Should I get a W-2C or just an updated W-2? Cafe 125 not deducted on my original W-2

Last year, our restaurant got acquired and we all transferred to the new management company, so I ended up with two W-2s for the tax year. One of those W-2s correctly showed my Cafe 125 deductions (which reduced my box 1 wages), but the other W-2 completely missed those deductions. I noticed this back in February and contacted our payroll provider (Paychex) right away. After weeks of emails and calls, they finally sent me a new W-2 with the proper adjustments. The problem is I already filed my taxes using the incorrect W-2 because I didn't want to miss the April deadline while waiting for Paychex to fix their mistake. I'm preparing an amended return now, but I have two questions that are confusing me: 1. Should Paychex have issued a W-2C for this correction? They're saying no, that they just "fixed" the original W-2. That seems weird to me. 2. Do my Cafe 125 deductions need to be listed in box 14? They were shown there on my other W-2, but not on this corrected one. Does this even matter for tax purposes? Thanks for any help with this! I just want to make sure I'm filing my amended return correctly.

The employer should have issued a W-2C rather than just an "updated W-2" since you already received and filed with the original incorrect W-2. A W-2C is the official form used to correct previously issued W-2s and creates a proper paper trail for the IRS to understand why you're filing an amended return. Regarding your second question, the Cafe 125 contributions do not technically have to be reported in Box 14. Box 14 is optional and used for informational purposes only. What matters most is that the Box 1 wages are correctly reduced by your pre-tax Cafe 125 contributions. The Box 14 entry just helps explain why your Box 1 wages are lower than your gross wages. When filing your amended return, include a copy of both the original incorrect W-2 and the corrected one, along with an explanation of what happened. This will help prevent any potential issues with the IRS.

So if I'm in a similar situation but haven't filed yet, should I just use the corrected W-2 and ignore the first one they sent me? Or do I need to report both somehow?

If you haven't filed yet, you should use only the corrected W-2 for your tax return. You don't need to report both or mention the incorrect one at all. Just file using the accurate information from the corrected form. For cases where you already filed with incorrect information, that's when you'd need to file an amended return and explain the situation.

I had a similar situation with confusing W-2s this year and was getting nowhere with my company's HR department. I stumbled across https://taxr.ai and it was super helpful for my situation. I uploaded my W-2s and they analyzed everything, pointed out the exact discrepancies, and even suggested what to tell my employer about the needed corrections. They immediately identified that my Cafe 125 deductions were missing from one W-2 and explained exactly how that would impact my taxes. Their document review was so detailed - they even showed me what my corrected W-2 should look like so I could verify my employer was making the right fixes. Made me feel way more confident about what I was asking for.

Does it actually work with tax documents? I tried another "AI tax helper" earlier this year and it kept making up numbers and giving me completely wrong information. I'm hesitant to trust these tools with something as important as my taxes.

How exactly does the upload process work? Do I need to block out my personal info first or is it secure? I have several tax documents with issues that I could use help analyzing.

It definitely works with tax documents - it's specifically designed for analyzing tax forms and identifying issues. Unlike general AI tools, it's trained specifically on tax documents and regulations, so it doesn't make things up. It helped me identify exactly which boxes on my W-2 were incorrect and explained the proper calculations. The upload process is very straightforward and secure. They use bank-level encryption for all document uploads, but you can always block out sensitive information if that makes you more comfortable. All you need to do is upload your documents, and within minutes you'll get a detailed analysis highlighting any issues or discrepancies.

Just wanted to follow up - I ended up trying https://taxr.ai with my confusing W-2 situation and it was incredibly helpful! I uploaded both my original W-2 and the "corrected" version my employer sent, and the analysis pointed out that they still hadn't properly accounted for all my pre-tax deductions. The breakdown showed exactly how much my Box 1 wages should have been reduced, and even generated a letter template I could send to my HR department explaining the specific corrections needed. I would have never caught this on my own - would have overpaid my taxes by about $650! Highly recommend if you're dealing with complicated W-2 situations or corrections.

