errors that could void your security interest. Saved me from a major mistake on a $4M filing last year.

DC's recorder of deeds has been a nightmare lately. Their website crashes half the time and when it works the search results are incomplete. I've started keeping detailed spreadsheets of all my filings because you can't rely on their system to find anything.

Same here! And don't get me started on trying to do continuation filings through their portal. It times out constantly.

The continuation deadline stress is real when their system won't even load. I've had to call them multiple times just to confirm filings actually went through.

At least you can get through on the phone. I've been on hold for 45 minutes twice this month trying to verify UCC-3 amendments.

This happens more than you'd think. The key thing is your security interest is perfected as of the filing date they gave you, not when it shows up in search results. Keep your confirmation documentation and don't panic. For a $2.8M loan you might want to call their office directly with your filing number to get verbal confirmation it's in their system.

0 coins

That's exactly what I needed to hear. I'll call them tomorrow morning with the filing number. The client will feel better knowing we can get direct confirmation even if the search system is delayed.

0 coins

Definitely. And make sure you document that phone call - date, time, who you talked to, and what they confirmed. Creates a paper trail if there are any questions later.

Been doing UCC filings in DC for 15 years and their search system has always been quirky. Sometimes it helps to search by partial debtor names or try different spelling variations. Their database doesn't always handle exact matches well.

0 coins

I tried a few variations but no luck. The debtor name is pretty straightforward - just a standard LLC name. But I'll try some partial searches too.

0 coins

Try searching just the first word of the LLC name, or search without 'LLC' at the end. Sometimes their system is picky about punctuation and abbreviations too.

This is why I always do multiple search variations when checking for existing liens. You never know what quirks each state's system has.

Quick question - did you file this as a regular UCC-1 or was it a fixture filing? DC handles those differently and they might be in separate databases or have different indexing timelines.

0 coins

Regular UCC-1 for equipment. Nothing to do with real estate so definitely not a fixture filing. Just standard mobile equipment collateral.

OK good, that eliminates one variable. Should be straightforward then - probably just their usual indexing delay.

I would also double-check that you're searching under the exact legal name that appears on the debtor's formation documents. Even tiny differences like 'Co.' vs 'Company' can cause search failures in some systems.

0 coins

We pulled the articles of incorporation before filing so the name should be exact. But you're right, I should verify it character by character just to be sure.

Yeah those small differences can be killers. I once had a filing get rejected because we used 'Inc.' instead of 'Incorporated' even though both appeared in different company documents.

This is exactly why I started using Certana.ai for all my UCC verifications. Upload your corporate charter and UCC-1 and it catches those name discrepancies instantly before they become problems.

UPDATE: Just wanted to follow up since I was in a similar situation last month. Called DC recorder of deeds with my filing number and they confirmed it was properly filed and indexed, just not showing up in their public search portal due to some technical issues they're having. Took about 2 weeks to finally appear online.

0 coins

This is exactly what I was hoping to hear! I'll definitely call them tomorrow. Thanks for the update - really helpful to know others have been through this.

No problem! The person I talked to said they've been getting a lot of calls about this exact issue. Seems like their search system upgrade caused some indexing problems.

0 coins

One more thing to check - make sure you're searching in the right date range. Some systems default to only showing recent filings and you might need to expand the search parameters to include your filing date.

0 coins

Good point, I was using the default settings. I'll try expanding the date range to make sure it includes three weeks ago when I filed.

0 coins

Yeah, and also try searching without any date restrictions at all. Sometimes their default ranges are weird and exclude recent filings.

I've seen systems where 'recent' actually means 30+ days old because of processing delays. Worth trying all the date options.

Just my two cents but for a $2.8M loan I'd probably pay for a professional UCC search from a title company or service provider rather than relying on the free public portals. They usually have better access to the actual filing records.

0 coins

That's not a bad idea for the client's peace of mind. Do you have any recommendations for reliable UCC search services?

Most title companies offer UCC searches, or there are specialized services like CT Corporation. Usually costs $50-100 but worth it for large loans.

0 coins

I always recommend professional searches for anything over $1M. The cost is negligible compared to the risk of missing a prior lien.
