How do you calculate federal unemployment tax - NYS Department of Labor employer requirements?

I'm trying to understand how federal unemployment tax calculations work in relation to NYS Department of Labor requirements. My small business just hired our 4th employee and I want to make sure I'm doing everything correctly. I know there's FUTA and then state unemployment taxes but I'm confused about the rates and wage bases. Does anyone know the current federal unemployment tax rate and how it interacts with New York state requirements? I don't want to mess this up and get penalized by either the feds or NYS Department of Labor.

FUTA (Federal Unemployment Tax Act) rate is 6.0% on the first $7,000 of each employee's wages per year. However, you get a credit of up to 5.4% if you pay your state unemployment taxes on time, so the effective FUTA rate is usually 0.6%. For New York, you'll also pay state unemployment insurance (SUI) to NYS Department of Labor - the rate varies by employer but starts around 4.1% for new employers on the first $12,300 of wages in 2025.

yeah the federal part is pretty straightforward but dealing with NYS Department of Labor can be a pain. make sure you register for unemployment insurance as soon as you hit the employee threshold or they'll backdate everything and charge penalties

This is important - NYS Department of Labor requires registration once you have employees working 20+ weeks or pay $300+ in wages in a quarter. Don't wait until you think you need it because they'll want quarterly reports going back to when you should have registered.

I had issues with my NYS Department of Labor account when I was trying to figure out my rates last year. Kept getting different information from their website vs what they told me on the phone. Honestly I don't remember the exact cost but it was worth it to avoid the headache of trying to reach them during business hours when I'm also trying to run my business.

Don't forget you also need to file Form 940 annually for FUTA and quarterly Form 941s that include unemployment taxes. The wage base amounts change every year too - make sure you're using 2025 figures. NYS Department of Labor will send you separate quarterly reports for state unemployment insurance.

@bc2679de8fd7 The IRS has Publication 15 (Circular E) that covers all the federal deadlines, and NYS Department of Labor has an employer handbook on their website. I'd also recommend setting up a simple spreadsheet to track quarterly due dates - FUTA annual filing is due January 31st, but state unemployment varies. Getting organized early will save you tons of stress later!