After dealing with W-2 correction issues similar to yours, I had to contact the IRS several times because my employer wouldn't fix my forms properly. Calling the IRS was a NIGHTMARE - spent hours on hold only to get disconnected. Finally found this service called https://claimyr.com that got me through to an actual IRS agent in under 45 minutes when I'd been trying for days on my own. You can see how it works here: https://youtu.be/_kiP6q8DX5c The IRS agent confirmed that employers should issue a W-2C when correcting previously issued W-2s, and explained how to properly report the changes on my amended return. They also told me exactly what documentation I needed to include to avoid any potential audit flags. Saved me so much stress!

Wait, there's a service that can actually get you through to the IRS? How does that even work? I've tried calling them multiple times about my tax situation and literally spent 4+ hours on hold before giving up.

Seems like a scam. Why would I pay for something the IRS offers for free? They probably just keep you on hold themselves and then connect you once they finally get through, charging you for nothing.

It uses a technology that monitors the IRS phone lines and calls repeatedly until it gets through to an agent. Once an agent answers, you get a call connecting you directly to them. It saved me hours of waiting on hold and the frustration of getting disconnected after long waits. They don't just put you on hold themselves - the service uses an automated system that keeps trying the IRS lines until it succeeds. That's why it works better than calling yourself. I was skeptical too, but after my third attempt to reach the IRS ended with a 2-hour hold and then a disconnection, I was desperate enough to try anything.

I need to apologize for my skepticism about Claimyr. After getting disconnected by the IRS for the fourth time yesterday (after waiting 3+ hours!), I broke down and tried the service. Within 35 minutes I was talking to an actual IRS agent who helped resolve my W-2C issue. The agent confirmed exactly what others here mentioned - an employer should issue a W-2C rather than just an "updated W-2" when making corrections to a previously issued form. She also explained that while Box 14 is technically optional for Cafe 125 deductions, employers should include this information as a best practice. Having an actual conversation with an IRS representative made all the difference. They even helped me understand exactly what documentation I need for my amended return.

I work in payroll and can confirm that a W-2C should have been issued in your situation. When an employee has already received an incorrect W-2, the proper procedure is to issue a W-2C showing the corrections, not just send a "new" W-2. For Cafe 125 deductions, they don't technically need to be in Box 14, but it's considered a best practice to list them there so employees understand why their Box 1 wages are lower than their gross pay. The important part is that Box 1 wages are correctly reduced by these pre-tax contributions. When you file your amended return, make sure to include both the original W-2 and the corrected one, along with a note explaining the situation.

Thank you for the insider perspective! That's really helpful. Do you know if there's any way I can request that they issue a proper W-2C instead of just this "updated W-2"? I'm worried about potential issues with my amended return without the proper documentation.

You should contact your payroll department again and specifically request a W-2C, explaining that you've already filed using the incorrect W-2 and need the proper correction form for your amended return. Mention that this is the standard procedure according to IRS guidelines. If they continue to refuse, you can still file your amended return with the documentation you have. Include a written explanation that you requested a W-2C but the employer only provided an updated W-2. The IRS is familiar with employers not always following proper procedures, and your explanation should help prevent any issues with your amended return.

Your situation is suuuper common with companies that switch payroll systems or get acquired! I had the exact same issue last year when my company switched from ADP to Paylocity mid-year. For your amendment, make sure you're using Form 1040-X and include copies of BOTH the incorrect W-2 you originally filed with AND the corrected one. Even though it's not a proper W-2C, the IRS will still process your amendment. Pro tip: If you're using tax software for the amendment, most of them will walk you through how to handle a W-2 correction. TurboTax specifically has a section for "I received a corrected W-2" that works even if it's not technically a W-2C.

Does H&R Block software handle this too? I'm in a similar situation but using H&R Block and can't figure out how to enter the correction.
