FAFSA processed but university says they can't see it - both 2023-2024 and 2024-2025 applications missing
I'm at my wits end with this FAFSA transmission issue! My son completed his 2024-2025 FAFSA back in February, and it shows as processed on studentaid.gov. His university initially confirmed they received it. Then last week, they dropped a bombshell saying he also needed to complete the 2023-2024 FAFSA since he's starting summer courses in June. We rushed to submit it, and it shows as processed on studentaid.gov with his school code definitely selected. But now the financial aid office is claiming they can't see EITHER application - not the 2023-2024 OR the 2024-2025 one! I've triple-checked both applications and they definitely have his school selected (code 003658). We're only 3 weeks from summer term registration deadline and I'm panicking that he'll lose his spot if this isn't resolved. Has anyone experienced this transmission glitch between studentaid.gov and their university? What should I do next?

The same thing happened to my daughter last month! The issue was that while her FAFSA was processed on studentaid.gov, the actual transmission to the school got hung up somewhere. Here's what worked for us: 1. Log into studentaid.gov and take screenshots showing both FAFSAs as processed with your son's school code listed 2. Call the Federal Student Aid Info Center directly (not the school) at 1-800-433-3243 to confirm the transmission status on their end 3. Ask them to manually re-transmit both FAFSAs to your school 4. Get a case number and confirmation from them that the re-transmission was initiated 5. Wait 3-5 business days (it took 4 for us), then contact your school's financial aid office again with the case number For us, this resolved the issue. The FSA rep explained that sometimes there are data transmission errors between systems, especially with the new FAFSA simplification this year.

•Thank you so much for these specific steps! I'll take screenshots right now and call the FSA Info Center. Did you have to wait on hold for a long time? I tried calling them once before about a different issue and gave up after 45 minutes.

This has been happening CONSTANTLY with the new "simplified" FAFSA system!!! Im so angry about this whole situation. My daughter's FAFSA has been "transmitted" THREE SEPARATE TIMES according to studentaid.gov but her college STILL claims they dont have it!!! The entire system is broken and nobody wants to take responsibility. Ive spent HOURS on hold with FSA just to be disconnected. Meanwhile my daughter might lose her scholarships because of THEIR screwup!!!! This is ridiculous!!!

•I feel your frustration! We've already had to reschedule his orientation once because of financial aid delays. Did you ever get through to someone at FSA who could help? I'm worried about being disconnected after waiting for hours too.

so I work in a university financial aid office (not yours obviously lol) and theres actually a specific glitch with the transmission system right now. when people submit both 2023-24 and 2024-25 FAFSAs close together, sometimes they cancel each other out in our system. its stupid but its happening everywhere. you need to ask specifically for the financial aid director or assistant director when you call the school, not just the front desk people. they can usually fix it on their end by doing a manual import from the federal database.

•That's really helpful insider information! I didn't know to ask for the director or assistant director. I'll definitely try that approach tomorrow morning. I've been dealing with the front desk staff who just keep telling me to wait. Do you think I should mention this specific glitch about the two applications canceling each other out?

Try using Claimyr to get through to the FSA phone line faster! I was stuck in the same situation last month and spent days trying to reach FSA with no luck. Someone here recommended Claimyr (claimyr.com), and it got me connected to an actual FSA agent in about 20 minutes instead of hours on hold. They have a video showing how it works: https://youtu.be/TbC8dZQWYNQ The FSA agent was able to confirm my FAFSA was actually transmitted properly and gave me specific information I could take back to my school's financial aid office to get them to look in the right place in their system. Saved me so much stress!

•Yes! It actually connected me to a real person at FSA after I'd been trying for days. You still have to wait a bit, but nothing like the 2+ hours I was experiencing before.

This is a common issue with the new FAFSA system that was rolled out for the 2024-2025 application year. There are several technical reasons why the school might not see your applications: 1. SAI calculation delays: If your Student Aid Index (SAI) hasn't been fully calculated, the school can't access the full record even if it shows as "processed" on studentaid.gov 2. ISIR transmission errors: The Institutional Student Information Record (ISIR) is what actually gets sent to schools, and there's been a backlog in this system 3. School import schedule: Many schools only import FAFSA data on certain days of the week 4. CPS processing delays: The Central Processing System has been experiencing significant delays Your best approach is two-pronged: First, contact FSA directly to confirm both applications have been fully processed (not just received) and transmitted to your school. Get confirmation numbers for both transmissions. Second, contact your school's financial aid office (ask for a senior counselor, not front desk) and provide those confirmation numbers. Ask them to check their import queue, not just their existing records. If they still don't see it after 3-5 business days from FSA confirmation, request that they do a manual lookup using your son's Social Security number in the FAA Access to CPS Online system.

•This is incredibly detailed and helpful! I didn't realize there was a difference between "processed" and the ISIR transmission. I'll ask about all these specific things when I call FSA tomorrow. The confirmation numbers seem especially important - I'll make sure to get those for both applications. Thank you for explaining the technical aspects!

The same thing happened to me! I called my school's financial aid office every day for a week until someone finally helped me lol. The person who finally fixed it said sometimes they have to manually search for the FAFSA in their system using my SSN because it doesn't always show up in their regular imports. Keep calling!!

•Persistence seems to be key! Did you talk to the same person each time or did you eventually get someone different who was more helpful? I'm wondering if I should keep trying to reach the same counselor or if I should try to get different people.

•I double-checked both applications and the school code is definitely correct (003658) on both of them. But thanks for mentioning this - it's an easy mistake to make!

Just wanted to follow up - did you manage to resolve this? The key thing to remember is that the school's financial aid office and studentaid.gov are looking at two different systems. What worked for us was getting the FSA to give us specific confirmation that the ISIR (Institutional Student Information Record) had been transmitted, not just that the FAFSA was processed. The confirmation numbers are what finally got the school to find the applications in their system.

•Yes! Thank you for checking back. It's finally resolved! I used Claimyr to get through to FSA yesterday (after waiting on hold for 3 hours the day before with no luck). The FSA agent confirmed both FAFSAs were fully processed with ISIRs transmitted, and gave me confirmation numbers for both. Then I called the financial aid office and asked specifically for the assistant director as someone suggested. She was able to find both applications in their system using the confirmation numbers - they were stuck in some kind of verification queue because we had submitted them so close together! She manually pulled them into the main system, and my son's financial aid package was generated this morning. Such a relief!
